MINUTES
Current status and next tasks
Current budget and task change was presented to all the participating partners with details
explanation together with a short overview with upcoming tasks which has to be discussed during
the meeting.
Brochure
Nina presented the Dutch brochure with the products for seniors.
After presentation was agreed that Nina sends the electronic version of brochure for all the partners.
All partners have to do a cross check with special attention to the price and make sure to send High
resolution pictures for printing.
Due to the partner change the new brochure for Norwegian seniors is being translated. Agreed that
LC will review and shorten the EN text and then Hanen can do the same to NO. Design for EN and
NO will be done in NL.
E-leaflet for product dissemination
Lead partner “Lauku Celotajs” will do the e-leaflet and will send to all the partners for translation.
All partners using Latvian as a template, will need to develop their own e-leaflet in partner
language. Additional leaflet will have to be done in German and French (Klaus – EuroGites)
Operative system
Klaus briefly summarises the two parts of the Senior Card system: agreement between RT
association and provider; and a similar agreement between Senior Organisations and the RT
association that manages the card in its area (tbd). A short discussion for clearly understand the
system: senior client gets the card from senior organisation in his country. Having this card the
client is entitled for the discount which is given by the accommodation provider at the moment of
payment for the accommodation service.
It was agreed that Klaus will do the evaluation of operative system and rules at the end of the
project.
It was also discussed that review and possible updates of the operative system rules could be done
after the product testing.
Agreed that Asnate sends guidelines to all the partners and all the partners have to send the feed
back till the 23rd of June.
Questionnaire for the client and providers for feedback of testing
Discussed the possible questions for two questionaries’ – one for the clients and one for providers.
Agreed:
Client questionnaire – to be developed by NL and Hanen;
Provider questionnaire – to be developed by LKTA and Eurogites;
Deadline for the both questionnaires – the 21st of August.
Possible questions to be included:
Why they choose rural tourism?
Why do they choose? Product or the Country?
How was the trip?
What the booking easy, What transport used? Was accommodation ok?
Also Nina will do a short summary of the FAQ which they get from the senior inquiries,
reservations.
Dissemination WP
Agreed that Klaus prepares and proposes exploitation plan.
Web site and IT
Klaus presents structure of SenGor on Eurogites website, explanations about possible layout, access
rights, and work to be done:

Each partner will be responsible to provide the content and it will depend on each partner
how much input will be done. Access to the CMS will be only for the organisation, not the
individual providers.

Senior products will be put on Eurogites website till the 31st of August

Information will have to be translated in to EN, GER and FR. For EN, full products (widely
already available); for GER and FR, only summaries
Each partner will have to do the specification for the IT development on their own website.
Lauku Celotajs has already developed the tender/tasks to be done for Latvian website and it was
presented to all the partners at the meeting. Example will be sent to all the partners. Partner
websites must be ready at the end of the project.
Important remark: due to the partner change, the Hanen website section for senior test products to
choose from has to be ready ASAP.
Other points
Klaus will do the brochure for the providers till the 10th of December.
Asnate reminded that partners who had national workshops have to send the participant list, agenda,
minutes, photos and the presentations.
Klaus presented the situation regarding the next meeting in Belgium. Agreed that the dates for our
meeting must remain as planned, due to project progress (the IT event is too early).
Final meeting dates in Spain: agreed for 18th – 19th Feb 2016.
Reporting
Asnate informed for the partners to be ready to report the spending until the 10th of September as
the Report to be submitted by the end September.
Card design
Klaus presented possible card design options.
Agreed on full suitcase at the front with logos at the back. Also a card number needed. Klaus will
send asap the costs for card printing.
