Held: On September 18, 2010, Holy Cross Secondary School, Kingston Ontario

Diocesan Association Archdiocese of Kingston Meeting Minutes:
Opening:
The meeting was called to order at 9:40 am and Ian Moore lead the assembled in prayer with The Our
Father, Hail Mary, Glory Be… and asked our Lady of Guadeloupe to pray for us and the Venerable Fr
Michael J McGivney to pray for us.
The officers of the Diocesan Association were introduced. Officers present were Director: Ian Moore,
Secretary Recorder: William Coppens, Treasure: Val Dumais, Training Day Coordinator: Garry Davis
Ian Moore welcomed all brother knights to the Training Day activities and congratulated them taking the
time on such a nice day to receive training and instruction in the class of their choice. He said everyone
should gain some good knowledge not only from the class instructors but also from the shared experiences
of other classmates. The hope everyone will take back to their respective councils things that will help
them in their office.
Treasure’s Report
Val Dumais gave the Financial Statement for April 15 to September 11, 2010, for two accounts, the
General Account opening balance $3380.00 and a closing balance $2686.13, and the Seminarian Account
opening balance $2736.89 and a closing balance $4392.94. The total closing balance all accounts is
$7079.07
Detail deposits and expenditures as per the attached Financial Statement were read to members. Significant
items shared and expanded on were deposits from Haiti Fund $400.00 from Seminarian Dinner 2009
$1033.82, from Seminarian Dinner $1122.19, expenditures $500.00 to Pro-Life Congress, $135.00 to Photo
Board restoration, $900.00 to CAN-Haiti,
Val informed reminded everyone present the annual levy to the Diocesan Association are now due. The
annual levy is $33.00 per council and $20.00 per Assembly.
Motion: by Jim Jenkins that the Treasurer’s Report be accepted. Seconded: by Bernie Gelineau. Vote:
Show-of-hands: Motion was carried
Deacon Conference August 2011
Ian Moore spoke about a major Conference of the Permanent Deacons is in planning for August 2011 in
Kingston and the 1000 Islands. The three or four day event will include some 200 Deacons and their
spouses. As St Lawrence is their patron saint, the St Lawrence and 100 Islands provide opportunity to make
the conference a special one for Deacons attending from NY, Ontario and Quebec. Deacon Bill Gervais is
the lead organizer in Kingston of this conference.
Our councils and assemblies are going to be asked to support the event in whatever ways they can. Both
financial support to off set conference costs and volunteers for activates such transportations and food. It is
hoped councils from across the archdiocese of Kingston will consider helping the Deacons next August.
At the next Diocesan Association Meeting in March we will have better details on specific needs and ways
we Knights can help.
Motion: Howard Gallivan moved that the Diocesan Association support now in the amount of $1000.00 to
the Deacon’s Conference. Seconded: by Dennis Keefe Vote: by show-of-hands: Motion was carried.
Purpose, Structure, Rules of Diocesan Association
Ian Moore gave copies of the Knights of Columbus Ontario State Council document “ Purpose, Structure
and Rules of the Diocesan Association and Selection of Delegates to the Supreme Convention“ and made
comment on some of its content. He encouraged members to read the document as it explains and clarifies
what Diocesan Associations are about, how they are structured what they do or should be engaged in.
Importantly a key role is the Association support to the Bishop; or Archbishop as in our case, and act to
communicate and coordinate needs and activates to and from all councils and assemblies in the diocese. Ian
pointed out the document shows organizational structure we could employ to better focus our council
activities on a diocesan scope through appointing additional diocesan directors. It is his hope to explore
how our associations may do this perhaps in areas like Right to Life, Seminarian, Training, Communication
and others. Hopefully this idea can be expanded more at our March meeting.
An important role the Diocesan Association can play is to communicate diocesan matters and degree
information to all councils and assemblies across the archdiocese of Kingston. The Secretary Recorder is
compiling a distribution list of key contacts and developing an accurate e-mail and address distribution list
to help do this better. Please provide all your degree schedules and degree dates to the Secretary Recorder
William Coppens, (lcoppens@cogeco.ca) so he can communicate it broadly.
Next Meeting
The next Diocesan Association meeting is planned for March 27 at St Paul the Apostle Church in Kingston.
The Archbishop O’Brien will be present and talk to us. We hope to have more information on the
Deacon’s Conference and perhaps Deacon Bill Gervais to talk to us about the conference and the needs. A
full agenda will be sent out prior to the meeting.
Training Day Instructors
Training Day coordinator, Garry Davis, introduced today’s instructors and thanked them for their help.
They are: Pat Laverty – Treasure room 111, Garry Davis – Pro gram Director room 110, Ed Russell –
Financial Secretary – room 112, Dan Lewis – Trustees room 113, William Coppens – Membership 108,
Wayne Conway- Grand knight and Deputy Grand Knight 109 and after lunch in the cafeteria “ How to
Conduct a Meeting”
With no further business the meeting was closed at 10:30 and members left to various training rooms to
participate in the training day instructions.
At 12:30, Barbara Arsenault, widow of Arthur Arsenault, District Deputy for District 92 who died this last
June was a lunch guest and was presented a Letter of Appreciation from the State Deputy and State
Chaplain, a miniature PDD metal, and Art’s DD jewel of Office, by the current District Deputy District 93
William Coppens.
The Training Day classes ended and members dispersed at 3:00 pm
