Comox Valley Volleyball Club “Strikers” Coaches / Parents Handbook 2009/2010 PHILOSOPHY: The Comox Valley Volleyball Strikers Club is designed for players who are serious about volleyball and want to compete at an elite level. The primary purpose of the club is to provide quality athletic experiences that emphasize skill development, competition and sportsmanship. While a developmental philosophy operates in the younger age groups, a more competitive approach is emphasized as players become more skilled at the higher levels. All players are guaranteed equal coaching time during practice but not necessarily equal playing time during games. Practices will be rigorous yet enjoyable, requiring a strong commitment from players. CERTIFICATION: All coaches are required to be fully certified with their Level 1, unless they are mentoring under another coach. 18U and 17U coaches need to be fully certified in Level 2. Upon approval of club coordinators the expenses of course certifications will be covered by CVVC. Coaches must undergo a criminal record search before assuming coaching responsibilities. CLUB FEES: Due in January 2010 when teams are selected. Please have parents make cheques payable to Comox Valley Volleyball Club and have them submit them to coaches in early January, 2010. Once coaches have collected ALL cheques from his or her team, please forward them to Bonnie Kozlowski. Fees are adjusted according to age group as younger teams often have shorter practices and fewer tournaments. BCVA (Volleyball Canada, Volleyball B.C., $50.00 Officials and coaches training, Sport B.C., All Sport Insurance, National and Provincial programs) Gym Rental (varies with age level) $70.00 Coaches (certification, criminal search, $70.00 clinics, registration, travel expenses) (varies with age level) Equipment fee ***Note: if player $10.00 requires a uniform, add $50.00 to the below fees. Administration $20.00 Junior Strikers 13U Fees: $105 (t-shirt included) 14U Fees: $170* 15U, 16U Fees: $220* 17U, 18U Fees: $245* WAIVED/ REIMBURSED FEES: Fees will not be required from children of coaches. These players, however will be responsible for all travel and extra costs. Club coaches are volunteers, a commitment which requires many hours without which the club could not operate. Players wishing to leave the Club may be eligible for a partial reimbursement. Before February 28, 2010 – ½ dues. After February 28, 2010 – no reimbursement. TEAM SELECTION: Team selection will not be made prior to the Annual General Meeting in December and not later than January 31, 2010. A. Definition of a team: A team shall be defined as a minimum of 9 players and a maximum of 15. Usually teams have 11 or 12 players. B. “Red Shirting”: (at the coaches’ discretion) If during tryouts 13,14 or 15 players attend regularly and coaches do not want to cut 1,2, or 3 players they may choose to “red shirt” these individuals. These players will be charged a fee of $ 115 (to cover registration, gym rental and coach expenses) and will practice with the team. They may travel if coaches have need of their participation. C. Teams: (15U and younger) If during tryouts over 20 players attend regularly, directors may choose to establish a second team if coaches and finances are available and if enough players are committed to a second team. D. Coaches: The club will register (with Volleyball BC) up to two coaches for each team. A registered coach must be in attendance at all team practices and games. In the case of multiple coaches, it is the club's expectation that both coaches be in attendance at all practices and tournaments. E. Playing Up: Players wishing to play up a level may only do so freely in the 13u/14u age groups. Once the athlete has reached the 15u level they are to play with their age group (based on year of birth). Exception can be made, with board approval, if a player is wishing to play up and no players capable of playing at that age is cut. This is to ensure there are enough players retained over time in the older age groups. PARENT REPRESENTATIVE: It is suggested that teams have a parent representative who will be responsible for organizing parents for the purpose of communicating information, fund raising, team travel and general coach support. The parent rep can set up a bank account for any team fundraising/expenses which will be kept separate from the club account. The bingo facilitator requires information at the end of each season as to how much each team fundraised and how many volunteer hours the parent reps and coaches put in. As a bingo affiliate the club has to show that volunteer time and fundraising efforts. SCHEDULING GYMS (Rental costs, Ref costs): 1) Practices Teams may practice two times a week. Scheduling of gyms can be made through the club’s facilities director, Bonnie Kozlowski, 890-0077. Please contact Bonnie if you cancel a practice so our Club will not be charged for gym time. The school should also be contacted directly about your cancellation. Maintain a good relationship with the custodians! *Gym standards should be put away properly and the gym should be left clean. Coaches and players should not be using any school balls or other equipment. 2) Tournaments (Contact the club coordinators for information on hosting a tournament.) If you have a teacher willing to open, lock up and remain on site for a few hours during a tournament then a janitor fee will not be charged. On Saturdays a two hour janitor fee @$ 37.50/hour (total = $75) will be charged. On Sundays the fee will be $50.00/hour (total = $100). You will also be charged $20/ hour for a weekend tournament rental. 3) Referees Milan Fidor is the contact for organizing referees for a playday. Contact him by email: milanfedor@gmail.com or by phone 250-926-0124 (H) 250-201-1024 (C). It is approximately 150$ for 1 ref for a 6 hour playday. When charging other teams for tournaments or playdays, first consider the entire cost for the weekend (gym rental, officials) to make sure you break even. The club doesn't want to lose money on playdays EQUIPMENT: Coaches will be issued a set of balls, antenna and a first aid kit for the club season. They are responsible for the care, security and return of club equipment. When inflating balls, please moisten the needle and do not over-inflate above the recommended pressure. Count the balls after each practice or game to ensure none are missing. Players should NOT be taking balls home, vandalizing, abusing, or using them outside. Each season, missing and damaged balls cost the club over $600! REGISTRATION: 1. Teams The club coordinators will register each player and coach with BCVA on line. Players will be registered in their appropriate age group and cannot compete in younger age tournaments. A skilled player that has the agreement of the coaches may play on an older team but must be registered at the lower level with Volleyball BC. This will allow them to play on more than one team if their name is submitted on competition rosters. Registration will be done at the end of January so all team rosters should be final and all fees/information should be collected and delivered to the club coordinators. ****NOTE : When the team has decided which tournaments to enter the coach will contact our registrar Bonnie Kozlowski to enter their team into sanctioned BCVA tournaments (ie. SuperSeries, SuperSpikes, Islands Provincials, etc). When organizing a playday or attending a playday--coaches are to contact clubs directly to enter into Playdays or give out info about our playdays 2. Tournaments and Playdays CVVC covers all tournament and playday registration costs up to 13U/14U: $1000 15U/16U: $1300 17U/18U: $1400 Money remaining in a team’s budget at the end of the season may be used for Provincial tournament travel. Coaches must make arrangements with our Club Treasurer, Cindy Quigley to pick up cheques to take to their Playdays. Do not attend Playdays without paying the registration fee and be sure to bring home a receipt to give to the treasurer. Sanctioned tournaments will be prepaid when we register for them online. Plan ahead which tournaments your team will attend and register early to ensure a spot. Playdays here in the Comox Valley: Coaches and Parent reps organize their own playdays. These are not meant to be individual team fundraisers. The money the visiting teams pay must go to the club to pay for ref, gym and janitor costs. Teams may choose to provide a concession as a fundraiser. PARENT MEETINGS: Following team selection, coaches will meet with parents and players to outline the season. This could be a short meeting at the end of a practice. Coaches, players and parents should establish a season calendar indicating which playdays/tournaments will be attended with anticipated travel costs. (See travel finances) Coaches are encouraged to use your “Calendars” on HYPERLINK "http://www.cvvcstrikers.com" www.cvvcstrikers.com . Parent meetings may be held or handouts given whenever necessary throughout the season to ensure clear communication about team goals and travel. this is where having a parent rep comes in handy to help with organizing players, traveling, fundraising efforts etc. VOLLEYBALL BC: A handbook can be downloaded and printed from the Volleyball BC web site http://www.volleyballbc.ca/ under Youth Programs, Club. Coaches are encouraged to look at the Volleyball BC Web site occasionally for information. UNIFORMS: Club Colors: Blue and White. Uniforms are standardized (same color, logo and club name). The jerseys will be the same jerseys as used in the 2009 Season. Players should provide their own black shorts which coordinate with the rest of the team as per the rule book. This should be decided at the beginning of the season. Uniforms, if needed, are purchased by the player at an additional cost of $50 and reused until such time as a new uniform is required (lost, outgrown, worn out) Players will bear the full cost of a second, or replacement, uniform if required. TRAVEL FINANCES: Some of the coaches’ travel, meals and accommodations are covered by CVVC. Coaches will have their expenses paid out in 2 installments: 1st installment is March 15, 2nd installment is June 1 **once all equipment is returned**. All receipts must be in by June 15th so the treasurer can sign off the books for the season. Please keep originals receipts and dates MUST coincide with team travel. 13U/14U = $750, 15U/16U = $900, 17U/18U = $950. Any additional coaches’ expenses must be covered by respective teams. All player travel and accommodation costs are borne by the players and their families. Transportation can be arranged using parent vehicles or van rental. All arrangements for travel and accommodation are made by individual team coaches and/or parent representatives. Typical Weekend in Vancouver (two nights) Registration: Paid by CVVC up to team limit Accommodation: $70 @ $35 per night per player (4 to a room) Ferry: $30 return Van Rental/Gas/Ferry $600/10 players = $60 Total average cost: $150 -$170 plus meals per player Ferry ticket reduction for students is possible when a signed letter from a SD #71 principal is shown to the ticketing agent. Please note that ferry & gas costs are going up and that team travel can be more expensive when not all the players go to a given tournament. Travel on island can be made more cost efficient with parent drivers. If parents wish to be remunerated for gas, players of non-driving parents can cover these costs. Typical Season 3-5 playdays on Island 1-3 Super Series tournaments held in various B.C. locations Island championships for girls teams Provincial championships for all teams in various B.C. locations Nationals or Western Open -- teams are responsible for all costs unless they are held in BC. Gaming funds cannot be used to help finance a team going to a tournament outside of the province. FINANCIAL ASSISTANCE: Financial assistance may be available for players who are unable to pay club fees. Team travel expenses for these players cannot be covered by the club and may be generated through sponsorship or team fund raising or contacting Sport BC regarding Kid Sport (604-737-3190) or checking out their web site: www.sport.bc.ca SCHOLARSHIP: CVVC offers an annual scholarship of $500 to a player graduating in June and continuing in post secondary education. Applications can be found under “Forms” in our website. FUND RAISING: Each team is responsible for its own fund raising. In the past parents/players have run concessions for home play days (most local grocery stores will donate for these events see club secretary for club letterhead), sold tulips, salmon, roses, pizza, poinsettias, chocolates, had car washes and did tag days in front of businesses. 50/50 lotteries are discouraged as the license for these events cost $25 each. Other forms of fund raising using draws require a B license from the provincial government. Comox Valley Volleyball Club is registered with the Comox and Courtenay Recycling Centers. Contributors can drop off beverage containers and have funds allocated to Comox Valley Volleyball Club. The parent rep committee can coordinate fundraising for several teams. NOTE: ******Fundraising money must remain in the club as it is collected under the auspices of the club name and would harm the integrity of our club if we were to do otherwise. Fundraising made during the Club Season should only be used for Club Volleyball travel, tournament fees. Under no circumstances should money be returned to the parents and / or athletes if the money is not used up or the athlete leaves our Club. INJURIES: An accident report form is available and copies should be kept in your medical kit. It is very important that you fill out the claim form with as much information as possible for legal and insurance purposes. A copy should be given to the parents to follow through with All Sport Insurance Co. ATHLETE’S CODE OF CONDUCT: Make sure you read the code together with your players and instruct them to take it home for their parents to read, sign and return. The coach keeps all copies and could photocopy so the player also has a copy. COACHES’ CODE OF CONDUCT: Coaches must read and abide by the coaching code of conduct. Copies may be distributed to the players and parents. PARENT’S CODE OF CONDUCT: Handouts of “10 Commandments of Parents’” and “The Parent’s Pledge” will be available at the Annual General meeting. NEWSPAPER ARTICLES: It’s always great to read about club volleyball tournaments in the newspaper. Advertise the tournament through the newspaper and radio prior to the event and following it, the coach or a parent can write a short article and submit a photo. There is also “player of the week” that you can enter for an outstanding effort. When writing or advertising about the club please identify us as the Comox Valley Volleyball Club. At this time teams, coaches and players are recognized for their achievements during the season, and the Scholarship winner is announced. A gathering may include a formal banquet or informal picnic.
