JOB DESCRIPTION – FUNDRAISING EVENTS OFFICER LOCATION Bristol RESPONSIBLE TO Fundraising Manager KEY RELATIONSHIPS Fundraising Manager, Fundraising team, Communications team, Fundraising and Database Administrator PURPOSE OF POST Working as a key member of the fundraising department, you will be responsible for raising funds for Together for Short Lives and our member children’s hospices across the UK through challenge, sporting and other fundraising events. The primary objective of the role is to deliver a diverse annual calendar of events, which raises the profile of Together for Short Lives to the wider community, generates favourable publicity for Together for Short Lives and raises funds to support our work. Your portfolio of events will comprise a wide range of challenge events and involvement with all other event based fundraising activities within Together for Short Lives. You will be responsible for creating inspiring marketing plans to attract new supporters, as well as providing exceptional donor care. You will work closely and collaboratively with colleagues from member children’s hospices to deliver a range of professionally presented, innovative and profitable events that will provide Together for Short Lives with a full calendar of fundraising activity with UK wide appeal. DUTIES AND RESPONSIBILITIES To achieve these objectives the post holder will be expected to: 1. 2. 3. 4. To draft operational timelines and plans for delegated events Set up, develop, plan and implement a range of challenge, sporting and other events, To develop marketing strategy and implement plans for specific events To manage a programme of marketing communications, writing and producing imaginative promotional materials to attract and recruit event participants. Fundraising Events Officer July 2014 5. Be responsible for the design, print and distribution of promotional materials relating to each event. 6. Writing and producing newsletter articles and fundraising support materials. 7. To identify and research new promotional opportunities and maintain and develop existing relationships. 8. Provide exceptional supporter care to maximise participants’ enjoyment from events and income for Together for Short Lives. To include: - Developing relationships with participants, individuals and organisations to maximise fundraising and ensure long term charity involvement. - Organise and implement individual participant management programmes - Motivate and inspire participants with regular phone calls and emails - Responding to queries in a timely manner. - Keeping individual participant database records up to date with communications - Managing, updating and segmenting participant data on CRM system 9. Manage event income and expenditure budgets to ensure that targets are met. 10. Research and produce feasibility studies for new national events and implement as appropriate. 11. Build strong relationships with Together for Short Lives members to ensure that all relevant events are planned in accordance with them. 12. Work with the Corporate Fundraising Manager and Corporate Fundraiser to maximise the opportunities for events from Together for Short Lives current corporate supporters to include sponsorship, gifts in kind and participants. 13. Support the Head of Philanthropy and Fundraising Manager in delivering bespoke special events to reach new audiences. 14. Work with the Communications Team in producing and implementing a PR and social media plan for all fundraising events. 15. Ensure that all events adhere to the law and that adequate health and safety measures are in place. 16. To monitor levels of merchandise (T-shirts, collection boxes, stickers, caps) and fundraising materials (posters, fundraising packs, sponsorship forms), re-ordering and replenishing stocks as necessary 17. Organise the Events Fundraising Forum – a twice yearly workshop for events fundraisers from children’s hospices and other services from across the UK 18. Ensure events deliver key messages about children’s hospices and helping to increase brand awareness of Together for Short Lives. 19. To keep abreast of developments within the external fundraising environment. 20. Carry out any other duties as are within the scope, spirit and purpose of the post as requested by your line manager. Fundraising Events Officer July 2014 PERSON SPECIFICATION – FUNDRAISING EVENTS OFFICER ESSENTIAL Qualifications Education to degree level or equivalent DESIRABLE Professional Events Management Qualification Health & Safety Qualification Experience Abilities Skills Proven experience of managing and organising successful events Experience in dealing with Health & Safety and Risk Assessment Experience in managing a number of projects at one time Experience of liaising with external organisations To have experience of organising and promoting events. Proven ability to plan and manage projects from conception to completion The ability to communicate and motivate supporters and key audiences on a face-toface basis as well as by post, telephone and by any other appropriate methods The ability to make presentations to varying audiences The ability to work both alone and as a member of a small team The ability to communicate with people on all levels with ease To be familiar with the following IT applications: Microsoft Word, Outlook, PowerPoint, Access Experience of working within a charity Experience of organising fundraising events Experience of marketing and designing marketing materials To have experience of using a database to manage participant data, with some understanding of using that data to generate reports.
