DOCUMENT NUMBER 03-07SECTION: MANUAL SUBJECT: POSITION: DEPARTMENT: RESPONSIBLE TO: UNION: CONTINUOUS IMPROVEMENT PROGRAM Residential Services Team Leader Residential Services Team Leader Residential Services Facility Leader Out of Scope POSITION SUMMARY: Reporting to the Facility Leader, the Residential Services Team Leader is responsible for the day-to-day operations, supervision and management of the Food Services Department, Housekeeping and Laundry departments. The incumbent is responsible for: 1) implementing therapeutic interventions to address nutritional needs of facility residents; 2) implementation of quality dietetic services for facility residents; 3) ensuring the provision of housekeeping and laundry services that are of the highest possible quality and demonstrate value to Intercare and all our customers. The incumbent provides overall leadership and hands-on assistance to ensure Residential Services are planned, organized, delivered, and evaluated in accordance with Intercare's mission, vision, values and strategic plan. The incumbent works in partnership with other managers and staff to assist in maximizing the performance of individuals, teams and the organization as a whole in providing the best possible customer service to our residents, families, guests and staff. QUALIFICATIONS: 1. Minimum of successful completion of a Dietary Technologist's Certificate or equivalent. Graduation from recognized program in Hotel Management or equivalent managerial course of study program is preferred and considered a significant asset. 2. A minimum of five years management experience, preferable within a long term care environment, and inclusive of Food Services Management. 3. Previous experience in institutional/commercial cooking an asset. COMPETENCIES Possesses the following competencies that drive the care unit success. Utilizes available management information systems data to plan, monitor and evaluate activities of Residential Care Services. Collaborates with Clinical Team Leader & Facility Leader to operationalize the strategic plan. Monitors and reviews staff compliance with policies/procedures. Promotes Resident/Family satisfaction and continuous quality improvement. Complies with all relevant Provincial and Federal Acts and Regulations. Acts as a catalyst in the planning, development, implementation and coordination of quality Residential Services management activities. Identifies performance indicators and ensures data collection is complete. Delegates appropriate tasks to members of the Residential Services departments based on their abilities and qualifications. Ensures the provision of an environment supportive of the advancement of knowledge and the integration of that knowledge into practice to promote the advancement of quality service. Responsible for preparing all departmental budgets in consultation with the Facility Leader and ensuring the Residential Services departments operate within approved budget parameters. Recommends and implements changes that will enhance overall efficiency and effectiveness of Residential Services. Liaises with educational facilities and act as a mentor and preceptor in order to provide opportunities for approved student placements. Annually develops goals, objectives, policies, and procedures within the Residential Services departments and for the site as a whole, as required. Assists all Residential Services departments and work areas by providing hands-on assistance and leadership, particularly where departments are short staffed due to open lines, sick calls and other unforeseeable circumstances. 3. Establishes and implements methods to monitor and control budgets. Performance Expectations: i) Analyzes workload and financial reports. ii) Assists in the development of annual budget. iii) Prepares variance reports for areas of budget responsibility. iv) Facilitates the resident classification process and utilizes classification data in unit operations. 4. Ensures the provision of high quality resident care. Performance Expectations: i.) Monitors and evaluates standards and service. ii.) Acts as a resident advocate. iii.) Liaises with external agencies to ensure timely and effective coordination of residential services. iv.) Participates in policy/procedure development. v.) Identifies, documents, and follows-up of Resident/Family related incidents or complaints. vi.) Monitors and maintains effective Infection Control practices within departments. vii.) Participates in facility-wide risk management programs pertaining to resident care, environmental safety, occupational health and safety, and security. 5. Manages and directs the Residential Services human resource functions of recruitment, transfer, discipline of employees (in consultation with the Facility Leader) for whom there is direct responsibility, in accordance with the Collective Agreement and Intercare policies/procedures. Ensures staff for which there is direct responsibility, receive a written performance appraisal per corporate policy and Collective Agreement. Participates in the review of Residential Services position descriptions at a minimum of every three years and whenever necessary to reflect their role and the role of the staff they are responsible for supervising. Understands the Collective Agreements and its application for all Residential Services staff. Participates in the grievance resolution process as appropriate. Assesses the competency and capability of staff to perform their assigned tasks. Ensures a performance appraisal process is up to date and links learning with outcomes. Responsible for departmental absenteeism and sick time management. Shows flexibility in hours of work and days off to support the facility and department needs. 6. Facilitates education within the Department. Performance Expectations: i) Develops the Residential Services team through role modeling, ongoing coaching/mentoring and the provision of educational opportunities. ii) Coordinates and participates in the development and delivery of educational programs. iii) Serves as a mentor/facilitator to individuals in their department; directing them toward independent practices and decision-making within the framework of teamwork. iv) Ensures staff is knowledgeable about resident’s rights and responsibilities. 7.
