Please read it carefully as there are several important things which you will need to act upon before arriving at Wycliffe Hall. It mentions several important forms which need to be returned to us as soon as possible to ensure that your registration with Wycliffe and the University happens smoothly. You should have received a copy of The Guide, a resource about life at Wycliffe and Oxford produced by current students but if you have not or need another copy please contact the admissions office. When you arrive, you will also receive a copy of the College Handbook, which gives you detailed information about life at Wycliffe Hall, including college policies and structures. ADMINISTRATIVE INFORMATION Arrival and Welcome Events The Wycliffe term begins on Sunday 6 October with a community buffet lunch. For those living in on-site college accommodation, You are welcome to arrive from Monday 30 September. Meals will be available in the Dining Hall from breakfast on Monday 7 October. From Monday 30 September food and provisions will be available for you to self cater. Please note reception is open from 8.30 to 4.30 (Monday – Thursday) & Friday (08:30 to 4.00). If you are unable to arrive between these times please speak to the Assistant Bursar to discuss your particular circumstances. Please let the Assistant Bursar know your expected arrival date. If you are living out of college, please liaise with the Assistant Bursar, (telephone: 01865 274201). Further information about staff and students in the community, the term ahead, and general information about life at Wycliffe to help you settle in, will be in the College Handbook which will be available online for you by August 21. What to bring Students living in College You will be provided with a furnished study bedroom, which will have a bed, wardrobe, chest of drawers, desk and chair, some bookshelves, and an easy chair or two. Some rooms will also have a sink. The room will also have internet access. If you are coming from the UK, you will need to bring your own sheets, pillow and pillowcases, duvet and duvet covers and towels; students travelling from overseas can borrow these items from Wycliffe (please inform the Assistant Bursar if you would like to). Please bring your own belongings, pictures (picture hooks can be put up but no blue-tac is allowed), pot plants etc., to make your room more homely and comfortable. Please note that candles are not allowed to be used in any college accommodation. You can bring a TV/video/DVD but you will need to pay for a TV licence if you intend to use your television to receive television broadcasts (www.tvlicensing.co.uk). Other useful bits and pieces include extension leads and bedside lamp/standing lamp (for mood lighting!). From past experience, it is best to arrive with little and decide on what else you may like once you have moved in. International students please note that electrical goods in the UK work on a voltage of 220V and use 3 square pin plugs. There are limited kitchen facilities available in the residential areas, so it is advisable to bring your own kettle, mugs, tea, coffee, etc, for entertaining in your room. Breakfast, lunch and dinner, of course, are provided in the dining hall every day during term. 4 During the vacations, term time rooms in college are needed to accommodate conference visitors. Students in study rooms or term time study bedrooms will need to move out at the end of each term. There is limited storage space provided in college for your belongings, so you may like to plan what you bring accordingly! Students living out of College Ordinands and postgraduate students living out will have a study desk in college. There will be desk space, bookshelves and an internet access point to plug in your own computer. Tea and coffee making facilities are available in the student Common Room, but you may wish to bring your own mug(s). Lunch is available in college daily for students living out. Gowns University Gowns and Subfusc Any student who is enrolled on a matriculated University course will need to wear appropriate academic dress for the ceremony of joining the University (called ‘Matriculation’ – see below, page 8 for further details) which happens on the second Saturday of Michaelmas Term (see ‘Term Dates’ below for an explanation of term names), as well as for University exams and graduation. You will also need a mortarboard cap (women also have the choice of a soft black cap). There should be information about suppliers in your pigeonhole when you arrive Second-hand gowns, caps and other items needed for subfusc can often be found cheaply at the beginning of term, or you can borrow them from other students. You can also buy your gown from local outfitters in Oxford (located on Broad Street, High Street and Turl Street). They can also be ordered online: http://www.shepherdandwoodward.co.uk/acatalog/Oxford_University_Student_ Gowns.html There are different types of gown, depending on the degree for which you are reading and your past academic qualification. The basic rule is that anyone reading for an undergraduate degree (BTh, CTh, First or Second BA) must wear the Commoner’s Gown. Anyone reading for a postgraduate degree (MTh, MSt, MLitt, DPhil, DipTh) must wear a Graduate Gown (Advanced Student Gown). These shops know what you need, so ask if you're not sure - all they need to know is the name of your course. They will have plenty of stock available at the beginning of term. This gown must be worn over the following outfit (called ‘Subfusc’): Men. A dark suit and socks, black shoes, a white bow tie, and plain white shirt and collar. Women. A dark skirt or trousers, a white blouse, black tie, black stockings and shoes, and, if desired, a dark coat You will need to wear subfusc and your gown when you sit any University examinations, and when you graduate. It is obligatory also to carry your mortar board or soft cap, but you should not wear it (meaning you can borrow one that doesn’t fit and it won’t matter!) 5 Wycliffe Hall does not require the wearing of gowns on any other occasion, but some Oxford colleges require gowns (but not subfusc or mortar boards) to be worn for formal dinners. You do not need to wear gowns for University lectures. Day-to-day dress is informal, although there will be occasions (dinners, balls, special services etc) when formal attire will be appropriate. Clergy Robes Anglican ordinands will, in due course, need a cassock and surplice. It is usually possible to borrow these at first until you are able to buy your own. Clerical outfitters visit the Hall from time to time, and sometimes second-hand clerical robes are given to us for students. Student University Registration For students on University of Oxford courses, you need to complete a process of registration with the central University. There are several components of student registration: (1) Data Entry Form (2) Student Contract (3) Registration For Second BA students (including those doing the BA+CTG), there is one further element of registration: (4) Providing evidence of your previous degree. These components, and what you need to do to complete them, are explained below. Please read this carefully. 1. Data Entry All students on University courses must enrol on their course with the University. How this happens depends upon your course: (a) For all postgraduate students (including MTh in Applied Theology students), BA Students, and Visiting Students who have applied via the University, enrolment will be done automatically using the information already held about you from your application form. You therefore do not need to complete any other forms and can skip straight to the next section on the Student Contract. (b) For DTPS, BTh, CTh, CTG, and Visiting Students who have applied directly to Wycliffe Hall, you will need to complete the Data Entry Form. If you are intending to take one of these courses, this form should have been sent to you. You should also read the accompanying notes for guidance, which should also be sent to you. (c) For Second BA Students (including ordinands on the BA+1 year ministerial training) course, you need to complete the form entitled UCAS European RPA. This enables you to be put onto the undergraduate admissions system of the University, which can then be used to enrol you on the BA course. If you are intending to take this course, then this form should have been sent to you. 6 2. The Student Contract All students on University courses must complete a student contract confirming that you will abide by the rules and requirements of the University. Once again, who sends you this contract depends upon what course you are on. (a) If you are a postgraduate (including the MTh in Applied Theology) or a first degree BA student), the University should send you a copy of this contract to your home address automatically (b) If you are on the DTPS, 2nd BA, BTh, CTh or CTG, the contract should have been sent to you. The contract also acts as an application for your University Card (an identity card which contains your name, college and status and will be used to gain access to University facilities, such as the Bodleian and Theology Faculty Library). You cannot get a University Card without returning a contract. The University Card contains a photograph of you and you will see the Contract form therefore asks for you to include a photograph for this purpose. Wycliffe Hall has already asked for four photographs of you for our files. Therefore, when you return the forms to us one of these four colour passport-sized photographs will be used for your contract. We will attach one of these to the University Contract form and forward this on to the University. We will keep the other three photographs for our files. You should return this Contract to Wycliffe Hall, who will forward it to the correct office in the University. This form must be returned to Wycliffe Hall by the 1 August 2013 at the latest. If you receive a copy of the Contract directly from the University rather than with this pack (e.g. if you are on the MTh course), please follow their instructions for returning it. 3. Online Registration You will complete this process online, by following the details which will be sent to you by the University’s IT service. This will be by email and will give you the credentials to access Student Self Service where you will be able to register. Registration will open on September 1st and close on October 12. The email will contain a username and password. Further information about this is available on the University website http://www.ox.ac.uk/students/. Follow the instructions which you receive about registration. When you have successfully logged into the online student information facility, you can amend any personal or course details which are wrong. There is also a facility on here to print out a certificate confirming your place on a course (for proving Council Tax exemption, or applying for student bank accounts, railcards etc). Eventually this facility will also provide you with transcripts and results, although this is still in development by the University. When you have done this, the college will also need to confirm that you have arrived in Oxford. So that we know you are here, please sign and date the slip which will be in your pigeon hole when you arrive at college. 7 Each year you are here, you will be asked to login to SIS to confirm that you are continuing your course, so keep the username and password safe, especially as it is unlikely you will need to use them frequently throughout the year. 4. Second BA Students Only: Evidence of Previous University Degree Any students who are taking the Second BA will need to bring with them their degree certificate and, in addition a certificate signed by an appropriate officer of their previous University, stating that they have been in residence at that University for a period of not less than three years. Photocopies are not acceptable; it must be the original. This needs to be given to John Michaux, the Admissions Officer as soon as you arrive. The University must see these documents by the FIRST DAY OF TERM AT THE LATEST so it is imperative that they are handed to John Michaux as soon as possible. This does not include any student who attended Oxford University for their first degree. Matriculation Matriculation is the official ceremony at which you formally join the University. All students who have not previously matriculated at Oxford need to go through this ceremony. Students who have previously matriculated or are graduates of the University of Cambridge or Trinity College Dublin do not attend this ceremony, but all other students must attend. Matriculation happens on the Second Saturday of Michaelmas Term, which this year is Saturday 19 October 2013. There are several ceremonies throughout the day and colleges are allocated a time slot for attending. You will meet the Senior Tutor beforehand at Wycliffe Hall and walk down to the ceremony as a group. It is crucial that you attend this ceremony. If you do not you will not be a member of the University. The exact time will be confirmed nearer the date but it is usually in the morning. You will need to be dressed in Sub-Fusc for this ceremony (see details above). The ceremony will last about half an hour. You will not be required to say or do anything during the ceremony (some of which is conducted in Latin); you just need to be present. After the ceremony is over, there are no other events scheduled, so you can return to college or your accommodation at your leisure. Finance & Fees Graham Robinson, the College Accountant, will be writing to all students who are not ordinands to explain the fee structure and payment procedures. For ordinands, fees are covered by the ministerial grant from Ministry Division (formally ABM; or equivalent for Wales, Canada, etc), unless a Local Education Authority grant has been awarded, in which case the Ministry Division will make up any difference. Ordinands will need to complete the bank details forms included in this pack. 8 These are the details of the Wycliffe Hall Bank Account which you can use to make any payments to Wycliffe Hall. DBS information For ordinands details about the Disclosure and Barring Service is enclosed otherwise further information will be provided during the first term. Further enquiries, please contact: john.michaux@wycliffe.ox.ac.uk Health You should register with a GP when you arrive at Wycliffe Hall and there are GP surgeries in Jericho and Summertown. It would also be useful if you have significant allergies or health issues or a hidden disability that you let the Hall's first aider know. Please do let the kitchen know if you have special dietary requirements. We can cater for food allergies and intolerances if required. However our caterers require a letter from your GP giving details of this so as to ensure your needs are fully met. Any information will be treated in the strictest confidence. 9 B. It also includes learning to apply your theology to the changing world in which Christian ministry takes place today, often by experiencing aspects of Christian ministry first-hand. There are three main ways in which such experience is gained: 1. During your first year you will have the opportunity to join a college mission team. Each year there are mission teams formed for a variety of different mission contexts, including parishes, prisons, drug rehabilitation centres, and overseas mission. Preparation for preaching forms an important part of your Christian ministry. There are regular preaching classes and you will be expected to be observed preaching and observe others during your time here. It is anticipated that these will take place on four Sundays between 3rd November – 8th December 2013 and one Sunday between 6th January – 9th March 2014. These dates are allocated according to availability indicated by local parishes. 2. to the end of Michaelmas term and on Sundays in Hilary term. You need to ensure that you keep these Sundays free to fulfil this commitment. 3. You will be expected to attend regular classes in voice and communication skills. 11 4. For those doing ministerial courses (MTh, CTG, BA+CTG, BTh, CTh, DTPS) in your penultimate summer vacation you will undertake a long placement (probably in a parish). You should ensure that you do not make any other arrangements for the first six weeks of that vacation. You will also be involved in weekly placements through the year, but not usually during your first year in college, unless you wish to do so, in which case please have a word with your Fellowship Group Tutor. 5. At several points during the year, the college provides a programme of Integrated Study Weeks, which explore important issues for ministry in the light of the Bible’s teaching and first-hand experience. These will examine many interesting ethical, pastoral & theological issues raised by our study of the Bible and such experience. All ministerial students are required to fulfil a number of these during training. Full details of these placements and study weeks will be available once you arrive in college. Term Dates Wycliffe Hall follows the Oxford University pattern of terms, which are called: Michaelmas (Autumn), Hilary (Spring) and Trinity (Summer). The names of the terms derive from Church festival days which fall within, or near to the beginning of, each term. An Oxford University term lasts eight weeks. There are three terms per year. Wycliffe Hall follows the pattern of these terms, but we add on several weeks either side of the Oxford term in order to provide the additional ministerial training required by the Church of England. Attendance in College is required during Wycliffe Hall term dates. Any absence needs to be authorised. They will also give you a course handbook setting out the regulations pertaining to the course. Wycliffe Hall Library The Hall Library is to be found at the south end of the site, on the ground floor of the building called Old Lodge. Here you will find over 23,000 books, 40 print journals (and access to many electronic titles), five computers to work at, two networked printers and a Librarian. 13 All the books are catalogued on to an internal computerized database, and we now have automated borrowing and return. The book-stock is designed to support all your basic study and information needs, and in most cases goes beyond. There are Reference and Reserve sections, a New Books display, Periodicals with back-runs and many Databases to explore. You will also be able to search the catalogues of other libraries in Oxford, giving you bibliographic access to over twelve million volumes, and even beyond that if needed. There are network points in certain places for your laptop, and we are running a wireless network too. In the early days of Michaelmas Term you will have a Library Induction, when all the points mentioned above - and several others - will be explained more fully. Forms you will need The following forms need to be completed and returned to the Wycliffe Hall Admissions Office as soon as possible. Not all forms need to be filled in by all students. You should have in one of the mailings to you the correct forms for your course, but please check by reading the relevant sections above. 1. Bank Account Details* These are needed from Church of England ordinands to enable the payment of Ministry Division grants direct to your bank account. The details will not be used to take payment from your account. 2. Computer Registration Details If you plan to bring a laptop or desktop computer you will need to complete this form to enable you to gain access to the internet via the college network (either through Ethernet ports in college rooms, or via the wireless network in the main college building and library). 3. Parking Permit Please complete this form if you wish to park your car in college. A parking permit does not guarantee a space and the car park works on a first-come, firstserved basis. Students living in college accommodation have a reserved parking area at the rear of college. 14 4. Data Protection Form Please read the Data Protection statements and sign to indicate your consent to them. E. New Address Details Please complete this when you know your new address in Oxford. 6. Request for Photographs Please send us four passport sized photographs. One is to be attached to the Student Contract, so you do not need to attach a separate photo to this form. 8.
