Travel Grant Guidelines The EVP TRAVEL GRANT PROJECT is an initiative that is directly derived from the passage of the USAC Programming Referendum in 2002 that allocated funding to the EVP Office. This project will seek out applications from students interested in attending conferences and events for which they have difficulty finding funding. Eligibility Applicants Must be a currently enrolled undergraduate student enrolled in at least four (4) quarter units. Must have Registered Student Group sponsorship. A Registered Student Group is recognized as a Student Group with three (3) signatories and an anti-discrimination form on file with the Center for Student Programming. Conferences and Events Must relate to identity, advocacy, state/local/national/international issues, academic research, or a student group’s core mission statement as stated in the group’s bylaws or constitution. Money may only be used for transportation, accommodation, and registration fees. Money may not be used for meals or other extraneous expenditures. Must have taken place between Monday, June 4, 2007 and Monday, June 2, 2008. Application Requirements Itemized list of all items to be funded. Direct documentation of price quotes explicitly showing the price of what is to be funded (costs to be funded must be highlighted). Agenda for conference or event. List of attendees. Answers to questions (below). Date/Time Stamp, available in Kerckhoff Hall 332, the Student Government Accounting office. Analysis of other funding sources. Signature of signatory for sponsoring student group. Signed statement asserting that you have read the Travel Grant Guidelines. Evaluation and Awards - Applications are taken on a rolling basis and must be submitted two (2) weeks prior to the event for which you are applying for funding. Submitting an application after this deadline will result in points docked off your application. - All applicants will be evaluated on the following criteria: o Demonstrated history of involvement and expertise with the issue being addressed at the conference or event (40%) o Demonstrated understanding of the relationship between the event and the UCLA community (in other words, how significant is this event to UCLA students?) (15%) o Well-defined and clearly articulated demonstration of the goals/objectives for the event, as well as the relevance/importance of the event, for the applying student group. (10%) Maximum award amount will not exceed $500 per application. o Maximum of three awards (of up to $500) per any conference will be awarded. Retroactive funding will not be considered. You cannot apply for funding for a conference or event that you have already attended. Money will be reimbursed only upon receipt of proof of payment and attendance of the event, including original receipts and conference programs/other tangible proof of event attendance. o Proof of payment/attendance (receipts/programs) and a one-page follow-up report of the event are due within 10 business days of returning from the conference or event. Funding will be withdrawn if deadlines are not met. o Failure to complete report will result in major penalization of future applications. o Failure to turn in receipts/appropriate conference documentation will result in severe financial/academic penalties. Please note that additional information or requirements may be requested at the discretion of the USAC External Vice President or the Travel Grant Director for evaluation purposes. o - - Rolling Application/Application Tiers - Applications are taken on a rolling basis and must be submitted two (2) weeks prior to the event for which you are applying for funding. Submitting an application after this deadline will result in points docked off your application. - Because student groups may only apply to the EVP Travel Grant Program Fund once per year for guaranteed funding, a tier system exists to accommodate those student groups who wish to apply to the Fund more than once per academic year (defined as June-June the following year, e.g. June 2007 – June 2008). - Those student groups who apply to the Fund for a second time in one year will be put into the second tier, groups who apply to the Fund for a third time in one year will be put into the third tier, and so on. - - - Second tier applications will only be considered, in the order in which they were delivered to and received by the EVP office, if funds remain in the EVP Travel Grant Program Fund for the quarter in which the applications were filed. Third tier applications will only be considered, in the order in which they were delivered to and received by the EVP office, after all second tier applications have been considered, and so on for fourth, fifth, sixth, etc tier applications. Funding is not guaranteed for second, third, fourth, etc tier applications, even if adequate funds remain in the EVP Travel Grant Program Fund for the quarter in which the applications were filed. Groups that submit an application for a second conference or event in one year (a second-tier application) must still apply to the EVP Travel Grant Program Fund two (2) weeks prior to the event for which the group is applying for funding. Submitting an application after this deadline will result in points docked off your application. - Late applications, even if they are second, third, fourth, etc tier, will not be considered. You cannot apply for funding for a conference or event that you have already attended. The maximum award amount for second, third, fourth, etc tier applications will not exceed $500.00.
