Venue Administrator – Information Pack Contract Description 1. Job Title Venue Administrator 2. Place of Work Riverside Live, 1 Mowbray Street, Sheffield S3 8EN 3. Terms and Conditions The Post is at entry level but there is the opportunity to move rapidly up the pay scale for the right candidate with salary starting at £14,000 - £16,500 p.a. depending on experience. Core hours: 37.5 hrs per week 28 days holiday including statutory public holidays This post is a fixed term 12 months contract with extension to be reviewed in light of longer term reorganisation of the company. The post is subject to a 3-6 month probationary period. The post holder will be responsible to the Creative Director The post is currently funded for only 1 year. The longer term position will be clarified midway through the contract. Purpose of the Post To ensure the smooth operation of the office and operational systems; dealing with general enquires; basic finances; bookings, hires and events programming and marketing. The administrator is the central point of communications for the venue and its external relationships with clients and partners. The post has the potential to grow into a managerial position as the company aims to grow significantly in the coming years. Background: The Riverside is a licensed venue owned by arts charity, Point Blank and runs as a social enterprise model whereby profits go to supporting artists and creative projects. Architect plans and early planning enquires have been made for a new art studio theatre on site and it is expected that the Venue Administrator will help develop the arts and entertainment programme in readiness for this new venture. Meanwhile Point Blank is establishing a South Yorkshire Performing Arts Touring Scheme for small scale venues with low technical capacity with Riverside to serve as a showcase for new small scale touring work. Requirements of the Post Working alongside the Creative Director and Venue Manager the Venue Administrator will administer the office and day to day finances; deal with general enquires and correspondence; ensure venue is up to date on its operational compliance and ensure events are effectively organized and promoted providing an excellent administrative foundation. Riverside Live is seeking a highly organised and efficient individual to work within a small dedicated team. We are looking for someone who can balance people skills with a systematic and organised approach to office environment and the management of activity. The post would suit someone who would enjoy working in an informal office environment at the centre of a small and committed team. General Responsibilities: Main Duties and Responsibilities: To oversee the day to day running of the office including post, emails, telephone enquiries, maintaining records and information systems, stationary and supplies. To administrate company finances and complete relevant monthly reports and annual returns To co-ordinate, programme and promote events at the venue To oversee publicity, promotion and marketing of events producing and disseminating content for websites, social media channels, newsletters and other resources. To ensure maintenance and building issues are logged and appropriate actions are implemented. To help identify cost savings and efficiencies in suppliers such as utilities, equipment and resources. To ensure data relating to events such as attendance figures and customer satisfaction is captured and monitored To co-ordinate communications, organising and ensuring records are kept for internal and external meetings, including management meetings and work plans. To support the manager in maximizing revenue from hire and bookings of the venue To assist with record keeping as relates to personnel; contracts, staff holidays; stock reports; security; health and safety and other areas of the business To help identify areas of training and development for yourself and the staff team. Other: To provide the highest level of customer care and service at all times To ensure that all visitors including artists & volunteers feel welcome in the building and receive the highest level of support at all times To facilitate partnerships and consultation with local artists, promoters, audiences and other venues To research, consult on and monitor content and best practices appropriate for the venue tracking information on competitors and similar venues, promoters etc To co-ordinate volunteer and relevant staffing support around events programme To fulfil any other reasonable duties that arise to ensure that requirements of the venue are met, both on a day to day basis and longer term.
