Timely Transfer of POMS Data for Children Moving from District to District - REVISED From time to time over the course of the year, children move from one school district to another. It is very important that at the time of the child’s move, you transfer the POMS data to the next school district, so there will not be any interruption in the POMS assessment process. Some of you have already used the process that needs to be followed when a child relocates. But a brief description follows as a reminder and for those who have not yet had to use the procedure. 1. CHILDREN MOVING FROM a TS GOLD DISTRICT to a TS GOLD DISTRICT – NEW in 2015 When children move from one TS GOLD district to another district using TS GOLD – I can move that data for you. What I will need: the child’s name; class/teacher from the sending district; name of new district; class or teacher’s name if known. I will do the transfer of data. 2. CHILDREN MOVING FROM a TS GOLD DISTRICT to an AEPSi DISTRICT This is a little more involved, but the process is simple. In this case you must follow the “TS GOLD To AEPSi Transfer of Data Instructions” which is also attached to this email. This must be done by an administrator of the system. You will be generating the three (3) COSF #’s for Outcome 1, Outcome 2 and Outcome 3. These three (3) numbers are the numbers you MUST send to the district the child is moving to who uses AEPSi in order for them to enter that number into the AEPSi online system. ***THIS MUST BE DONE IN A TIMELY MANNER IN ORDER FOR THE RECEIVING AEPSi DISTRICT TO ENTER THE ENTRY DATA SCORES PRIOR TO THEM DOING AN AEPSi ASSESSMENT. 3. CHILDREN MOVING INTO YOUR DISTRCIT FROM ANOTHER TS GOLD DISTRICT – NEW in 2015 If the sending district has not followed the procedure above and the new child is not on your roster – you must contact me with the child’s name; district they have moved from and what class in your district you want them moved into. I will move the data for you. 4. CHILDREN MOVING INTO YOUR DISTRICT FROM A DISTRICT USING AESPi If the sending district has not provided you with the 3 COSF #’s, you must follow up with them to get those numbers ASAP. If they have provided you the 3 COSF #’s, then you must follow the procedure for entering those numbers into the TS GOLD online system. Those procedures are also attached to this email – “Steps for Entering OSEP Entry Scores into GOLD Online.” If you need assistance with this procedure I am happy to help you – it really is not hard - but needs to be done in a timely manner so no data is lost.
