Counselor Handbook

A counselor has the primary responsibility of supervising children, working with other
staff, Abiding by Alliance After School Care policies and procedures, following licensing
standards at all times and interacting with parents and school staff. Counselors will report
directly to the Senior Counselor at their site, who report to Assistant Directors as
assigned. The Youth Programs Director manages the entire After School Care program
with the guidance of the Director of Operations and Executive Director in accordance
with the expectations set forward by the Alliance for Women and Children Board of
Directors.
Supervising Children
1.
Staff will know how many children are under their supervision at all
times. Staff will tend to groups of children and individual children
NEVER LEAVING THEM WITHOUT ADULT SUPERVISION. A staff
member must accompany children at all times, which includes
restroom breaks, going back to the classroom to get something,
going from one area to another, or any other type of transition
activity.
2.
Staff will organize art activities, active indoor and outdoor games,
assist children with homework, complete art activities, and play board
and organized games.
3.
Staff will help set out and clean up snack each day as assigned by
the Senior Counselor.
4.
On the playground, staff will spread out and supervise children on
every area of the grounds. Staff will ensure that all areas of the
playground are safe and in good condition before play starts. All
staff MUST know how many children are outside. A head count
MUST be taken every 15 minutes. Children respond best when staff
are actively playing with them outside. THERE IS NO SITTING ON
THE PLAYGROUND. Staff must take the Sign-in/Sign-out sheet with
them as well as the enrollment notebook and first aid kit.
5.
All staff members are expected to discipline children appropriately
and in accordance with licensing.
6.
All areas of the school that Alliance After School Care students and
staff use must be left in the same condition as it was found, if not
better. Staff will sweep, mop (if necessary), clean tables, put all
equipment away, and take all trash out every afternoon before
leaving. Duties will be assigned by the Senior Counselor. Staff failing
to properly maintain a site may risk termination.
7.
Staff members are expected to work from 2:30 p.m. until 6:00 p.m.
every day unless a special circumstance exists and has been cleared
through the Assistant Director personally.
8.
Staff will check passwords and/or IDs of each person coming to pick
up a student. No student will be released from Alliance After School
Care unless someone whose name appears on the enrollment form
has physically signed them out.
9.
Accident and Behavior reports should be filled out as needed by any
staff member but must be turned in on a daily basis. If an accident
results in the child seeing a doctor or going to the hospital, contact
your supervisor immediately so that it can be reported to Child Care
Licensing within 48 hours and in accordance with regulations.
Additional incident reporting may apply.
Working With Staff
1. Between 2:30-3:00, staff should organize the activities for the
day/week.
2.
As a team, site staff must meet weekly to keep ideas fresh and
resolve problems.
3.
Daily tasks should be delegated to all staff members by the Senior
Counselor.
4.
Staff should establish several signals as a way to gain control and
attention of the group. This may be a whistle, claps, “give me five”
hand signal, etc. Yelling should not be a way to gain control.
5.
Staff should work as a team always looking out for the welfare of the
children. If abuse or neglect is suspected, it must be reported
immediately to directors so that proper action can be taken.
6.
Senior Counselors may not approve time off. Time off is only
approved by the Assistant Directors and Director.
7.
The Alliance encourages camaraderie, but expects professional
relationships between co-workers.
Interacting With Parents
1. Staff members should introduce themselves to parents as soon as
possible and greet them daily to foster mutual respect and trust.
2.
Passwords and picture identification must be checked on a daily
basis until counselors know parents. In accordance with licensing,
this information must be checked on all unknown pick up people
every time throughout the school year. Children may only be
released to individuals designated for pick up.
3.
Behavior problems must be communicated to parents immediately in
a positive manner and in accordance with licensing. Staff should
discuss options with parents to determine a solution that will help the
child succeed.
4.
Staff must ensure parents on CCPO swipe their cards daily.
Assistant Directors are required to submit weekly reports to cover
missed payments. Staff failing to submit these reports risk forfeiture
of pay and/or termination.
5.
Staff should be familiar with enrollment and financial aid processes to
answer basic questions and direct questions to the appropriate
Alliance staff member or resource online.
6.
Staff will encourage parent feedback through survey participation
and regular communication.
Employee Policies
1. Staff must wear their nametag and Alliance Staff T-Shirt when
working. Staff must also follow the proper dress code set in place.
- No facial piercings of any kind
- No visible tattoos
- Shorts cannot be any shorter than an inch and a half
above the knee
- No tank tops, Spaghetti straps, or cut off shirts.
2.
In order to call in sick, staff must call before 10 a.m. or time will not
be excused. Doctor’s notes will be requested to validate absence. (2
unexcused absences are means for termination)
3.
Attendance: The Alliance After School Care Assistant Directors must
be notified in advance of your absence. Each employee must fill out
a “Leave of Absence Request Form” if needing a day off from work.
The form must be submitted no later than 5 business days before the
requested leave date. At that time, the Alliance After School Care
Assistant Director will either approve or deny the request. If you are
sick, you must call in by 10:00 a.m. on the day that you will not be
attending work so that a floater can be called to fill in.
4.
Unpaid Leave: Staff will be allowed one unpaid day off per month.
Unused days may be accrued for a total of 5 days per semester.
Unpaid leave days will be used for sick days.
5.
No Call/No Show: If an employee fails to call in or fails to show up for
work for two days, the employee risks termination.
6.
Staff meetings are mandatory. Failure to attend a scheduled staff
meeting may result in termination.
7.
All staff are required to follow the policies and procedures set forth by
the Alliance and the Minimum Standards Rules set forth by Child
Care Licensing. Staff who do not follow policies and procedures will
be terminated.
8.
After School Care staff are expected to work the entire school year,
based on ASC sites, not individual class/university, schedules.
Employees who choose not to complete the semester, with or
without two weeks notice, may be considered to have abandoned
their job and risk departing in bad standing, as well as a deduction of
$45.45 from their final payroll.
9.
Health: A list of communicable diseases that exclude children from
care is found in the Minimum Standards Rules book at each site.
Employees should not attend work if symptoms of any of these
diseases are present and could endanger the health of the children.
An employee must also report to the On-Site director any condition
which is being monitored by the Health Department. These
conditions may be cause for the employee to be excluded from work
or restricted from certain duties.
10. Drug Tests: The Alliance reserves the right to accomplish drug
screenings or tests. Failure to comply with a request for a drug
screening may result in termination.
11. Timesheets/Paydays: Employees are responsible for accurately
completing time sheets on a daily basis. Time sheets will be
submitted to the Alliance After School Care assistant director through
supervisory channels at the end of each 2-week pay period.
Employees will be given a schedule of yearly pay periods. Each
employee is also responsible for documenting the time spent at staff
meetings or training done through the Alliance for Women & Children
on the time sheets. Any mileage from the Alliance for Women &
Children Offices to the school site must also be included on the time
sheet. This only pertains to those picking up supplies or having
attended a staff meeting. If time sheets are deemed to be falsified
with inaccurate time or mileage, staff may be terminated from
employment. Failure to turn in timesheets on deadline may result in
forfeiture or delay in pay.
12. Mileage: Mileage will be paid at a rate of 36 cents a mile to
employees that travel from the Alliance After School Care office
directly to their school site or floaters who are asked to go between
two different schools in one day. Staff is expected to track mileage
on a daily basis. Alliance staff has mapped out all of the school
locations and know how far it is to each site. If your mileage differs
from this mileage, we may suggest that you take an alternate route.
Staff must secure a reliable means of transportation to and from
work. Alliance vans may not be used for personal use.
13. Training: All new staff must complete 24 hours of mandated PreService training. This training must be completed before the
employee begins his/her job. If a new caregiver has at least six
months prior experience in a regulated child care center or has
documentation of equivalent child care training, they may be exempt
from the pre-service training requirements. Training requirements
are mandated by Child Care Licensing and are strictly enforced.
Alliance After School Care staff must participate in at least 24 hours
of training per year. Training opportunities will be made available to
staff through the Alliance for Women & Children and other area
organizations. Staff must complete the 24 hours of training within the
first year of employment to be eligible for re-hire or continued
employment. Staff will be compensated for attending trainings during
the school year. Time spent in training should be documented on
timesheets.
14. CPR and First Aid: Employees may be required to be certified in both
CPR for infants, children, and adults and First Aid with rescue
breathing and choking. This certification must be kept current during
the employment with Alliance for Women & Children. Texas
Department of Family & Protective Services requires that one
caregiver per group of children have current training in first aid with
rescue breathing and choking, and one caregiver per child care
center must have current training in CPR for infants, children, and
adults. The Alliance encourages all employees to seek certification.
15. Moonlighting: Staff are discouraged from off hours involvement with
children that they care for in the Alliance After School Care program.
An example would be babysitting, visiting the homes of children, etc.
16. Visitors: Staff may not permit friends, family, or non Alliance After
School Care children visit sites during work hours. Staff should be
actively engaged with the Alliance After School Care children at all
times and should not divide their attention with others -- this creates
a safety issue for the students.
17. Employee Fees for Childcare: Alliance for Women & Children
employees will have no charge for child care for their children that
attend the Alliance After School Care Program. This includes day
camps. Once the person is no longer employed by the organization
standard fees and financial assistance policies apply.
Equipment and Technology Policy
1. Computers: Staff may use Alliance computers for conduct of Alliance
business. All computer and technology use must be in accordance
with Alliance for Women and Children policies and procedures as
outlined in the Alliance for Women and Children employee handbook.
Inappropriate use or damage to computers may result in forfeiture of
pay or termination.
2.
Cell phones: Cell phones may be used by Senior Counselor staff
when conducting official Alliance business with other staff members
or parents. Cell phones must be otherwise turned off while at work
because they are a source of interruption and distraction when used
personally during work hours. Cell phones belonging to children
should not be accessed by staff or children during work hours unless
emergency situations arise. Inappropriate use of technology may
result in termination.
3.
iPads: iPads may be assigned to staff members for use in After
School Care to include email, facetime and other communication.
iPads will include various manuals, regulations and schedules. Staff
assigned iPads may use the equipment in a personal capacity during
non-work hours to familiarize themselves with the technology and
suggest additional uses for the technology. Personal applications or
music must be purchased using a personal apple ID. Purchases
using the ASC ID require permission. At the end of the school year,
staff will be required to turn in the assigned iPad immediately and will
not be reimbursed for personal applications purchased on the iPad.
Prior to iPad turn in, staff should export personal files and
applications. Failure to remove files and applications may result in
these files being permanently removed. Staff will be required to
periodically turn in iPads for application updates and inspection for
damage and inappropriate use; Alliance reserves the right to
randomly inspect technology. Loss of, or damage to equipment or
inappropriate use of iPads may result in forfeiture of pay or
termination.
4.
Equipment: CCS machines, keys, lockers and other Alliance
equipment or property should be maintained at each site. Failure to
turn in assigned equipment at the end of the year may result in
forfeiture of pay. Loss or damage to equipment should be reported
immediately to Senior Counselors and Assistant Directors. Loss or
damage resulting from negligence may result in forfeiture of pay.
5.
Vans and other property: Alliance and site property should be
respected. Staff failing to clean up their site, Alliance
equipment/property or area of operations risk termination. Facilities
should be cleaned after use and look identical or better than prior to
use. Vans must be signed in and out with mileage logged
appropriately. Personal use of vans is not authorized and may result
in termination. Staff is required to secure personal methods for
transportation.
6.
Use of wireless technology: Guest internet access should be used to
conduct official Alliance business. Use of internet access for
inappropriate or non-work related activity is prohibited and may result
in termination.
7.
Technology may be used to capture photos or videos of students
whose parents have released images for publicity purposes. Photos
of children may not be used for personal purposes without parental
consent. Photos or videos on iPads captured during non-work hours
for personal use may be removed from Alliance equipment by
Alliance staff at any time. Inappropriate use of technology may result
in termination.
8.
Staff suspecting inappropriate use, mishandling or negligence
relating to equipment and technology should report their concern
immediately.
Licensing Regulations
All Alliance After School Care centers are licensed by the state of Texas.
The Alliance After School Care program and staff are committed to strictly
adhering to the childcare licensing laws set forth by the Texas Department
of Family & Protective Services in the Minimum Standard Rules
handbook. A copy of this book is available at each site. All counselors
must:
1. Demonstrate competency, good judgment, and self control in the
presence of children and when performing assigned responsibilities.
2. Relate to children with courtesy, respect, acceptance, and patience.
3. Recognize and respect the uniqueness and potential of all children,
their families, and their cultures.
4. Not abuse, neglect, or exploit children.
5. Report suspected abuse, neglect, exploitation to CPS or law
enforcement.
6. Know and comply with the minimum standards rules for child care
centers.
7.
Know which children they are responsible for.
8. Know each child’s name and have information showing each child’s
age.
9.
Supervise children at all times, adjusting appropriately for different
ages and abilities of children.
10. Ensure that children are not out of control.
11. Be free from duties not directly involving the teaching, care, and
supervision of children. This includes but is not limited to
administrative functions, snack preparation, and janitorial duties.
12. Interact routinely with children in a positive manner.
13. Foster developmentally appropriate independence in children
through planned but flexible program activities.
14. Foster a cooperative rather than a competitive atmosphere.
Site Procedures
1.
Accident Reports: Accident reports must be completed for any injury
to a child in our care, regardless of severity. If an incident occurs,
staff will:
A. Assess the child’s condition and immediately give first aid
treatment or CPR when needed.
B. Call 911 for serious injuries. Have the child’s “Authorization for
Emergency Medical Attention” form available when help arrives.
This is found on the child’s enrollment form. NEVER
TRANSPORT A CHILD IN YOUR OWN VEHICLE.
C. Call the parent(s) to notify them of the child’s accident.
D. Call one of the Alliance After School Care directors if the
accident involves a piece of equipment or the child will require
treatment by healthcare personnel. The director notified will
then report the accident to Child Care Licensing within 48 hours.
E. An accident report must be filled out immediately, completing all
of the blanks. Explain what happened in as much detail as
possible.
F. Have the parent sign the form upon picking up the child. Let
them know that it will be turned in to the directors of the Alliance
After School Care program. The form will then be faxed to Child
Care Licensing office if the accident involved equipment or the
child had to seek medical attention.
G. Drop the accident report in the Alliance box if the child must go
to the emergency room.
H. Each blank must be completed in its entirety, unless it does not
apply.
I. Please explain what happened in the accident with as much
professional detail as possible.
J. Make sure the parent signs the report the same day.
2. Appropriate Child conduct:
 Do not pick up children. Be cautious with hugs.
 Children, especially Kindergarten, may want to sit on your lap or be
carried by you. Simply tell them in a gentle way that you are not going
to do that but that you would love to play a game with them and then
direct them that way.
 Please keep in mind that the most innocent of actions may appear
serious to someone looking in from the outside.
 If you have any questions about appropriate actions please contact
your supervisor immediately.
3. Bathroom Breaks
Children should be supervised while in transit from the activity space to
the bathroom identified by the school for ASC use. Escort children to the
appropriate restroom facility and have them enter one at a time. Ensure
students waiting in line behave appropriately. Only one child should be in
their respective bathroom at any given time. Make sure you have an
accurate count of children before leaving the restroom area.
Handwashing
1. Wet hands while keeping the water running.
2. Apply soap and work up a good lather washing vigorously, include:
wrists, back of hands, between fingers and under fingernails.
3. Rinse thoroughly.
4. Let hands drip downward into sink.
5. Dry hands with an individual towel or paper towel.
6. Turn off faucet handle with used towel
When to Wash Hands

after removing gloves from a first aid procedure (staff)

after going to the restroom (staff and children)

after cleaning up blood, vomit, or feces (staff)

after handling garbage (staff and children)

Daily Schedule
Alliance After School Care sites must have and maintain a monthly posted schedule. The
Alliance has provided each site with a schedule that can be filled out monthly. This
schedule must be posted for all to see in accordance with licensing.
Emergency plan
1. If you suspect danger on your campus go to the closest room (gym
or cafeteria) and lock the door.
2. Make sure children are sitting without talking. Keep them calm by
telling them that you are practicing or simply that it is very important not
to talk. Try making it a game to see who can be the most quiet.
3. Call a Director immediately after children are quiet and the doors are
locked.
4. An emergency plan drill must be conducted on the 3rd Friday of every
month. Staff that fail to conduct monthly drills risk write-up and
termination of employment.
Severe Weather
1. If there is any indication that bad weather is approaching, please turn
your radio on!
2. Keep the children inside and keep them busy. Make sure one staff is
responsible for listening to the radio.
Tornado Watch= Conditions are favorable for a tornado to from.
Tornado Warning= A tornado has been sighted and is expected to
touch down.
3. Directors will be paying attention to the weather as well and will
contact you with additional severe weather instructions .
4. Keep the children clam and under control if a tornado warning is
issued. Go to an interior room or hall way away from all windows. Have
the children get low to the ground and cover their heads. Take the radio
and first aid kit with you. Use common sense in situations like this.
Remember you are responsible for the children that are in your care.
Only come out when it is safe!
5. Severe Weather drills should be conducted on the 3rd Friday of every
month. If sites fail to conduct their monthly drills, they will be written up
and possibly terminated.
Safety Documentation Sheet
The safety documentation sheet logs the required monthly drills and checks.
Staff at each site must complete each drill and check every month and document the
date and time. The person conducting the drills or checks must sign off that it was
completed. It is preferred sites conduct all drills by mid-month but staff has until the end
of the month to get them all completed.
1. Severe Weather Drill: Speak to the site principal about their
procedure. Students should go to an area away from windows and
doors, preferably to an interior wall. They will then duck on the
ground and cover their head with their hands. Make sure that staff
has a weather radio and first aid kit nearby. The severe weather drill
must be done once every six months.
2. First Aid Kit: Verify that all necessities are there and unexpired.
Check off on lid. This must be accomplished every month.
3. Fire Extinguisher: Make sure the arrow is within the green to verify
charge. This must be accomplished every month.
4. Playground Check: Verify equipment safety (forms are in file box
for each month). This must be accomplished every month and any
problems need to be reported to the school so that issues can be
properly fixed.
5. Fire Evacuation Drill: Make sure students follow the evacuation
map of the school or area to evacuate within three minutes to a
designated safe area. This must be accomplished every month.
6. Emergency Plan Drill: Make sure students are taken to a safe
place and are kept quiet. Be sure to use your best judgment during
an emergency. This must be practiced every month.
Sign In Sheets
1. Sign in sheets are copied and placed in staff boxes on a weekly
basis. These sheets are used for signing children in and out of
Alliance After School Care. Staff in charge of this process must put
the time that children arrived under site care with staff initials or
signature in the space provided. When the parents or other
designated individual arrives to pick the child up, they must also put
the time they checked the child out and sign on the space provided.
2. Schools with 50 children or more will be issued separate sign in
sheets for each grade level.
3. Staff may use the comment section of the sign in/out sheet to
make a brief note for the parent. An example would be to write
“note” or “report” there so that the parents know that you have
something for them. It may also be used if someone not on the
enrollment form picks up the child (this MUST be approved by the
director’s or by a parent on the phone).
4. A Log must also be kept for anyone who is not on the sign in sheet
that comes to pick up a child. These logs are provided by the Alliance
office and must include first and last name and the person’s driver’s
license number.
5. If your site breaks up into groups and the Senior Counselor
decides to make their own sign in/out sheets, please be sure to
check your sheets with Alliance sheets on a weekly basis to make be
that the children in your care are still attending Alliance After School
Care. Please call the Alliance for Women & Children offices if you
find any discrepancies as soon as possible.
6. All sign in/out sheets must be kept at the back of your file box until
the end of the school year. According to Minimum Standards Rules,
we must keep them for 3 months after the child’s last day of care.
Weekly Sign In/Sign Out Sheets
Each child must be individually signed in by a staff member each day. Sign in sheets
should be attached to a clipboard at each site. The clipboard should always be carried
by a staff member. Sign in procedures are accomplished when a child first enters the
Alliance After School Care facility between 2:30 and 3:00. Report the arrival time on the
form and initial it. Parents/pick up people will sign out children and write the time upon
picking them up from Alliance After School Care. Each child must be signed out daily. A
child cannot leave Alliance After School Care until an authorized person listed on the
enrollment form physically signs them out. If a person not listed on the enrollment form
comes to pick up a child, a staff member must first get written or verbal permission from
the parent/guardian to release this child to him/her. Staff will need to document who you
spoke with, the date and time, and initial it if verbal permission is granted. The
individual’s name, driver’s license number, and your initials need to be written down on
the log that is to be kept with the sign in sheets. The completed sign in/out sheets need
to be filed in the back part of your file box in a folder labeled “attendance sheets”.
Missing Children
If a child fails to show up for Alliance After School Care, staff must immediately find an
explanation for their absence. Follow each step listed below until you have found out
where the child is.
1.
Check with the office staff to see if the child attended school that day.
2.
Contact the child’s teacher for information because they may have seen them
leave with the parent.
3.
Contact the Alliance for Women & Children at 677-5321 to see if the parents
called and left a message for the staff.
4.
Call the parent(s). Try all listed phone numbers on the enrollment form.
5.
Call the emergency & pick-up contact numbers listed on the enrollment forms.
6.
Call the Alliance for Women & Children and let the directors know of the
missing child. You may also call the directors on their cell phone if they are not
at the office.
EACH CHILD MUST BE ACCOUNTED FOR EACH DAY! MAKE SURE THAT ALL
CHILDREN ARE SIGNED IN PROMPTLY.
Enrollment Forms
1. Each child should have a completed enrollment form in the binder located at
your site.
2. Every time a new student enrolls, staff will receive a copy of the enrollment
form in the site box.
3. If a new child shows up at a site and staff has not received an enrollment
form for them, call the Alliance for Women & Children office as soon as soon
as possible to verify enrollment.
4. If they are enrolled, their enrollment form will be faxed to the school so that
you will have a copy of their information.
5. Use Alliance enrollment forms to check passwords and people on the pick
up list. Staff may not release children to someone who is not listed on the form
pick up the child without parent approval or notification.
6. Contact the directors if you have any questions.
Late Pick-Ups
1. When a child is picked up after 6:00 p.m. there is a late fee of $1 a minute.
There is a grace period of 3 minutes from 6:00-6:03, but if the parents arrive
after 6:03 they will have to pay a late pick up fee.
2. Alliance After School Care staff must fill out a late pick up form with the time
the child was picked up. The form must be submitted as soon as possible so
the fee can be added to their statement.
3. The Senior Counselor or designated representative should to start calling
parents at 6:00 p.m. if children are still in Alliance care. If you are unable to
reach parents, then all additional people on the enrollment form need to be
called until someone is reached.
4. If you are unable to locate anyone by 6:15, the directors need to be called so
that they are aware of the situation. At 6:30 if you still cannot reach anyone on
the enrollment form to pick up the child, the non emergency police dept.
number needs to be called to report a possible child abandonment. The
directors also need to be called again at this point.
5. Please do not take late payments on site. The parent will have to come to
the Alliance for Women & Children office to pay the fee. Also, please do not
make arrangements with parents to stay late.
On the first offense: Complete a late pick up notice. Fill in all information and have the
pick up person sign the form. Advise them of the appropriate monetary charge. Return
the form to the Alliance offices so that we can charge their account.
On the second offense: Fomplete a late pick up notice and let them know that the
financial director will be sending them a letter regarding late pick ups. This letter will
inform them that if they are late picking their child up one more time they will be
withdrawn from the program.
Snack Procedures
1. Serve children one at a time. Wash hands as previously indicated.
2.
Snack is for CHILDREN ONLY.
3.
Mark each child’s name that takes a snack (drink, food, or both) on the tally
sheet as snack is taken by them.
4.
Place all extra snacks on their designated tray and put back in the refrigerator
(check with you cafeteria manager to make sure of where the items go).
5.
Empty the ice from the ice chest.
6.
Return tally sheet to protected plastic sleeve on top of the ice chest.
7.
Shut and lock all doors leading into the kitchen area.
If you have any questions about the snack procedure, please call Alliance After
School Care Director.
Bringing Food
Before bringing food from home or buying food to take to After School Care please
check with an Assistant Director to ensure compliance with licensing rules.
Withdrawals
1. Withdraw forms need to be completed on the day that staff is informed that
the child will not be returning to ASC.
2. If the parent is available, have them complete the form in its entirety. If the
parent is not available, then a staff member may complete the form.
3. Be sure that all information is filled in, especially the correct date for the last
day of care.
4. Turn this form into the appropriate Assistant Directors as soon as possible
so that it can be entered into the computer system.
5. If you have a child that has not been showing up for After School Care and
have made many attempts to contact the parents, please let the Assistant
Directors know so they can step in and help determine if the child needs to be
withdrawn or not.
Tax Statements
1. At the beginning of the calendar year parents will begin asking for tax
statements for the previous year.
2. Alliance will provide each site with forms that can be distributed to those
parents requesting the tax information. Not every parent will need them, so
they are only sent out on request.
3. Parents must fill out a tax form request to receive a report. These reports
will be printed off and placed in your school site’s box for the staff to distribute
to the parents as they pick up their child.
4. There will be an extra charge for parents wanting more than one copy.
Reports
1. Miscellaneous Reports
A. Used to report any incident other than accident or child
performance.
B. This could include parent concerns that may arise at your school.
It could also include staff communication/conflicts or concerns that
you may have about the children.
C. Once this form is filled out bring it to the office and turn it in to the
director
2. Quiet Time Reports
This form is to be used as the next step for a child placed in time out.
A. Sit the child down and tell them why you have placed them in
time out. Children can only sit in time out for the amount of time
that is their age up to 10 min.
B. Discuss the form and have the student sign it
C. Share the form with the parents or the person that picks the
child up and have them sign the form.
3. Performance Reports
A. Performance reports are only to be written when staff have
exhausted all other measures of licensed discipline.
B. Parents are required to sign the report and the report is then
given to the Directors for review.
D. Once a child has received 3 Performance Reports they may be
suspended.

DO’s and DON’Ts of Alliance After School Care
1. Do not ever allow a child to go anywhere or be anywhere unsupervised
by an Alliance Staff member.
2.
Children are not allowed to play on the monkey bars.
3.
Children must wear shoes at all times.
4.
Greet every parent with a smile.
5.
Count your children regularly. Be sure you know how many are in
your care at all times.
6.
Do your best to keep the children clean.
7.
Talk to the children in a polite manner. ABSOLUTELY NO YELLING!
8.
No free time is allowed.
9.
Alliance Children are not allowed to play with or around non-Alliance
children.
10. No sitting or gathering of staff on the playground.
11. Children can only watch PG rated movies unless authorized by the
parent.
12. Children can only be in time-out for the amount of time of their age
up to 10 min.
Ex: 5 yr old=5 min of time-out
11 yr old=10 min of time-out
