RECORDING SERIAL VOLUME HOLDINGS STATEMENTS
(866, 867, 868 FIELDS)
1. General
Follow these instructions when you are recording 866 fields for serials. In serial
866 fields, you are recording bibliographical volumes as designated by the publisher,
rather than physical volumes.
2. Chronology
1. When more than one type of date is present in the source for chronology, select
the date from the following preferred dates, in the order indicated:
Date of coverage
Date of publication
Date of copyright
Date of printing
Do not use the date of reprinting.

2. Record holdings data in numerical order, lowest to highest, earliest to latest. If
you can not determine the exact year, use a question mark in the last digit (e.g., 198?).
Do not record the year if you do not know the decade.
3. Record months, seasons, and days in vernacular form as they appear on the
publication, romanized if necessary. Abbreviate and capitalize according to AACR2
rev. Appendix B.10 and Appendix A. Do not capitalize or abbreviate the seasons in
English.

4. Generally do not use ordinal numerals (e.g., 1st) in chronology. When
necessary, record ordinal numerals in the form 1st, 2nd, 3rd, 4th, etc. for Englishlanguage items. For all non-English items use 1., 2., 3., 4., etc.

3. Summary Volume Holdings Statement
1. Generally, enter holdings data for serials at the detailed level (i.e., level 4).
Record data at the highest, most inclusive value of enumeration and chronology.

2. When more than one hierarchical level is involved, record all levels; e.g., year
and month, or volume and issue number, etc. Use a colon to separate each hierarchical
level. Record hierarchical levels from the highest to the lowest level.
3. Use open-ended holdings statements, for currently received titles (e.g., v.1
(1990)-). Record data at the first-order designator level (e.g., volume, but not issue or
number, etc.).

For examples of lengthy, complex holdings, with accompanying material and notes, refer

4. Compressing Volume Holdings
Record an unbroken range of holdings by recording only the first and last parts
held, separated by a hyphen; or, for currently received titles, using an open-ended

holdings statement. Alternately, record holdings of a complete level of hierarchy by
giving only the enumeration of the next higher level.

1. Use a combination of itemized and compressed (summarized) sections in your
holdings statement so that holdings are clearly recorded. Compress whenever possible.
2. Do not compress across a gap.

3. Do not compress across an incomplete part; record the incomplete part at

5. Notes
1. See also notes that apply to the whole copy: 852 HOLDINGS NOTES (852
$$l, $$x, $$z).
2. Specific extent note: A free-text note which applies to a single MARC
holdings field, enclosed within angle brackets and recorded in subfield z
of the 866 (or 867 or 868) field. Repeat subfield z for each new note.

6. Accompanying Material

Record accompanying material (secondary bibliographic units) other than
supplements and indexes, when relevant.
Record holdings data for accompanying material in additional 866 fields
following the holdings for the main work. Precede holdings data for accompanying
material by “+ space”.
Capitalize the first letter of the first word of the bibliographic title (or supplied
designation). Enclose the bibliographic title in quotes. Write the bibliographic title in
full. Do not abbreviate it.
For accompanying material issued in more than one volume, record the volumes
of accompanying material received.

Remember: Always make a note about accompanying material in the
bibliographical record (field 500).
7. Supplements
Remember: Make a supplement note in the bibliographical record (field 525).
1. Record a supplement to the serial as a whole.
Use field 867 to record the supplement holdings. This will supply the label
Supplements for MUSE 2 display.

Note: Usually create a separate record for a serial supplement to a whole serial;
the supplement's own title will be the title entry on its own record. In this case, do not
record the supplement's holdings with the holdings for the parent serial.
2. Record unnumbered supplements by making a note in the 852 field of the
MARC holdings record: Library has (numerous) unnumbered supplements. Do not record
in the 866 or 867 field a supplement that lacks its own numbering, or lacks numbering
related to a particular volume or year.

8. Indexes
Remember: Make a cumulative indexes note in the bibliographical record (field
555).
Record only cumulative indexes in the MARC holdings record. This is a local
McGill policy.
Use field 868 to record the index holdings. This will supply the label Indexes for
MUSE 2 display.
