The contract was advertised in Tender SA, calling of the contract commenced on Tuesday 27th July and closed on the Wednesday 11th of August at 4pm. During this period expression of interest was expressed from local, state and interstate based companies. Four companies submitted tenders for the contract. The contract is in two parts. Part 1 is a Lump Sum amount for the removal of vegetation within Council’s Vegetation Clearance envelope on a list of high priority roads. This also includes roads contained within 2010-2011 unsealed road resheeting program. Pruning types are broken into six categories depending on the road type – unsealed or sealed and the amount and density of vegetation within the clearance envelope. Rates have been submitted for 500m sections of road. Contractors have also submitted a schedule of rates for plant and labour when additional works or variations to the contract are required. Envirotrim is a Victor Harbor company and has been undertaking rural roadside vegetation maintenance and tree removal for Council for the past 10 years. Envirotrim quality works has been reasonable in the past years; however their cost has been steadily increasing over the past few years. On Friday 13th August, Envirotrim was interviewed to ensure that they fully understood the specifications and that their tender responses meet all council’s expectations. ACF10388 Moved Cr Saunders seconded Cr Rusby: 1. That Council enters into a contractural arrangement with Envirotrim to undertake the Rural Roadside Vegetation Maintenance and Removal 201011 Financial Year. 2. That the remaining $62,190 to be spent in the second half of the financial year on further rural roadside vegetation maintenance and tree removal. 3. That pursuant to Sections 91(7) and (9) of the Local Government Act 1999, the Council orders that the minutes of the Council meeting held on 6 September 2010 in relation to confidential item 40.5 and titled 'Rural Roadside Vegetation Maintenance and Removal' and the information by way of a report and any associated attachments thereto remain confidential and are not available for public inspection (except for the purpose of advising the Field Services Manager, General Manager of Engineering Services and the Environmental Sustainability Officer) for a period of twelve (12) months from the date of this meeting and that this order be reviewed in twelve (12) months time.
