JOB SUMMARY- The Receptionist will perform all duties as required for the smooth operation of an office according to
Head Start Performance Standards and the KI BOIS Program Plan.
ESSENTIAL JOB DUTIES
1. Answers telephone phone in a courteous, helpful manner at all times, take messages and serve as a liaison
between community, staff, Coordinators and the Head Start Director.
2. Greets public and visitors, notifying individuals of visitors presenting for meetings and interviews.
3. Checking mail each day to see that all correspondence is mailed and that in-coming mail is disposed of properly.
4. Responsible for faxing our and receiving faxes, distributing and/or notifying individuals of faxes in a prompt
manner.
5. Typing, filing and assembling letters and other materials necessary to the operation of the Head Start program.
6. Maintaining an adequate supply of all forms and assuming responsibility of seeing that requests for forms are met.
7. Sharing the responsibility for seeing that the office is clean, neat, that office equipment is taken care of and kept in
good working condition, and for picking up and delivering supplies as needed.
8. Maintaining a friendly and effective working relationship with all center and agency staff members, parents,
volunteers and the community.
9. Supports other office staff in preparation, reproduction, distribution and recording of meeting agendas, reports and
other information. Assists with meeting logistics, snacks and room set-up.
10. Complying with "Requirements for All Head Start Staff."
11. All other duties as assigned.
QUALIFICATIONS/REQUIREMENTS:
1. High school diploma or GED and adequate secretarial/bookkeeping skills gained through education or previous
experience.
REQUIREMENTS FOR ALL HEAD START STAFF
Staff MUST NOT:
1. Subject children to punishment of a physical nature, such as: shaking, striking, spanking, swatting, thumping, pinching,
popping, shoving, spatting, biting, hair pulling, yanking, slamming, excessive exercise or any cruel treatment that may
cause pain;
2. Put anything in or on a child’s mouth as punishment;
3. Restrain a child by any means other than holding and then for only as long as is necessary for the child to regain
control;
4. Subject children to punishment of a psychological nature, such as: humiliation by derogatory or sarcastic remarks
about them or their families, race, gender, religion or cultural background;
5. Use harsh or profane language or actual or implied threats of physical punishment;
6. Punish or threaten children in association with food, rest or toilet training;
7. Isolate a child without supervision or placing him/her in a dark area;
8. Permit children to discipline other children; or
9. Seek or accept parental permission to use any punishment or act prohibited by the requirements contained in this
section.
FAILURE TO COMPLY WITH THESE REGULATIONS
WILL BE GROUNDS FOR IMMEDIATE DISMISSAL.
Other essential requirements:
1.
Quick, stable mental ability, able to react positively to stress.
2.
Hearing: able to hear the children at both active and quiet times; able to detect changes in sound such as a child
starting to wheeze or when it gets too quiet.
3.
Seeing: able to see a child across the farthest point on the playground or the classroom; able to do all required
paper work.
4.
Able to lift, carry and hold children or objects up to 50 pounds.
5.
Physically able to stoop, bend, kneel, etc. perform duties of the job.
6.
Able to stay awake and alert throughout the day.
7.
Practice good hygiene daily.
8.
Use proper handwashing techniques and universal precautions, according to the KI BOIS Program Plan.
9.
Dress so that she/he can physically perform the job, according to KI BOIS Dress Code and other regulations.
10. Sit with children at mealtimes, eating the same meals.
11. Be dependable, energetic, friendly, communicative, non-judgmental.
12. Possess a kind and caring attitude.
13. Maintain confidentiality of children, families and staff.
14. View your work as a part of the KI BOIS team and work in close cooperation with co-workers and fellow employees.
15. Willing to accept and implement constructive criticism and recommendations for improvement.
16. Be an advocate for Head Start and the KI BOIS Community Action.
17. Assisting in recruitment of children for enrollment.
18. Will work 40 hours per week, except for Special Needs Workers, Part-time Teacher Aides and other staff hired for
specific part-time positions.
19. Attend Pre-Service and In-Service Training and other training requested, which may include overnight out-of area
stays.
20. Have access to an automobile with current liability insurance, and have a valid Oklahoma Driver's License.
21. Abide by all rules and regulations as set forth KI BOIS Community Action Personnel Policies.
22. Report all safety issues, mistreatment of children, or inappropriate actions of co-workers to immediate supervisor or
other administrative staff.
23. Perform all other related duties as required by the Head Start Director or her designee.
