LOS ANGELES UNIFIED SCHOOL DISTRICT Pupil Services and Attendance Attendance Improvement Meeting (AIM) Planning Checklist STEP ONE: Identify the Target Population _________ Identify all students with 7 absences or more from the previous year and students not meeting the Performance Meter of 96% based on the number of school days for the present year. Print the Attendance Summary Report from ISIS (under Reports, Attendance- General) or for secondary school print an AT24 (SIS) extract. _________ Screen students for medical conditions by providing a list to the school nurse. _________ Review students’ CUM records and note attendance history or MyData Comprehensive Student History Report- Summary whenever possible. STEP TWO: Parent Meeting PREPARATION ________ Set date, time and location in collaboration with key staff, Principal, APs; check the master calendar for event conflicts. _________ Reserve room (Auditorium/ Multipurpose, etc) for AIM. _________ Arrange translation by requesting services on-line: http://translationsunit.com/ _________ Recruit a panel to speak at the AIM. _________ Review Agenda with your Principal, AP. _________ Provide information to the staff about the AIM, identify staff who will answer questions and note information for parents who notify the school that they won’t be able to attend meeting. _________ Prepare scripted response for school staff who may be questioned about the meeting. The consistent message from school staff 07/30/2013 Attendance Improvement Meeting Planning Checklist 1 LOS ANGELES UNIFIED SCHOOL DISTRICT Pupil Services and Attendance should be something like “this is about your child’s attendance and it is a mandatory meeting.” _________ Print address labels (4 sets) “To the parent of” student’s name, address and zip code (one for the envelope and one for the top of letter itself). The other sets will be for the Follow Up Letter (one for the envelope and one for the top of letter itself). _________ Invite other school programs to participate (i.e. if you have ROTC in your school students can help during the meeting). TWO-THREE WEEKS PRIOR _________ Mail invitation to parents for AIM on school letterhead. ONE WEEK PRIOR _________ Verify on-line that translation will be provided. _________ Make arrangements to reserve parking for Panel guest speakers, send or e-mail parking instructions. THREE DAYS PRIOR _________ Send home via a backpack letter a second invitation to AIM with student. _________ Create a sign-in sheet listing the names of students invited to Parent Meeting and add lines for Parent’s signature. _________ Prepare packets with information Re: school resources, support services or intervention programs (tutoring…). Make copies for Parents attending meeting. _________ Generate a Connect-Ed reminder or if possible have a staff member make phone calls. AFTER THE PARENT MEETING _________ Mail follow-up letter to all parents regardless of being a no show or present. ________ Schools must keep a list of parents of students invited to Attendance Improvement Meeting. _________ At Secondary sites, ask designee over SSIS what field can be used to track students invited to Parent Meeting.
