Conference Call

In attendance: Kim Desgranges, Mary Horgan, Michael Passer, Ryan Rafko, Kelly Schnider, Stephanie Trapp,
Anne Watson, Kristi Welling and Michael Williams.
Absent: Michael Couch II, Paul Doane, Gabriella Garfield and Elizabeth Looney.
Committee Updates:

Conference Program: Stephanie sent out the up-to-date program to the PD Committee. She is still
waiting for Krissy Bhaumik and John Brown to confirm the date and time of the NSLDS presentation.
She asked about AV equipment as presenters are needing audio and Visio for their presentations.
Michael Passer said we have one speaker so if multiple presenters need a speaker during the same
time frame, this could be a problem. If presenters need VPN, they will want to bring their own
computers. It is difficult to “remote” from MSFAA computers as the resolution cannot be guaranteed
to be good. If presenters are bringing their own laptop, they will need VGA and adapter. Stephanie
reported that only Pocket Programs will be printed for Summer Conference. The big program will be
available on the website. This was a decision was due to timing. Drop dead date for Conference
Program is June 1st with the caveat that Conference Program will continue to take presenter forms
beyond this date if needed but Conference Program is pushing strongly for completion. Stephanie will
work with Michael and Gabriella to get Kim a count of meals needed for presenters.

Conference Site: Kim has signed a contract with DJ Mikey for Tuesday evening. Activities are going
well. Working with Anne on the preliminary menu for the hotel. Tuesday night’s activity will be the
“Scene It” game followed by DJ Mikey. John Brown (Ryan/Kelly-back-up) will organize the Golf Outing
on Tuesday afternoon. Kim Fonger walk/run is set to go. Beer tasting and wine tasting are set to go
with the location being worked out. Heather put out a Registration sign-up sheet and will continue to
do so up until the conference. Raina will be taking pictures during conference. Kim will work on drink
ticket colors for Sunday and Monday as well as raffle tickets. Tuesday evening is cash bar.

Web Services: Michael Passer is concerned with the number of presenters that need internet access.
We need a “Plan B”. If the WIFI is good throughout each room, that would be great. Anne will look
into this on the site visit at the end of this week. If presenters are bringing their own laptop, they will
need a VGA output or adapter to connect to the projectors. Mary Horgan will put together pictures for
rolling screen of Vendors pictures and logos into Publisher. Michael will make sure Raina’s pictures get
filtered in during the conference. MSFAA provides standard PowerPoint only on their laptops.

Donor Support: Kelly reported that June 1st is the deadline given to Vendors for Logos. There are 10
exhibitors as of today. They will be doing the Bingo game again for conference members to gain traffic
to Vendor booths. Kelly and Mary will coordinate with Registration desk to get the game into every
conference attendee’s hands. Kelly is going to put together some information for Ryan to put into his
email blast next week.

Membership: Ryan mentioned that as of today there are 83 people registered (does not include
speakers) for Summer Conference. Ryan is going out with an email blast this afternoon highlighting
Sunday’s speaker (per Gabriella’s request) and activities that Kim provides.

Site Selection: Anne reported that 5 people are going to Site Visit this Thursday and Friday. Anne
asked if Kim could provide a page in the contract showing rooms we will be using for the conference.
This will help those attending to solidify rooms for interest sessions, meals and entertainment. Kim
provided to PD Committee after the call was complete via email. Anne mentioned that in year’s past
we’ve had anywhere between 130 to 160 people attend the conferences at Shanty Creek Resort.
Next conference call will be Wednesday, June 10, 2015 at 11 a.m.
