2013 Employee Giving Campaign (EGC) and Community Days Overview and FAQs US Based RVCs Overview Community Days October 14 - 20, 2013 A long-standing McKesson tradition, Community Days is a week of community service that encourages our employees to participate in company-organized, team-building, volunteer events around the globe. This year, Community Days will take place October 14 - 20, 2013. As our focus project for this year’s Community Days, McKesson volunteers will raise funds and volunteer for the benefit of Giving Comfort. A new program of the McKesson Foundation, Giving Comfort provides cancer patients with a Comfort Kit – a backpack or tote bag filled with most-needed and requested items that provide comfort and relief during chemotherapy treatment. Each Comfort Kits include high-quality, nonmedical items that were selected by a group of 1,000 nurses, patients, and oncologists, including dry-mouth toothpaste, alcohol-free hand sanitizer, warm socks, sleep caps, lip balm, etc. The items in each kit were especially selected to help soothe discomfort caused by treatment and also to show patients that others, like McKesson employee volunteers, care about their health and wellbeing. At Giving Comfort, we believe that no one should go through cancer alone. That’s why each kit contains a handwritten note of encouragement and items that are prepared by a volunteer. As part of our Community Days activity, McKesson volunteers will prepare no-sew fleece blankets, Hope Chests, and notes of encouragement to fill 15,000 Comfort Kits for cancer patients in need. Employee Giving Campaign September 9 – October 26, 2013 During our Employee Giving Campaign, which runs from September 9 – October 26, we aim to raise $200,000 to support Giving Comfort. These funds ensure that we’ll be able to provide comfort and hope to cancer patients throughout the year and into the future. Giving Comfort represents a unique approach to corporate philanthropy. Since program operating expenses are covered by the McKesson Foundation and other sources, 100% of individual donations go directly toward creating and delivering Comfort Kits to patients in need. Individual donations are tax-deductible, and McKesson employees can request that their donation be matched dollar-for-dollar by the McKesson Foundation by following the Matching Gifts Instructions. When is Community Days? Regional Volunteer Chairpersons are encouraged to implement their Community Days event within the window of October 14 - 20, 2013, selecting the time of their choice according to their site’s needs. 2. Why is participating in Community Days important? Community Days builds camaraderie among employee volunteers while making a positive impact in the community. As a business benefit, this program enhances McKesson’s visibility in the community, and employee volunteerism helps boost employee morale and supports recruitment and retention of top talent. 3. Can employees bring their children to work to participate in Community Days? Provided that you have your senior leader’s approval, employees are encouraged to bring their children to volunteer alongside them during Community Days. Please contact the senior leader at your location to see if bringing children to your location for Community Days is safe and/or feasible. Some of our locations or distribution centers may have dangerous equipment and/or other health and safety concerns that make bringing a child to work impossible. 4. Do employees have to bring their children in to work to participate in Community Days? No - this is merely “icing on the cake” and depends upon the nature of business at your location. For sites where it is not practical or feasible to bring children to work, this project still provides a wonderful way to allow our employees have fun while giving back to the community. If you are unsure of whether your site allows children to participate during Community Days, please check with the DCM or senior leader at your location. Some locations allow for children to come to the site for part of a day, some for an hour, and some sites cannot allow children at all due to schedules. This is a location-by-location decision. 5. Why is there a minimum requirement of 5 employee volunteers in order to participate? The spirit of Community Days is to encourage employees to gather together as a team to help benefit our community, so we require teams to have a minimum of at least 5 employee volunteers in order to be eligible to participate. Having a minimum of 5 employee volunteers also allows us to consolidate orders and save on shipping costs, so that more of our budget may go towards providing Comfort Kits for low-income patients with cancer. 6. Are remote employees allowed to participate? Yes - we encourage remote employees to gather together with other remote employees as a team, or to join nearby participating McKesson offices to volunteer. Remote employees may participate and receive Community Days support so long as the team has a minimum of 5 McKesson employee volunteers. (Please see “Getting Started Guide: Remote Employee Teams” document for more information on how to get involved if you meet the criteria of 5 employee participants.) The Corporate Citizenship Team will work with you to implement Community Days at your site and can lend you support in the following ways: Crafting email communications surrounding Community Days that will be sent to you for customization and distribution (please see Sample Communications section in the online toolkit) Providing posters to help you publicize your Community Days event Providing the funding for food and drinks for participating employees Covering the cost of shipping the finished Comfort Kits to your assigned recipient via the Community Days Fed Ex account Answering any questions/concerns you may have 8. What am I responsible for? We are asking for your help in the following ways: Estimating the number of participating volunteers (employees and their children, if applicable) in your location Ordering volunteer supplies online at www.OrderSuppliesCD2013.com Recruiting employees to register and participate by printing and putting up posters, sending emails, printing letters and/or flyers(as applicable for DC employees) Customizing your event page and encouraging employees to register online at www.teamgivingcomfort.org Securing a conference room or other location where employees may assemble their no-sew fleece blankets, decorate their hope chests, and write their notes of encouragement for cancer patients Providing, or asking volunteers to bring, supplies that are not provided by the Corporate Citizenship department (i.e.: pens for the notes of encouragement, packing tape to pack and send finished volunteer materials (blankets, Hope Chests, notes) to the Giving Comfort warehouse Arranging a kick-off event for your site Customizing communication templates drafted by Corporate Citizenship and sending them to employees in your site Ordering food and drinks for your employees for the kick-off event and the volunteer event Attending weekly EGC/Community Days conference calls in September and October with the Corporate Citizenship department Providing employees that do not have work emails with paper donation and registration forms, and sending these completed forms (along with check donations, if applicable) to: Giving Comfort - EGC 1 Post Street, 34th Floor San Francisco, CA 94104 Distributing Giving Comfort t-shirts and Giving Comfort fundraising prizes to eligible donors as applicable 9. What if we have business meetings (or other business conflicts) occurring on October 14 – 20? Can we implement Community Days outside of the November 5-9 timeframe? Yes. We understand that business needs come first, so you are welcome to implement Community Days at any time of your choosing after October 14. Will participating employees receive McKesson volunteer t-shirts? We will not be providing free McKesson volunteer t-shirts for all Community Days participants. Instead, we will offer Giving Comfort t-shirts as a fundraising incentive for employees who raise and/or donate a total of at least $100 to Giving Comfort as part of our Employee Giving Campaign. Employees may make a donation, solicit donations from friends and family, or a combination of both, but the donations must be received and recorded/confirmed as a donation made to their personal page on www.teamgivingcomfort.org. If employees raise and/or donate a total of at least $100 received and recorded on www.teamgivingcomfort.org by September 23, they will receive their incentive t-shirt prior to Community Days. If employees raise and/or donate a total of at least $100 received and recorded on www.teamgivingcomfort.org after September 23, they will receive after the Community Days event, in the November – December timeframe. Please note that prize qualification is determined by the individual’s total dollars raised, recorded, and confirmed on www.teamgivingcomfort.org. There is a limit of ONE Giving Comfort incentive t-shirt for each qualified employee donor/fundraiser. 11. How do I get promotional funding? When you place your order online at www.OrderSuppliesCD2013.com for supplies, you will be asked for your company code and cost center. This should be your department’s cost center and company code. If you do not know the company code and cost center associated with paying for your corporate card, please ask your Manager or department’s finance contact for this information. 12. Can I use my promotional funding to purchase t-shirts for volunteers? During the Employee Giving Campaign, we will be awarding t-shirts to employees that fundraise that raise/donate at least $100. As you may imagine, this incentive loses its value if our RVCs start handing out t-shirts for free (or for donation/fundraising values <$100) to all participants, so we ask that RVCs use the promotional funding to purchase lunch for volunteers at the event, and not t-shirts. As we set expectations for our employees to receive free t-shirts in the past, we must now set a new expectation for our employees to view event t-shirts as a special way of thanking those who have donated/raised at least $100 toward Giving Comfort for the campaign. Employees might feel better knowing that since we are only providing t-shirts to donors that provide more Comfort Kits to patients in need, the money we save from buying and distributing less t-shirts are then directed toward helping even more patients. 13. If an employee raises a total of $200 dollars to Giving Comfort via Teamraiser, will the employee be eligible to receive two Giving Comfort t-shirts? No – registered volunteers that meet a minimum fundraising total of $200 dollars may qualify for ONE Giving Comfort incentive shirt only. What supplies will the Corporate Citizenship team send me? When you place your order on www.OrderSuppliedCD2013.com, you will be asked to estimate the number of anticipated volunteers for your site. The Corporate Citizenship team will send you 1 Volunteer Supplies Kit for each anticipated volunteer. How do I order Community Days Supplies for my site? RVCs may place supplies orders online at www.OrderSuppliesCD2013.com Orders will be taken on a first-come, first-served basis. Offer good while supplies last. 17. What if I need to change my order? This content list is representative. 21. Will we be assembling the Comfort Kits during Community Days? Why not? No – volunteers will not be assembling full Comfort Kits. Volunteers will only be assembling three components of each Comfort Kit during Community Days: No-sew fleece blanket Hand-decorated Hope Chest Handwritten note of encouragement for the patient Volunteers will then send these finished items to the Giving Comfort warehouse, where they will be included in each Comfort Kit. The cost of shipping ~15-20 items per kit, for a total of 15,000 kits, to more than 171 participating locations across the country is very high, both from a financial and environmental perspective. By shipping only the Volunteer Supplies to each participating location, we are able to save money that we then redirect to helping provide more Comfort Kits to reach more patients in need. This also enables us to reduce the carbon footprint (gas, carbon dioxide emissions, shipping cartons, etc., required to ship additional supplies across the country.) for this project. How long does it take to complete for the volunteer activities? Please set aside 1 – 1.5 hrs (*not including set-up and wrap-up times) to complete the volunteer activities Kick-off (speaking points and kick-off video provided by Corporate Citizenship) (~5 minutes) Creating the no-sew fleece blanket (10 - 15 minutes) Writing a note of encouragement for the patient (5 minutes) Decorating the Hope Chest (40 minutes – 1 hour) *Set-up and wrap-up times will vary depending on the quantity of supplies and number of volunteers 23. Can employees bring/use their own materials to decorate their Hope Chests? Employees may bring use/their own materials (i.e. colored pens, decoupage, stickers, stencils, stamps, etc.) to decorate their Hope Chests, with the exception of glitter. Because the Hope Chests will be distributed to cancer patients with a range of sensitivities and medical restrictions, please do NOT use glitter when decorating your Hope Chests. 24. What additional supplies do I need to provide for the volunteers at our site? The items below will not be provided by the Corporate Citizenship department. Please provide these supplies for your volunteers. Fine point Sharpie markers (for volunteers to sign their name on the blankets and write their notes on the notecards) Packing supplies (box cutters for opening boxes of supplies, tape for sealing cartons filled with finished products, etc.) FedEx labels to adhere to the boxes of finished items you will be sending back to the Giving Comfort Warehouse (Instructions and FedEx account to be provided by Corporate Citizenship) 25. Where do we send the finished blankets, Hope Chests, and notes to? Please send completed supplies to: Giving Comfort Warehouse 48105 Warm Springs Blvd. Fremont, CA 94539 26. I’d like to host a drive at my site and add more goodies to the Comfort Kits. What other items can we add to supplement these care packages? All of the products in the Comfort Kits were selected based on extensive research with oncology professionals and cancer patients. Because the Comfort Kits will be distributed to cancer patients with a range of sensitivities and medical restrictions, please do NOT add additional items to the kits. The most impactful way for you to help in addition to volunteer during Community Days is by raising money for Giving Comfort so we can get more Kits in the hands of patients in need. McKesson volunteer on the day of the event to cover the cost of food, beverages, and additional supplies as applicable. How do I get promotional funding? When you place your order online at www.OrderSuppliesCD2013.com for supplies, you will be asked for your company code and cost center. This should be your department’s cost center and company code. The Corporate Citizenship department will use this information to transfer funds to the cost center you specify. If you do not know the company code and cost center associated with paying for your corporate card, please ask your Manager or department’s finance contact for this information. The promotional funding allocated by Corporate Citizenship will be $15/registered volunteer (less a penalty fee of $10 for each missing blanket/hope chest not returned to the Giving Comfort warehouse). Please note that volunteers MUST be registered on your team at www.teamgivingcomfort.org Use your corporate card (preferred over personal card). Be sure to save your receipts, as you will need to simply expense your food and beverage charges as you normally would, with the charge allocated to your own company code and cost center. Cost center transfers will be processed in the November – December timeframe, after the Employee Giving Campaign ends (10/26/13) and after Corporate Citizenship has had a chance to verify the number of registered volunteers on your team and the Giving Comfort Warehouse has verified receipt of the volunteer-assembled items for the Comfort Kits from your location. If you are from Legacy PSS or MED3000 do not know your cost center or company code, please simply input “Legacy PSS” or “MED3000” as appropriate in the fields asking for your cost center and company code when you order supplies on www.OrderSuppliesCD2013. Use your corporate card to purchase food and beverages for your volunteers, and expense this as you normally would. Corporate Citizenship will work with the Finance teams from both entities to issue the reimbursement as an intracompany transfer. 29. Can I use my Corporate Card to pay for food and beverages for our volunteers? Yes - you may use your corporate credit card that is our preferred method over using your personal card since this is a company-sponsored event. Please be sure to save your receipts, as you will need these to submit your expenses. To get reimbursed, simply submit your expenses as you normally would, so that the charges hit the cost center tied to the corporate card that you used to charge your F&B expenses. 30. What if I don’t have a Corporate Card? Please ask your manager if you may use his/her corporate card to pay for Community Days expenses. You may only use your personal credit card if access to a corporate card (either yours or your manager’s) is not available. If this is the case, please contact the Corporate Citizenship department, and we will assist you by issuing a check request to reimburse you for your expenses. Please note that you must save your receipts in order to be reimbursed. What if I ended up spending less than $15/registered volunteer for my Community Days event? This promotional funding is not use-it-or lose it. It is up to you as the RVC to manage this budget. Corporate Citizenship will allocate you a flat budget of $15/registered volunteer (less a penalty fee of $10 for each missing blanket/hope chest not returned to the Giving Comfort warehouse). If you spend less than $15 per registered volunteer, then the savings you incur is your cost center’s to keep. You may use this for thank you gifts for volunteers, other community engagement events at your site for the remainder of the year, etc. However, if you end up spending more than your allocated budget of $15/registered volunteer, then your department will absorb your overage, since the Corporate Citizenship department will only transfer a flat budget of $15/registered volunteer (less a penalty fee of $10 for each missing blanket/hope chest not returned to the Giving Comfort warehouse.) FAQs – Employee Giving Campaign 32. How will employees participate in the Employee Giving Campaign? When employees sign up for Community Days online on www.TeamGivingComfort.org, they will have the opportunity to make an online donation to Giving Comfort. Employees may also use the site to invite friends and family to donate to Giving Comfort. Employees may also register and participate by filling in the paper donation and registration form and remitting it to the Corporate Citizenship team (along with their donation, as applicable). Please note: Donations through payroll deduction are currently not an available option for MED3000 and Legacy PSS employees. 33. Will the McKesson Foundation match donations to Giving Comfort through the Employee Giving Campaign? Gifts made by U.S.-employees working a minimum of 20 hours per week to Giving Comfort via check or credit card will be eligible for a dollar for dollar match by the Foundation, from a minimum of $10 to a maximum total of $2,500 per fiscal year, per employee. Employees must submit their matching gift requests online per the following instructions. Employees have 90 days after the donation is made to the nonprofit to enter the match into the system. **Please note: Legacy PSS will be able to access www.mckessonfoundation.com to request Matching Gifts as soon as HRIS integration is completed. Integration work is still in progress, please stay tuned for updates. 34. Will Matching Gifts count towards the team’s fundraising total? No, only funds donated or raised by employees will count towards the team’s fundraising total.
