Guidelines on Standardisation of Office Furniture
1. Objectives of this Guidelines
1.1. To ensure that all staff, irrespective of faculty or department, are treated
equally in the allocation of office furniture.
1.2. To ensure that the image of the University is in no way compromised by the
standard of office furniture used.
1.3. To enable the Procurement Department to negotiate favourable pricing on
the supply of standard furniture.
2. General Rules
2.1. Only new offices will be issued furniture as determined on Annexure A. If a
new staff member is a replacement appointment, the previous staff
member’s office furniture will be utilised.
2.2. Replacement of furniture must be authorized by the direct line manager, and
will be the result of objective 1.2 above and in accordance with Annexure A.
2.3. Offices will be furnished according to the person’s position at the
university at that point in time.
2.4. Furniture for conference rooms and reception areas will be standardised
with the same ranges that are being used for the offices.
2.5. Secretaries will be furnished with the same range that their managers are
entitled to, but with the unit allocation of their position level. If deemed
necessary, additional filing cabinets can be allocated.
2.6. No couches or lounge suites will be allowed, unless approved by a member
of the Institutional Management.
2.7. In the event that the current ranges (M1000 and M4000) are removed from
the market, the Procurement Department will identify similar ranges which
will then become the standardised office furniture range of the University.
2.8. All office furniture will be obtained in accordance with the requirements of
the Procurement Policy of the University.
2.9. The disposal of redundant and old furniture will be the responsibility of the
Department: Asset Control.
