PARTNER NAME Pay It Forward Tour Agreement The Pay It Forward Tour is a multi-day, multi-city service and leadership experience focused on components of service, social education, and reflection. Students will ultimately return home with a commitment to action in their own lives, schools, and communities. STLF will work with you in partnership to ensure that activities and program curriculum achieve your desired goals and outcomes. This document serves as a working agreement and financial commitment for our partnership. PROGRAM OVERVIEW, RESPONSIBILITIES Program Overview: The Pay It Forward Tour is a multi-day, multi-city service and leadership trip. This Middle School Pay It Forward Tour program is customized to fit the scheduling needs and desired outcomes of the schools and students involved. Program components include: Service projects in two communities educate and engage students in social issues. Enrichment experience to provide a fun and educational form of entertainment. Evening activities focused on reflection, relationships, teambuilding, and commitment to action. College leaders serve as facilitators, organizers, and positive role models for students. Travel by Coach Bus provides fun, meaningful and financially efficient transportation for large groups. Students will travel to three communities in four days, and carry out three service projects. Students will generally travel in the afternoons and arrive in each city during the evening. Each night includes structured leadership and reflection activities, and all service projects are carried out in partnership with a local community or nonprofit organization in the city we are visiting. Here is the tentative route: Routes: Departure City City 1 City 2 Responsibilities: STLF will be responsible for 100% of the logistical planning, financial management, and facilitation of this program. The school partner is largely responsible for communication of program information to students and to ensure for sufficient participation numbers through recruitment efforts. These responsibilities include but are not limited to: STLF Responsibilities School Partner Responsibilities Recruiting and training Tour leadership to organize and facilitate the program Booking and managing all transportation arrangements with motor coach companies and professional drivers. Booking and managing all lodging arrangements. Booking all required meeting space. Organizing all service projects on Tour. Providing 3 meals per day to all Tour participants, leaders and staff. Supplying Tour t-shirt for each participant, leader and staff member Maintaining sufficient online resources for the Tour for student and parent access to information. STLF will provide details for family informational meetings and communicate program details to school contacts and families. Communicating to students clear expectations of the program in advance of the Tour. Identifying two or three school staff members for each of the buses who are willing and able to take part as a chaperone and representative of the school’s policies and expectations. Assisting in communication with student participants, and working to ensure that sufficient numbers of students per bus will take part in the Pay It Forward Tour. Providing STLF with a list of participants and genders for each bus at least one two weeks prior to the Tour. Informing STLF of important issues that students face in the school and clear outcomes desired from the experience, so that we can work to address in program design and curriculum. Coordinating logistics, communication and funding for additional enrichment opportunities if desired (Baseball Game, Movie, etc). These enrichment opportunities will include admission for all participants, leaders, teachers and staff. 1 FINANCIAL COMMITMENT Total Payment – $____________ STLF is charging a flat rate to carry out the all aspects of this program. This amount is based on information outlined in this Agreement – number of buses, amount per bus, length of trip, etc. STLF is responsible for fulfilling all responsibilities as outlined, and the School Partner is responsible for ensuring for the appropriate number of Financial Summary students per bus. This payment can be made in two installments as described below, or all at once by the deposit due date. Deposit – $_________ STLF requires a non-refundable deposit of $____due six weeks prior to the Tour. This amount and due date is clarified in the box to the right. Cancellation/Reduction Policy If circumstances call for cancellation or reduction of programming (for agreements with multiple buses) described in this agreement on behalf of the school partner or insufficient numbers of student participants, it may cancel or reduce programming under the following provisions: Within Six Weeks from Departure Date: Complete cancellation within six weeks from Tour departure date will result in loss of Deposit. Within Two Weeks from Departure Date: Complete cancellation may result in a charge for program investments and overhead in an amount up to but not exceeding half the Total Cost agreed upon. Student Participation Range Requirement: If it appears student participant numbers for one or more of the buses varies from the range outlined in the box at the right, please notify STLF two weeks or more prior to the Tour departure. STLF reserves the right to consolidate or cancel Tours that are below the student minimum or cap registration and create a waiting list for Tours at the student maximum. Please refer to the Cancellation and Consolidation Terms outlined above for financial implications of such occurrence.
