TIME. Two-hour minimums on all rental space, except the Board Room. Fees are calculated in hourly
increments. Anything less is based on half-hour increments.
DEPOSITS. Under 500 square feet = $50. Over 500 square feet = $200 - $500, depending on the number of
attendees and type of event.
CLERMONT RESIDENT. Defined as someone who lives in or owns property inside the city limits of Clermont.
SALES TAX. A 7% sales tax applies to rental rates unless the organization has a sales tax exempt form.
(Deposits are not taxed.)
CONFIRMING YOUR RESERVATION. Reservations are confirmed once a deposit is made. Rental fees must
be paid at least 2 weeks in advance.
REFUNDS. Refunds are made by the 15th of the following month.

Rules for Renting the Clermont Community Center
Please read the following rules and initial each line, indicating that you understand and agree to abide by
the rules. If you have any questions, call 352-394-4191. Thank you!

I am responsible for set up, breakdown and storage of the tables and chairs for my event. I
understand that I also have the option of paying a Chamber contractor to set up and break down
and that I must give sufficient notice if I choose to hire the Chamber’s subcontractor.

I will pay the rental cost no later than two weeks prior to the event.

I agree that cancellation within 10 days of the event is subject to a $20 fee.

I understand that if I cancel on the day of the event, or fail to notify the Chamber of cancellation, that
I will forfeit the deposit.

I am responsible for any damage or vandalism to the building or property. Repair cost may be
deducted from the deposit and further action, including legal recourses, may be taken if damages are
more than the deposit.

I agree to leave the facility and property in the condition in which I found them.

I agree NOT to leave the building unsupervised at any time.

I understand that some large gatherings, including dances, may require hiring an off-duty Clermont
Police officer.

I agree that no alcohol is allowed inside or outside the Clermont Community Center building. If I
would like to request that alcohol be part of my rental event, there is a separate request sheet that
has to be filled out, all alcohol requirements met and an approval process that goes through the City
Manager’s office.

I agree to remove all trash after the event and place it in designated outdoor trash receptacles. I will
put new trash bags in the indoor trash receptacles.

CLERMONT COMMUNITY CENTER RENTAL AGREEMENT
1. First, read all the rules and rental fees.
2. Next, initial the rules on the sheet titled “Rules for Renting the Clermont Community Center.”
3. After completing #1 and #2, please read the statement below and sign it in the presence of a South
Lake Chamber of Commerce staff member.
RENTAL AGREEMENT
I understand and agree to the following:

I am responsible for any vandalism or damage to the building and/or fixtures. As assurances of such
responsibility, I am posting the required deposit, which will be returned to me by the 15th of the
following month of the event, providing:
o The Clermont Community Center property and fixtures are not damaged.
o Equipment is properly stored.
o Additional cleanup is not needed.

I agree to leave the Clermont Community Center property in the condition in which I found it.

I agree to remain in the building until the Chamber representative inspects and locks up.

I understand that that a Chamber representative will be present to open the facility for reserved
events and that the Chamber representative will inspect and close the building.

I have read and initialed the Rules for Use of the Clermont Community Center.
I understand, agree and acknowledge that in the event the use of the premises is deemed to have violated any part of this Rental
Agreement that a representative of the Chamber or the City of Clermont may immediately and without prior warning terminate the
use of the premises.

ACCESS AND SECURITY OF THE BUILDING
A Chamber representative will be present to open and close the facility. Renter MUST NOT leave the facility at
any time during the event and must stay until the facility has been inspected and secured by the Chamber
representative.
AUDIO/VISUAL EQUIPMENT
A ceiling-mounted projector and wall-size screen are available in the main Meeting Room A (or Meeting Room B as it’s
referred to when partitions are up.)
CANCELLATIONS
Cancellations made less than 10 days prior to the event are subject to a $20 cancellation charge. I understand that if
I cancel on the day of the event, or fail to notify the Chamber of cancellation, that I will forfeit the deposit.
CAPACITY (maximum capacity of the entire facility) Estimates are contingent upon confirmation by fire marshal.
240 = Banquet seating (with table and chair setup)
500 = Lecture seating (rows of seats)
CENTER DIMENSIONS
Refer to the Application or Rental Rates for square footage of each space. Ceiling height: 15 feet high.
CLEAN-UP
Renters are responsible for leaving the building, including the lobby, kitchen and bathrooms, in the condition in which it
was rented. Chairs, tables and other equipment are to be returned to the proper storage areas. Trash is to be placed in
outside receptacles. Carpet is to be vacuumed. Uncarpeted areas must be mopped. Counters and appliances must be
wiped clean. Renters have the option to contract clean-up services through the Chamber, if they prefer.
LARGE GATHERINGS
Large gatherings require hiring an off-duty Clermont Police officer for security reasons. Consult the Chamber staff for
more details.
PROHIBITIONS
Renter is NOT permitted to have the following at any event without written permission of the Chamber:
 Flammable substances.
 Firearms.
 Animals, except for seeing-eye dogs or similar canine companions.
 Alcoholic beverages, except those served by a licensed server as outlined in the rental
agreement.
 Illegal drugs.
 Smoking.
 Machinery.
 Props or other special equipment that potentially could damage the floors.
 Decorations attached to the walls or ceilings.
RESERVATIONS
Reservations should be made well in advance. A date and space are not confirmed until a deposit and completed
application are filed with the Chamber. Regular, scheduled use of the Center is available with the understanding that
special-event programs take precedence and may require recurring renters to cancel or change their reserved date.
RETURNED CHECKS
There is a $25 charge for returned checks.
TABLES and CHAIRS
Rectangle tables (6’ x 30” seats 6). Round tables (50” seats 8). Renters are responsible for setting up and taking
down chairs and tables. If you prefer to pay for this service, please contact the Chamber.
