Poster Project Student Artist Agreement
Thank you for considering becoming a part of this exciting, student-centered project!
At least one piece of original student art will be selected for use in the design of UT Heritage Month and Focus
Week posters. Please complete the attached form and submit it to the Office of Student Involvement (SU 2525)
before the indicated deadline to have your art considered.
Process:
1. Students interested in submitting artwork for any of the following Heritage Months or Focus Weeks during the
2012 Calendar year can get involved by turning in an Agreement Form to the Office of Student Involvement by
the indicated date.

2. Students submitting Agreement forms will be invited to attend at least one critique session with UT faculty and
staff. This session will allow the student to discuss the art and gain insight from professionals in the field
before finalizing the piece.
3. Students submitting Agreement forms are invited to contact any of the following staff members with questions
or for guidance and support through the process.

4. The original art must be submitted by the due date along with a brief artist biography of 200 words or less, and
short description of the artwork and how it applies to or represents the heritage month or focus week of 300
words or less.
5. A panel of faculty, staff and students will select at least one piece of art to be used in the design of each of the
posters. Selection criteria includes the following;

6. The selected artist will be recognized with a biography and statement about the art on the Student Involvement
website.

The selected art will become the property of UT and will be archived on campus.
Each selected artist will receive a $50 gift certificate to the UT bookstore.
The selected artist will be invited to at least one consultation with UT Marketing and Communications staff to
discuss how the art will be used as a design element of the poster.
The selected artist will be expected to sign up to 10 of the posters which may be displayed and/or sold as a
fundraiser for the Arts Living/Learning Community.
7. Select pieces from all submitted artwork, along with artist biographies and artwork write ups, may also be used
in displays related to the Heritage Month or Focus Week.

Terms:
1. To be considered, this agreement form and the original artwork must be submitted by the dates printed on
the attached explanation letter. Submit art and all documents at the same time to the Office of Student
Involvement to the attention of Jeff Witt.
2. Students submitting artwork must be currently registered UT students at the date of submitting the art.
3. The artwork submitted must be original art and must be 100% completed by the student submitting it. No
images from the web may be used in the artwork.
4. Do not use the UT crest or any official UT logos in the artwork.
5. When submitting the art, the student must also submit, hard copy or electronic copy, a brief artist biography
and a short description of the artwork itself.
6. Submitted artwork, artist biography and/or artwork description may be used to promote the selected
Heritage Month or Focus Week and/or may be used in a display during the selected Heritage Month or
Focus Week.
7. Submitted artist biographies must be 200 words or less and the artwork descriptions must be 300 words or
less.
8. Original art submitted for the project is donated to UT by the artists. The original art and images of the art
may be used by the University of Toledo in promotional material and/or in displays.
9. The selected artist will receive a $50 gift certificate for the UT Bookstore and will receive full credit for
creating the art anytime it is displayed, but will not be compensated for the art in any other way.
10. If submitting a digital image, the photo must be at least 300dpi at the actual size it will be used to print.
11. If submitting an image in a design application, the following criteria must be met.

The native file including the fonts and linked images must be submitted.
A pdf, jpeg or a printout of the image must be submitted for viewing and display.
Only InDesign, Photoshop or Illustrator will be accepted.
Images in Microsoft Word or Publisher will not be accepted.
If created in Photoshop, the layered file should be provided.
12. If dimensional art (such as sculpture or layered art) is submitted, professional quality photos must be
submitted along with the original piece. Please use UT’s photographer by contacting Laura Flowers at
419.530.2002 to schedule an appointment.
