Fair Processing Notice for Students Queen Mary University of London (QMUL) is a data controller in terms of the Data Protection Act 1998. QMUL requires a certain amount of personal data for the administration of your studies and to comply with certain statutory obligations. This may extend beyond QMUL’s central Student Administration. Examples include transmission to/sharing of data with: academic departments, Housing Services, IT Services, Careers, the Library, Learning Development, Advice and Counselling Service, or Finance and the Disability and Dyslexia Service in QMUL, and external organisations, as appropriate. Purposes for which QMUL may process your personal data, whether electronically or on paper: the organisation of teaching and examinations and the award of degrees (both at QMUL and any other institution which may be responsible for providing part of your programme of study) inclusion in institutional directories the administration of student residential services (if at any point in your studies you live in QMUL accommodation) the administration of student computing services to provide careers and other support services to collect tuition or other fees routine administrative functions such as access to buildings and library borrowing (which will include the use of your photograph) procedures relating to student complaints and appeals, and to student discipline membership of Queen Mary, University of London Students' Union processing of any work produced for the purpose of assessment through antiplagiarism systems, which may hold data outside the European Economic Area to help the institution understand and improve its educational processes and provide better support to students whether assisting them individually or by improving courses alumni relations activities and membership of the Alumni Network inviting you to participate in voluntary surveys of student opinion, which may be nationally-organised or organised by QMUL statistical processing of aggregated student data by QMUL, or by institutions or bodies with which it is in collaboration equal opportunities monitoring the production of returns required by government agencies (in particular the Higher Education Statistics Agency (HESA), please see: http://www.hesa.ac.uk/fpn and the Higher Education Funding Council for England (HEFCE)) to pass information to your parent or guardian if you are under 18 years of age Certain circumstances may require the transfer of your personal data to: Queen Mary, University of London Students’ Union as outlined in the agreement QMUL has with it the University of London (for example to produce degree certificates, support the provision of careers services and collect data from you on graduation for the statutory Destination of Leavers from Higher Education Survey) Transport for London (to verify Student Oyster card applications) Microsoft Ireland Operations (in order to create an Office365 email account) any organisation (data processor) acting under contract to QMUL to process personal data which it holds Should your programme of study be delivered wholly or in part by another institution, this may involve some of your personal data being transferred directly to that external educational provider. Should this apply, your Department (or a relevant central office) shall inform you of what personal data is being transferred, and why. Should you be involved in a placement or exchange visit while at QMUL, some of your personal data may be transferred to the external provider. Should this apply, your Department shall inform you of what personal data is being transferred, and why. Should your studies at QMUL at any point involve work with children or vulnerable adults and/or if your programme is accredited by certain professional bodies concerned with health and social responsibility, QMUL will pass data to relevant external bodies to discharge its statutory responsibilities and to enable routine vetting for fitness to practise to take place where appropriate. If you have a student loan, confirmation of attendance and details of your programme of study will be made in returns to the Student Loans Company. If you have entered the UK on a student visa and have a period of unauthorised absence, fail to enrol, interrupt, withdraw, are excluded from studies, or make any change to your programme title, content or duration, QMUL is obliged to pass this information to the Home Office. We may monitor attendance to collect data for this purpose. QMUL may contact you by post or by other means such as telephone, texting or email. You have the right to opt out of receiving marketing material and you can exercise this right by contacting the sender of the communication.
