FOUNDATION PROGRAMS AND PROJECTS COORDINATOR CLASSIFICATION: STATUS: DEPARTMENT: EXEMPT FULL-TIME ALLEGHENY COUNTY BAR FOUNDATION Current as of: August 2010 POSITION SUMMARY The Foundation Programs and Projects Coordinator assists the Director of the Foundation in directing, managing and administering the annual programs and projects of the Foundation and the fundraising activities which solicit charitable contributions from individual lawyers, law firms and professional organizations for the Allegheny Bar Foundation, a 501(c)(3) charitable organization related to the Allegheny County Bar Association. Because a significant portion of the Foundation is funded through charitable contributions, this position performs a vital role in the overall mission of the Foundation. This position is responsible for planning and implementing all of the Foundation's programs and projects, including but not limited to the golf tournament, the Fellows program events, the campaign for Attorneys Against Hunger, the dues check-off campaign, the Pro Bono rocks event, the Annual Report, etc. The incumbent will also participate in grant writing activities. MAJOR DUTIES AND RESPONSIBILITIES 1. Reporting to the Director of the Foundation, plans and directs all elements of the Foundation's annual programs and projects, including but not limited to selecting venue and services to be provided by third parties at venue location; setting and maintaining budget for annual events, negotiating and executing service contracts on behalf of the Foundation and serving as the liaison between event vendors and the Foundation. In performing these duties, the position exercises significant discretion and independent judgment in planning and coordinating the Foundation's annual programs and projects from their inception through conclusion. 2. Coordinates the annual Named-fund Loans & Scholarships Awards; including solicitation of applicants; organization of data and coordination of committee meetings for selection of candidates, notification of awardees and publication of awards. 3. Coordinates the Fellows Program to assist present Fellows and the committee in identifying and nominating ACBA members worthy of special recognition for their professional and ethical standing within the Allegheny County Legal Community. Organizes Fellows Reception and Fellows Dinner and researches prospective speakers for upcoming Fellows events. Coordinates the solicitation and selection of grants for the Fellows Grants Program. {00015816.DOC} Headquarters Resourcebook 4. Coordinates the Annual Golf Tournament. Solicits players for the outing, obtains silent auction items and assists the committee with various related activities including securing sponsorships and publicizing and overseeing the event. 5. Works closely with the Pro Bono Coordinator and ACBA Divisions, Sections and Committees on various fundraising activities in support of the Foundation and/or the Pro Bono Center. 6. Trains and oversees the Development/Pro Bono Assistant, insuring that all filing is up-todate and assignments are completed in a timely manner. 7. Develops and implements a combined system for donor records management including both manual and automated systems support. 8. Provides the Director of the Foundation with all required information, statistics and trends on ACBF project revenue goals and developments in the philanthropic community. 9. Manages all responsibilities to ensure timeliness and responsiveness to all activities undertaken. Determines need for the formulation of special groups to carry out plans. 10. Oversees the establishment of a comprehensive program of donor recognition for ACBF contributors. 11. Responsible for grant writing for position operations. 12. Familiarity with computer operations (word-processing and database). Attention to detail. Familiarity with various other community resources and programs. WORK ENVIRONMENT The Coordinator’s work environment is good. An office is provided with desk, telephone, computer, printer and copier facilities. The space has recently been renovated. WORK DIRECTION This position is fairly autonomous – reporting directly to the Director of the Foundation. The Coordinator generally works independently on daily tasks; however, the individual may be given additional duties and/or assignments on an as needed basis.
