Supplier Code of Conduct Introduction As a valued supplier of products and/ or services to Peterborough Regional College, we are writing to introduce our supplier Code of Conduct and request that you adopt practices that are consistent with it as we expect our suppliers to conform with it at all times. Key principles include the following: complying with all applicable laws, rules and college policies, avoiding actual and apparent conflicts of interest, maintaining confidentiality of non- public information, dealing fairly with the competition, suppliers and suppliers own employees, and have a genuine commitment to strive to maintain a discrimination and harassment free environment, and demonstrate careful stewardship of the environment. Peterborough Regional College promises that when dealing with our suppliers we will make every attempt to adhere to these values ourselves. Legislation Suppliers to Peterborough Regional College must comply with all applicable laws, rules and regulations. Health & Safety/ Safeguarding Employers must provide a safe and healthy working environment to their employees and conform to current legislation. When attending or working on any site for which Peterborough Regional College is responsible Suppliers must adhere to the standards set out in our Health & Safety, Welfare and Safeguarding Guidelines for Contractors, a copy of which will be provided at the commencement of your contract and is also available upon request. Further guidance is also provided in the leaflet Health & Safety, Equality and Diversity and Safeguarding Guidelines for Contractors and Visitors which is provided to all persons attending site. Contractors must ensure that in their own interests and the interests of the College, that they act in a professional manner towards learners and trainees at all times and should never allow anyone to work on site or provide a service to Peterborough Regional College who has been barred from working with children or vulnerable adults. All contractors must carry out a Criminal Records Bureau (CRB) check on all their employees who will be regularly working on our premises prior to attending site. Equality of Opportunity The Suppliers organisation must recognise the importance of Equality and Diversity and fully comply with the Equality Act 2010 both as required by legislation and in spirit. It is also important to us that all of our suppliers and contractors understand that the College will not tolerate any form of behaviour or activity that discriminates on the grounds of age, gender, marital status, family responsibilities, sexual orientation, colour, race, nationality, religious belief, ethnic background and disability. This also applies to any sub-contractors, consultants or any other persons employed by the Supplier to provide goods, works or services to Peterborough Regional College. We encourage our suppliers to support staff training and development wherever possible and this includes the employment of apprentices within their business. 1|Page Environmental Standards The Supplier will comply with all relevant legislation The Supplier will recognize and respect the environment in his business operations and continuously seek for ways to minimize the impact of his business operations, production and products on the environment. The Supplier will strive to utilize recycling, re-use and/ refurbishing of products and materials and dispose of waste in an environmentally friendly way. The supplier will strive to reduce the use of, energy (electricity, gas and vehicle fuel), water, raw materials, environmentally unfriendly technologies and processes. The Supplier will strive to reduce the production of waste (e.g. packaging, chemicals and by products) and harmful emissions. Business Ethics Business will be conducted with integrity; the Supplier will be committed to prevent corruption in all forms this may occur and conduct their operations in a manner that respects the rights of the individuals they employ. Suppliers must not take unfair advantage of anyone through manipulation, concealment, abuse of privileged information or any other unfair practice. If the Supplier is dealing with commercially sensitive information he should operate with due discretion, and not disclose this to any third parties without consent. The Supplier should refrain from providing Peterborough Regional College personnel with any form of compensation, reward, gift or other benefit which may influence their objective decision making. Concluding Comments It is expected that Peterborough Regional College’s direct suppliers will take responsibility to require adherence to the principals of this Supplier Code of Conduct. The supplier will also inform his employees and subcontractors of this code. The upholding of these standards is an ongoing process of learning and development. We will work with our suppliers towards compliance and will review these principles on an annual basis, and revise them when necessary. Peterborough Regional College may reconsider its relationship with a supplier that does not adhere to this code.
