Kintbury Surgery Patient Reference Group Meeting 4 Monday 22nd October 2012 MINUTES Present Dave Hughes (Stand-in Chair / Secretary), Glenda Heaton, Sally Mitchell, Roy Green, Merle Manson, Claire Montague Apologies John Tyzack, Bridget Hickey, Patricia Pamflett, Andrew Jameison, Karen Blunden 1) Welcome A warm welcome was extended to Roy Green and apologies received as above 2) Previous Minutes ( follow up) - GP’s to book own appointments – CM confirmed that this was being done. SM requested that this service should also be instigated by the Practice nurses – ACTION KB - SM enquired as to why the nurses were not working full day and CM advised that the lack of Government funding was the effectively the cause. Funding is limited, with no allowance for inflation and the combined Wooten Hill and Kintbury Practices’ can only afford 3 nurses / 1 health worker on part time terms. It was agreed that the PRG should lobby our local MP – ACTION RG - Minutes on Website – These are not being displayed as stated and this needs to be corrected – ACTION KB (KB Post Meeting Note: These are on the website: http://www.kintburyandwooltonhillsurgeries.co.uk/ppg.aspx) Kintbury Surgery Patient Reference Group - Practice leaflet available on front desk – This had been done but unfortunately had been hidden behind other leaflets in the display stand. It was agreed that corrective action would be undertaken to provide an exclusive display stand for the Practice leaflets going forward. – ACTION KB - Board with staff photographs – This action item has been tabled since February but has still not been implemented. After debate a compromise was agreed for this to be done by 31st December 2012. – ACTION KB - Website – CM confirmed that photographs of the GP’s will be displayed on the website. - Kintbury Parish Magazine – There was a possibility that updated Surgery details would be included but too date this has not occurred. – ACTION MM / KB 3) Meeting Format The prime remit for the PRG is to monitor the services provided by the Practice, through feedback and observation, and to then communicate and suggest improvements to the healthcare provision provided. The priority areas agreed by the Practice and PRG (refer website) are as follows: a) Appointments and Prescriptions – appointment system, prescription ordering and collection, services and clinics b) Amenities – current and proposals for improvement c) Communication and Information – website, waiting room display screens, notice boards, leaflets DH suggested that the PRG should set target metrics to measure and where possible improve on the already excellent services provided. DH felt that the PRG needs to question current Kintbury Surgery Patient Reference Group paradigms for example the telephone answer message content / time, the prescription minimum delivery time of 48 hours etc. Some issues were then debated but no resolution or agreement on the proposition was achieved. 4) Patient Survey 2012 The Practise issued a Patient Survey in 2011 with questions covering the priority areas – appointments / prescriptions, amenities, communications / information (as outlined in item 3 above). They would like comment on the current format and / or suggestions from the PRG as to the questions to be asked in the forthcoming 2012 Survey. - ACTION ALL (KB Post Meeting Note – I would appreciate suggestions ASAP as this survey needs to go out before the next meeting) It was also agreed that the Survey should also be available on the counter. – ACTION KB 5) Care Quality Commission CM explained that all NHS organisations are asked to comply with 28 Essential Standards of Quality and Safety that people who use services have a right to expect from April 2013. Once registered the surgery will be monitored via inspections which focus on the experiences people have when they receive care 6) A.O.B. - Arising from the details of the CQC requirements a request was expressed that Dr. Coakley should walk down the passage to summon patients from the waiting room and not shout their name from his rooms. Kintbury Surgery Patient Reference Group - SM advised that the outside door bangs and is in need of attention to resolve this problem – ACTION KB (KB Post Meeting Note: This is an ongoing problem which is receiving attention, the hinge has been replaced once but failed again and we’re finding it difficult to source an alternative that works) - In answer to a question CM advised that the Practice could not accommodate all requests for help, particularly from non – patients.
