Dear Sisters,
I am writing to you concerning the Joint European Area Seminar which is to be held at
Hotel Selene, Pomezia, Italy (outside of Rome) 5-9 June 2014. The Seminar will be
preceded by the Weaving Together Programme, 3-5 June 2014, which is to be attended
by the Unit Presidents. Here attached you will find the booking pack. Please, pay close
attention to the following instructions and requirements that you have to meet:
1. Unit Presidents are expected to attend the Weaving Together Programme.
They have to arrive on 3rd June. The Weaving Together Programme starts at 4
p.m. We will book a minibus to transport participants from the airport. Be prepared
to wait a bit until you are transported. Those that arrive at the railway station, there
is a free of charge shuttle from the railway station to the hotel. During the Weaving
Together Programme the Unit presidents are expected to share information
about the life and work of their particular Unit (i.e. their own Women’s
Organization). The other participants should arrive on 5th June
.
2. All Unit Presidents should send short information (about 150 words) about
their Units which will be placed into the Seminar booklet: what would you like us
to know about you. In those cases where the Women’s Organization is not active
or is non-existent any more, please send us some information concerning this and
if there is no Unit President we ask the corresponding person to send us this
information. In case any of the Units have decided not to participate in the
Seminar still you are expected to send this short information. Please e-mail it to
me. For the Units that consist of two countries each country will have a 150 word
information slot.
3. At the Seminar all Units are expected to bring an A3 poster with their logo,
information, pictures and prayer requests that they would like to share with
others. The posters will be placed at the display area. One poster per Unit.
4. According to the World Federation Handbook Europe Continental Area consists of
the following Units: Austria, Belgium, Bulgaria and Romania, Czech Republic and
Slovakia, Denmark, Estonia, Finland (Swedish speaking and Finish speaking),
Germany, Hungary, Italy, Latvia and Lithuania, Norway, Serbia and Macedonia,
Poland, Portugal, Russia, Spain, Sweden, Switzerland and France.
5. There is a very limited number of single rooms – up to 30. You are advised to
share rooms (twin or triple rooms). If you need a single room, especially for health
reasons, we will try to accommodate you, but please book early. There is an extra
charge of €80 (for the 4 nights) which is payable on arrival.

 Send a deposit of €50 by cheque or bank transfer. Cheques should be sent
in a secure way. Inform the Area President, Rev. Margarita Todorova, that
you have paid the deposit and by what means, as well as when you make
the final payment. The deposit and the conference registration fee are nonrefundable.

Early booking is advised. All booking forms must be received by 16 January
2014. Final payment must be done by 28 February 2014.
7. Language: The Seminar will be conducted in English. If necessary translation will
be provided from English to Italian, German and Russian. We need voluntary
translators, if possible 2 per language. The translators should be participants of
the Seminar. Please, send me the names of any voluntary translators. We
expect fewer people speaking French and Portuguese. Those who speak these
languages will be asked to translate person to person to the ones who do not
speak English. Participants will be divided into groups according to the knowledge
of languages. Please indicate on the booking form whether you are able to
serve as translator or not.
8. Workshops: Participants are expected to choose a Seminar Workshop and a
Creative Workshop. Bookings for the workshops on site. We are still looking for
someone to lead a workshop on drama and music/singing. If there are
people in your Units that are capable and willing to offer a creative workshop
and even a Seminar workshop (on the theme of “Hope” for a specific group
of women), please send the names of the volunteers with a very short
description of the suggested workshop as soon as possible.
9. Check whether you need a visa and inform us as soon as possible in order
to provide you with a letter of invitation.
10. Don’t forget to bring a black shirt or T-shirt for the Thursday in Black worldwide
campaign raising awareness of Violence Against Women.
11. Market space: Please indicate whether your Unit wants to have a market space
for selling crafts or locally made items.
12. There will be no bags provided in the welcome pack. Bring your own or
purchase one at the market place.
13. Membership fees and Helen-Kim Scholarship payment: Those Units which
have not paid their membership fees for the present quinquennium and/or HelenKim Scholarship should bring the money cash to the Seminar and give it to the
World Treasurer Leu Pupolu. The money that is due is as follows: 3 US cents per
member for the first year (2011/2012) and 4 US cents per member for each of the
next 4 years. If none of your Units are planning to attend the next World Assembly
in Huston, USA, which is to be held at the end of August and the beginning of
September 2016 and desire to pay your membership dues for the next
quinquennium in advance you will be welcomed to do so at the Seminar. The
Helen-Kim Scholarship is $100 per Unit per quinquennium. That money is to help
2 young women from each Area to attend the World Assembly. If any Units are
experiencing difficulties in paying their dues please contact us and explain your
difficult situation so that we can see how you can be helped out.
Please, read the booking pack carefully. Pass on this information to the women in your
Units. Booking forms should also be available on the Europe Continental webpage at the
World Federation website: www.wfmucw.org. Start booking for the Seminar as soon as
possible. And remember, mail the booking forms to me and the money to Italy.
