The Financial Management & Administration Centre in UNICEF Supply Division, Copenhagen is seeking a dedicated SENIOR ADMINISTRATIVE ASSISTANT (GS-7 level) PURPOSE OF POST: Under the general supervision of the Administrative Officer, the Senior Administrative Assistant oversees the maintenance and optimal functionality of premises, alarm systems, technical installations and provides administrative support to the Administration Unit. 1. Develops plans for the maintenance of the UNICEF premises (buildings, installations, grounds and furniture & equipment) and for adequate safety and security measures. 2. Develops, implements and co-ordinates security and safety plans as approved by the supervisor or management, including periodic fire drills and first aid training of staff. 3. Arranges for mandatory inspections of equipment and installations in accordance with requirements of Danish rules and regulations, and of the landlord. 4. Monitors service agreements for regular maintenance and periodic inspections, and initiates the administrative process of renewing these agreements. 5. Works with Contracting and Procurement sections to perform procurement activities, including vendor research, evaluation of customer needs versus available budget, recommend qualified vendors, establish evaluation criteria and recommend contract award. 6. Liaises with the Danish Ministry of Foreign Affairs on matters related to major repairs/addition and or changes of the building and fixed equipment/installations in line with the Host Agreement. 7. Evaluates and proposes repair of buildings and equipment as and when required. 8. Reviews and certifies completed maintenance and repair work carried out by subcontractors in order that it meets with required technical and functional standards, and verifies related invoices. 9. Issues and administers UNICEF ID cards and access cards in accordance with security and access policies. Monitors daily all alarm systems and access system and arranges for updating and servicing. 10. Develops and maintains a comprehensive digital staff seating plan, including office furniture and equipment allocation. Implements all relocation and internal move plans, including updates of the seating plan and organizing the move of office furniture and equipment. 11. Implements and monitors Division of Financial and Administrative Management policies to ensure Supply Division compliance; implements Supply Division procedures and recommends improvements where required. 12. May have supervisory responsibilities; mentors general support staff. 13. Replaces supervisor in routine matters during leave. 14. Keeps supervisor abreast of potential problem areas, identifies and recommends solutions and performs other jobs as requested by the supervisor. QUALIFICATIONS OF SUCCESSFUL CANDIDATE: Education & Work Experience: High school diploma; certificate as Building Technician, Carpenter or Electrician; certificate in Business Administration is also desirable. A minimum of seven years of progressively responsible work experience in facility management and buildings administration. Languages: Fluency in English and Danish is required. Technical Qualifications: Knowledge of office building renovations including move processes, building operations and systems, and health, safety, environmental and sustainable practices. Proficiency in Microsoft Office, specifically Word, Excel, Project is compulsory. A good working knowledge of 3D CAD software. Working knowledge of SAP R/3 is preferred.
