SECOND CIRCULAR UPDATED
DATES & VENUES
The 25th Meeting of European Vegetation Survey (IAVS Working Group) will be held in Roma
from Wednesday 6 to Saturday 9 April 2016.
The Plenary Sessions and Registration will be held in the Auditorium of the "Accademia dei
Lincei", in Palazzo Corsini, via della Lungara 10, Roma, next to the Botanic Garden (Orto
Botanico) of Sapienza Università di Roma, Dept. of Environmental Biology, Largo Cristina di
Svezia 24, Roma.
MAIN TOPICS
The topics for the25th EVS meeting are:
 Present day phytocoenology and the legacy of the past;
 Describing and evaluating European habitats: EUNIS, Natura 2000 and the Red
List;
 The use of vegetation data for predictive distribution modelling.
REGISTRATION
The registration must be done using the form available on the webpage Register to
Participate or using the participation forms at the bottom of this circular.
Remember that the updated deadline for the registration is January 31, 2016.

CALL FOR ABSTRACTS
All the participants are invited to submit an abstract for oral presentation or poster. Abstract
submission is possible only for registered participants. The abstract must be submitted before
January 17, 2016 extended to January 31,2016, using the form available on the webpage
(Abstract Submission).
Participants who have declared in the registration form that they want to make an oral or
poster presentation, they can submit the abstract following this procedure
(http://www.evsmeeting2016.it/wp-content/uploads/2016/01/ABSTRACT-SUBMISSIONPROCEDURE-FOR-THE-25TH-EVS-MEETING.pdf). The maximum accepted length of the
abstract is 2000 characters (spaces included). The committees suggest subdividing e your
abstract in the following sections: Questions (or Aims), Location, Methods, Results,
Conclusion.The abstracts will be available online on the website from February 2016.
ACCOMMODATION
On the webpage http://www.evsmeeting2016.it/accommodation/ you can find information
on how to book hotels, B&B or hostels in Rome for the meeting days. Please consider that
next year will be the Jubileum in Rome and many people will be hosted in the city during the
spring.
The staff meeting will be available for any clarification and help on the logistics of
accommodation for all the participants at the EVS meeting. All accommodations have been
already contacted by meeting staff. For any additional information, help or questions please

PAYMENT & FEES
In the next days each participant will receive a personal memorandum for DETAILS PENDING
PAYMENT OF FEES for 25th EVS Meeting, following the form sent in by the registered
participant.
The organizing committee will verify if the participants are members of the IAVS (with
reference to the 2014/2015 membership list), in relation to the payment of registration fees.
Any inconsistency should be communicated to the Workshop Secretary as soon as possible.
Consider that this note and the receipt do not include VAT.
In the memorandum you can find the beneficiary of payment the Italian Society of Botany
and bank details. The full payment by bank transfer of the total fees (Registration, Excursions,
etc.) is strongly recommended. Please consider that any charge (e.g. bank commissions)
should be added to the fees. Remember that the deadline for the fee payment is January
31, 2016.
Fee payment on-site during the workshop will be possible only in exceptional cases. In this
case you should pay cash at the Registration Desk. Only the exact amount in Euro will be
accepted (no credit cards or any foreign currencies). The receipt will be available at the
Registration Desk during the meeting.
Cancellation Policy: The rules of the refunding of the EVS meeting fee, dinner and excursions
are as follows:
 Before February 29, 2016: 80% of the original payment will be refunded.
 After 1 March 2016: no payments will be refunded.
The registration fees for regular participants are 145.00 € (IAVS member) or 165.00 € (non IAVS
member), which cover:
 lunches and coffee/tea-breaks;
 Meeting Pack with programme.
The registration fees for students (including Ph.D. students) are 115.00 € (IAVS member) and
135.00 € (non IAVS member), which cover:
 lunches and coffee/tea-breaks;
 Meeting Pack with programme.
The registration fees for accompanying persons (considering only partners and/or children
above 3 years old) are 50.00 €, which covers:
 lunches and coffee/tea-breaks during the Meeting.
The additional fee for the meeting excursion of April 9 is 30.00 €, which covers:
 lunch;
 transport from/to Orto Botanico.
The Social “Aperitif-Dinner” fee is 30.00 €, will be held in the Botanic Garden in the evening
on Friday 8 April 2016.
