ADMINISTRATIVE PROCEDURE MANUAL SECTION TITLE ATTENDANCE: PRE-COLLEGIATE STUDIES, ADULT EDUCATION AND ENGLISH FOR SPEAKERS OF OTHER LANGUAGES (ESOL) NUMBER PAGE 10-0607 1 OF 2 BASED ON BOARD OF TRUSTEES’ RULE AND TITLE DATE REVISED 6Hx7-10.6 Student Standards of Progress January 20, 2015 Purpose This procedure describes the accountable personnel and the steps for maintaining attendance records in Adult Education and English for Speakers of Other Languages (ESOL) programs. Student attendance in Adult Education: High School Equivalency, Adult High School, English for Speakers of Other Languages and Applied Academics for Adult Education programs will adhere to Florida statutes and rules on reporting of instructional hours and College procedures on grading and standards of academic progress. Procedure A. The Instructional Program Manager for each campus will provide faculty with the official class roll for each section assigned to the faculty member before the first day of class. This will be done on a digital, spreadsheet document. B. If there are additions to the roll after the Instructional Program Manager has delivered the official roll to the faculty member, it is the faculty member’s responsibility to add the new student’s name to the roll and to record the registration date provided by the Online Student Portal Roster. All Online Student Portal data (First Date Attendance, Last Date Attendance + 1 day, Instructional Hours, and Academic Grades) input by faculty must align with the data documented on his/her respective Faculty In-Class Attendance Roster, or the Adult Education program is subject to be in non-compliance for State reporting. C. Faculty will record whether a student is absent or present for each official class meeting for which the student appears on the official class roll. D. If a student’s attendance pattern triggers an attendance related grade, the faculty member will enter the appropriate grade in the online grading system immediately. E. Faculty will submit an electronic and hard copy of their student attendance form weekly to their Instructional Program Manager during the term. F. Instructional Program Managers will review the attendance form to ensure that the attendance policy is being enforced and appropriate grades are being issued. Any discrepancies will be discussed with the faculty member prior to making changes. All changes will be completed on the original student attendance form prior to final submittal at the end of term and an Online Student Portal screen shot will be taken anytime grades are entered. Accurate attendance taking is a condition of employment. G. The faculty member will issue a Non-Attendance (NA) to a student who has not attended any class by the close of the NA window.
