Timely Transfer of POMS Data for Children Moving from District to District From time to time over the course of the year, children move from one school district to another. It is very important that at the time of the child’s move, you transfer the POMS data to the next school district, so there will not be any interruption in the POMS assessment process. Some of you have already used the process that needs to be followed when a child relocates. But a brief description follows as a reminder and for those who have not yet had to use the procedure. 1. CHILDREN MOVING FROM an AEPSi DISTRICT to an AEPSi DISTRICT For children in this category, you must complete the “AEPSi to AEPSi Child Transfer Request” form which is an attachment to this email. This must be done by an Administrator of the system. All areas need to be completed and forwarded to AEPSi. Once forwarded, AEPSi will take care of the transfer seamlessly behind the scenes. 2. CHILDREN MOVING FROM an AEPSI DISTRICT to a TS GOLD DISTRICT This is a little more involved, but the process is simple. In this case you must follow the “AEPSi to TS GOLD Transfer of Data Instructions” which is also attached to this email. This must be done by an administrator of the system. You will be generating the three (3) COSF #’s for Outcome 1, Outcome 2 and Outcome 3. These three (3) numbers are the numbers you MUST send to the district the child is moving to who uses TS GOLD in order for them to enter that number into the TS GOLD online system. ***THIS MUST BE DONE IN A TIMELY MANNER IN ORDER FOR THE RECEIVING TS GOLD DISTRICT TO ENTER THE ENTRY DATA SCORES PRIOR TO THEM DOING A TS GOLD ASSESSMENT. 3. CHILDREN MOVING INTO YOUR DISTRCIT FROM ANOTHER AEPSi DISTRICT If the sending district has not followed the procedure above in “AEPSi to AEPSi Child Transfer Request” you must follow up with that district to do so. 4. CHILDREN MOVING INTO YOUR DISTRICT FROM A DISTRICT USING TS GOLD If the sending district has not provided you with the 3 COSF #’s, you must follow up with them to get those numbers ASAP. If they have provided you the 3 COSF #’s, then you must follow the procedure for entering those numbers into the AEPSi online system. Those procedures are also attached to this email – “AEPSi COSF Transfer Form GOLD”.
