Preamble
All University formal documents relate to the policies, strategies, procedures and regulations of the
University having been approved by the appropriate formally recognised and constituted body. All
University employees and students are required to adhere to the formal processes and regulations of
the University.
This document should not be read in isolation as other University processes/formal documents could
be relevant. A full listing of all formal documents is available on the University’s website.
Any interpretation of the content of this formal document will be at the discretion of XXXXXXX

The names of committees and titles of posts may change from time to time. This shall not invalidate
the powers of the equivalent successor committees or post holders.

Main Heading
Main headings are styled as Heading 2. They will relate to the main sections of the document
and will be listed in the contents pages.
1.1 Sub-Headings
Sub-headings are styled as headings 3 and/or 4. Use these when you have various items all
relating to the main heading. These will also be listed in the contents page.

Font
The font for the main body of text will be Arial 10 and justified. If you use this template choose
‘normal’. Be sure to keep the spacing of the document consistent and aligned under the
heading.

Numbering
Number the document by the main headings as the first level and then number the sub-heading
as shown below. This is usually best done manually rather than relying on Word to do it.

Bulleting
Ensure you use ‘list bullet 1’ for bullet points as follows:
 Formal documents
 Templates
 Standard formatting
However, bullet points should be kept to the minimum and only used when the numbering
options have been exhausted.

Text box
Please complete the text box. ‘Prepared by’ means the author of the document. Please insert
the person’s title rather than name, Date is the date of the final draft. Once the document has
been approved by the approving body insert the date in the text box and ensure the effective
from date on the front of the document correlates. Updates are minor textual changes that do
not require approval by a formal approving body or committee. Any changes made should be
highlighted within the document by shading and the date they were done should be inserted in
the text box. Any new version will need to replace the old version on the web.
If the changes are as such that they require formal approval then the document becomes a new
version and the text box needs to be amended accordingly as does the date on the front cover.
