Dear Coaches:
We would like to welcome you and your athletes to Balcones Country Club and the Area 13
Tennis Competition. We feel fortunate to have our Tennis Competition at Balcones and to be
able to provide the athletes with the opportunity to compete at their wonderful facility. We’d
like to send a huge thank-you to our Spring Games Committee and the Balcones Tennis
Committee for helping to make this event possible.
We have a great group of volunteers working to make the Athletics competition a top notch
experience for the athletes. Please take a moment to say thank-you to our competition
director, Taylor Jones, and all the wonderful volunteers.
Please remember we are guests of Balcones Country Club. Please ask your coaching staff,
athletes, families and fans to be respectful of their property by picking up after yourselves
and not littering.

1) WHAT TO BRING:
Teams and athletes are reminded to bring the following:
 Athlete Medical Forms.
 Athlete Medications.
 Athlete wristbands that you will receive at the coaches’ check-in.
 Special food items for athletes on special diets.
 Sunscreen, hats, visors.
 Dress in layers and be prepared for all types of weather situations.
2) DRIVING DIRECTIONS: Balcones Country Club, 11210 Spicewood Club Dr., Austin, TX 78750
From Austin:
 Take IH-35 North to 183 N / Lampasas. Take the 183 exit ramp onto N 183. Exit Anderson Mill
Rd and turn left. Turn left on Spicewood Parkway. Turn right on Spicewood Club Dr. The
clubhouse and parking will be on your right-hand side.
From Round Rock:
 Take 620 West to 183. Take 183 South, exit Anderson Mill Rd. Turn right on Anderson Mill Rd.
Turn left on Spicewood Parkway. Turn right on Spicewood Club Dr. The clubhouse and parking
will be on your right-hand side.
From Leander:
 Take HWY 183 south to Anderson Mill Rd. Exit and turn right on Anderson Mill Rd. Turn left on
Spicewood Parkway. Turn right on Spicewood Club Dr. The clubhouse and parking will be on
your right-hand side.
3) BALCONES COUNTRY CLUB:
 Restroom facilities will be available inside the clubhouse. One port-o-potty will be available
outside Courts 1-4.
 Please do not leave valuables unattended. Balcones Country Club / Special Olympics Texas will
not be liable for lost equipment or personal belongings.
 Athletes must be supervised by coaches / chaperones of same gender.

4) COACHES REGISTRATION:
 The HOD (or a designated Head Coach) from each delegation must check in upon their arrival
at Balcones on Saturday. There will be a Coach Check-In table across from Volunteer
Registration inside the clubhouse.
5) FOOD:
IMPORTANT: Balcones Country Club will be providing food for all athletes this year; most likely,
food from the grill – burgers, hot dogs, etc. If there is enough food, coaches, volunteers, and parents
should be able to eat as well. Those with dietary needs should bring their own food. Please be sure to
thank Balcones Country Club for their generosity.
6) OPENING CEREMONY (Saturday, 8:30am-8:45am):
Opening Ceremony will be held on the outdoor patio between the clubhouse and courts 5 through 8
(see site map). We’ll start at 8:30am and end by 8:45am.
7) RULES:
We will be abiding by the rules in the Official Special Olympics Summer Sports Rules book & Sports
Information Guide.
Coaches Conduct:
Will be followed to the extent of the signed coaches conduct form from the Area Conference and
guidelines as published in the Sports Information Guide.
8) RAIN / EMERGENCY PLAN:
If there is a weather emergency that results in the cancellation or delay of our competition, I will call
HODs personally with our immediate plan of action.
Please remember that we always make every effort to hold our competitions until the last minute.
However, if you feel that it is unsafe for you and your athletes to travel, please use your better
judgment and let us know what you decide. The safety of the athletes is more important than the
competition.
9) AWARDS:
Awards will be held on the outdoor patio (the same one used for opening ceremonies).

10) MEDICAL:
EMS will be available throughout the competition. In case of an emergency requiring medical
treatment, patients will be taken to the nearest hospital:

A First Report of Injury must be filled out on all medical incidents no matter how minor they seem.
Any medications brought to the competition must be in the dosage needed for that day only and
must be administered by a designated member of your staff. EMS will not administer medications,
prescribed or over the counter. Please keep all medications secured.

11) INSURANCE:
SOTX provides secondary insurance coverage only. If any expenses result from an SOTX injury, pls
first submit all medical bills to your accident insurance company. If unpaid balances remain after
processing by the primary insurance company, a claim may be submitted through SOTX. If the
injured party does not have insurance, a claim must be submitted. For additional information, pls
refer to section H of the Sports Information Guide.
12) PROTESTS:
All protests must be submitted within 30 minutes of the completion of the event being protested.
Protests can only be submitted for misinterpretations of the rules by a game official. A copy of the
protest form is included in this handbook. Completed protest forms should be turned in to Taylor
Helfeldt Jones or David Johnson within 30 minutes of the completion of the event.
13) EVALUATION:
Special Olympics Texas would like to thank you for participating in the 2014 Area 13 Tennis
Competition. Please take the time to fill out the evaluation form to provide constructive ideas on how
we can continue to improve the competition for the athletes. A copy of the form is included in this
handbook. If you would just like to email me your evaluation instead, pls feel free to do so.
