Agreement "NAMINERAL"
(Saturday 26 and Sunday 27 November 2016)
PREAMBLE
Mineralogical Exchange organized by Escargotite a.s.b.l is held the last weekend of November.
This event will last over a period of 2 days.
This event aims to promote the mineralogy and the paleontology, to give the opportunity to lovers of
beautiful stones to meet, and to a broad audience to enjoy it.
It is the result of the work of a group of volunteers whose only salary is the pleasure to see exposed in
Namur, quality minerals and fossils.
It is also an opportunity for vendors and buyers/collectors of minerals and/or fossils to meet.
There will be minerals raw or polished, fossils and some jewelry.
This event is in conjunction with the exhibition « RECUPère » organized by the city of Namur, which
attracted thousands of visitors in 2013.
The entrance tickets are common to both shows.
IMPORTANT WARNING
You are kindly requested to read the terms of the agreement carefully together with the security
measures below and to comply to them stricto sensu.
CONVENTION
The Organizers and the Exhibitors agree upon the following :
GENERAL POINTS:
1. Place: Namur expo (formerly « le Palais des Expositions de Namur »), Avenue Sergent
Vrithoff, 2 in 5000 NAMUR, Belgium. Belgique. Coordinates : N 50° 28,011’ E 004° 50,895’
2. How to get there: Namur expo is the exhibition center of the city and the province of Namur,
the capital city of the Walloon region. It is accessible by public transport (buses, trains) and by
car as well.
By road:
· From E 42 : Exit 12 Gembloux - La Bruyère - Namur, then follow indications
· From E 411 : Exit 6 Bouge - Champion, then follow indications
· Other roads leading to Namur : N 4, N 5, N 95, N 97, N 63
The car park of the city of Namur, located opposite Namur expo, provides parking spaces for persons
with reduced mobility.

ACCESSIBILITY:
3. Accessibility: The show is open to all: amateurs and professionals, (subject to acceptance of
the terms of this Agreement).
SPACES:
4. Renting of the spaces: the price per meter of table is fixed at € 40.00 (forty euros for two
days). For members of "the Escargotite a.s.b.l", the first two meters are € 35.00 (thirty-five
euros) per meter.
Each stand will receive 2 (two) chairs, and this regardless of the length of the stand. Tables
cannot be in any way transferred to other exhibitors, unless with the strict permission of
the organizers.
No preferential space can be granted.
ENROLLMENTS, PAYMENT, COMMITMENT, CANCELLATION, NON-OCCUPATION:
5. Enrolment and payment:
Priority exhibitors:
The participants to the previous edition are considered as priority exhibitors. The latest
deadline for the enrollments and payments is set to July 31st, 2016, the value date listed on
the payment will be the only one taken into account. After this date, priority will be
irretrievably lost, in order to respond to new applications.
Non-priority exhibitors:
The latest deadline for the enrollment and the payment is set to September 30th, 2016.
Enrollment requests must be submitted in writing (mail or email) using the form annexed to this
Agreement and duly filled in (see form). Your reservation will be effective only after
registration of your payment.
Payments :
Only the following payments are accepted, in order of preference :
- European electronic money order on account BE97 0682 1734 0449. code BIC: GKCCBEBB
of l’Escargotite a.s.b.l.
- French checks to the order of M. Marc Jauniaux
- Paypal to the address marc@jauniaux.com provided payment of additional transaction fees
of 2€ per meter of table.
Any registration form taken into consideration will receive a written confirmation from the
organizers.
Each exhibitor is committed by its enrollment to contribute to the prestige of
NAMINERAL, ensuring the maximum space is allocated to beautiful pieces and that the
presentation of his (her) table (s) is done with care.

6. Commitment: Sending back the form with the handwritten mention "Read and approved" duly
signed and dated, lead to the acceptance of this Agreement as a whole. Forms sent back
without these mentions will be considered as null and void.
7. Cancelation: Any cancellation of reservation will be reported by mail before September 30th
2016 in order to claim the refund of the registration. Beyond to this date, no refund will be
made.
8. Non-occupation: Non-occupied locations on Saturday at 10:00 am, will be made available to the
organizers and with the option to be re-assigned without any other form of notice.
RESPONSABILITIES:
9. Damages: Each Exhibitor will be liable for all damages to the furniture or any other installation
put at its disposal by the organization. Exposed pieces are under the responsibility of the
exhibitor. The organizers decline any responsibility in case of theft(s), loss, breakage, disaster
or incident (s) that may arise to the samples as well as exposition equipment for the duration of
the exhibition. No prosecution may be committed to the organizers. Nevertheless, guard
service will be assured to the night of Saturday to Sunday.
DISPOSAL:
10. Availability: Exhibit hall will be available for exhibitors on Saturday, November 26th, 2016
from 06:30 am and on Sunday, November 27th, 2016 from 9:00 am. Exhibitors are requested
to organize themselves in order for their stand to be ready at 9:45 am on Saturday and
Sunday, so 15 minutes before opening. At the end of the event, exhibitors are requested to
swiftly fold their assets to free up the room, to allow cleaning and tidying. .
11. Loading and unloading equipment: You will be allowed to enter your vehicle in the hall to unload
and reload your equipment. This operation will be framed and guided by the organizers.

Is also strictly forbidden :
"Neo-chrome" lighting, it is easily identifiable by its pinkish light bulbs. This lighting cheat on
color minerals by enhancing and exaggerating them very convincingly. This light lures the
potential buyer.
13. Right of control: The organizers have the right to inspect the goods on display and to
require the immediate removal of objects that are in contradiction with article 12 above.
14. Display: Exhibitors must clearly indicate the name and the exact origin of the fossils and the
minerals they present. Netto price in euros must be indicated on each item for sale. Items that are
not for sale will be marked as such.
a) Repaired, glued or manufactured items must be marked with a special label, prominently.
b) Minerals, artificially dyed, synthetic, repaired, glued or treated by all physical or chemical means
(irradiation, temperature, etc… like heated amethyst, bombarded quartz ... ) as well as re-polished
crystals and minerals surfaced must always be labeled as such.
c) Radioactive or toxic minerals and asbestos must be labeled as such and presented in closed
boxes.
LEGAL DISPOSITIONS :
15.Legislation: Organizers decline any liability in case of dispute of an exponent with S.P.F finance,
customs, VAT, agents of inspection of economic or with buyers. Each exhibitor is required to be in
good standing with the law. ("No one is supposed to ignore the Law").
16.Transactions: Transactions are under the sole responsibility of the parties concerned.
17.Fraud attempt : It is forbidden to sell any goods « off the records ».

18.Wild sales : Any sale is prohibited on the car park or in the vicinity of the Hall.
19.Exclusions: The organizers keep the right to decide the immediate exclusion of any Exhibitor
violating one of the articles of this Agreement. The amounts paid will not be refunded.
20.Sanctions: Any exhibitor violating one of the articles of this convention will face the denial of
any request for participation in future exchanges.
21.Forbidding of smoking in public areas: It is strictly forbidden to smoke in the exhibit hall!
(Royal Decrees of May 15, 1990 and January 2, 1991)
DISPUTES:
22.Contestations: Any dispute relating to this agreement will be subject to the sole jurisdiction of
the courts of Namur. Beforehand, the parties will do everything to seek an amicable solution.

FINAL DISPOSITIONS:
24. Miscellaneous:
This event is in conjunction with the exhibition "RECUPère " organized by the city of Namur, which

The tickets will be common to both shows.
Bar and snacks, also common to both shows, will be available throughout the duration of the show.

SECURITY MEASURES:
The standards set by the Manager of Namur Expo impose the following:
We urge the exhibitors to carefully read the text which follows :
1. Power supply will be provided to exhibitors.
2. The electrical installation must comply with legal safety norm in Belgium (BENOR Norm).
Electrical devices and extension leads have to be with earth cable, exception made for desk
lamps or similar. Electrical twin flat “audio” cables are not accepted. Electrical installations
must be designed to avoid harm to the exhibitor and the visitors.
3. The power is limited to 100 Watt per meter of table ! The organizers will verify the
strict application of this absolute rule of confort and safety !
Are prefered :
« low consumption » lamps : « neon », fluorescent tubes, LEDs,…
Are allowed:

Halogen lamps conform to security standards provided they do not exceed the maximum
allowed power.

Incandescent lamps.

U.V. devices of short, medium or long wave, provided they include adequate protection for
visitors.
Exhibitors are fully responsible for the state and the conformity of their
equipment!
The installations will be controlled by an officer of the recognized
organization VINÇOTTE!

This agreement is limited to 25 points increased by a "Security measures " clause.
