REQUEST FOR PROPSAL JETRO Toronto Freestanding Office Furniture This request for proposal (RFP) provides interested vendors with sufficient information to enable them to prepare and submit proposals for consideration by JETRO (Japan External Trade Organization) Toronto (Hereinafter JETRO Toronto) to satisfy its need for the acquisition, delivery and installation of freestanding office furniture for its new administrative office located at 120 Adelaide St. West Suite 916 Toronto Ontario M5H1T1. This RFP is being issued by JETRO Toronto. Contract It is proposed that, if a contract is entered into as a result of successful negotiations, the vendor will be issued a standard JETRO Toronto purchase order. Negotiations may be undertaken with vendors whose proposals show them to be qualified, responsible and capable of performing the work. All, or a portion of the products/services offered in the vendor’s proposal, may be incorporated into the final negotiated purchase order. Rejection of Proposals JETRO Toronto reserves the right to reject any and all proposals received as a result of this RFP and to cancel this solicitation at any time prior to the execution of a contract. Proposals will be rejected immediately if they are not prepared in accordance with the RFP. Incurring Costs JETRO Toronto is not liable for any costs or expenses incurred by vendors in the preparation or submission of their proposals or for attendance at any conferences or meetings related to this RFP prior to the issuance of a contract. Response Date To be considered, proposals must be received at the issuing office on or before 11:00 a.m. on Monday, June 30th, 2014 by e-mail. Late submissions will not be accepted. Proposals must be clearly titled “JETRO Toronto RFP Freestanding Office Furniture”. Vendor Responsibilities Each proposal must be signed by the individual representatives of the vendor who has contracting authority. That individual will be the sole point of contact with regard to contractual matters. Proposals Proposals must be submitted on a stipulated price basis. Please provide breakdown pricing on the items listed on the attached Appendix A, while giving consideration to the descriptions given. Descriptions have been given either by product specifications or acceptable product to give the vendor a guideline of what JETRO Toronto has determined as an acceptable standard. Prices will include product, delivery and installation and HST. INSTRUCTIONS TO BIDDERS Statement of the Problem JETRO Toronto requires the acquisition, delivery and installation of freestanding office furniture to occupy its new administration office. JETRO Toronto will be responsible to relocate its current furniture to the new facility. Furniture Descriptions See Appendix B. Delivery and Installation Vendors will coordinate with JETRO Toronto all dates involving arrival of furniture at site, staging area designation, and verify installation date with completion schedule. Do not deliver items until site conditions are adequate to receive the furniture as determined by JETRO Toronto. Protect materials from weather while in transit. Store items under conditions recommended by Manufacturer. Deliver all furniture components to final destination within building. Include movement to and from staging area. Uncrate and assemble where required. Provide name of installation company and their qualifications. Required delivery date is not earlier than July 31st, Thursday 2014, not later than August 28th, Thursday 2014. Assembly can be conducted during business hours, however delivery must be completed after 6:00 p.m. Monday –Friday. Vendors will not receive any additional funds for these requirements. Operating/Maintenance Manuals Provide maintenance manuals. Demonstrate operating procedures. Warranty Submit manufacturer's standard warranty form. Issue warranty in the legal name of “Japan External Trade Organization”. JETRO Toronto is sole authority who will determine acceptance of warranty documents.
