NEO Guidelines for Supervisor & MCC Guide Introduction: Welcomed, not overwhelmed, is the experience MCC seeks to provide new employees. As a Supervisor or MCC Guide you are a key person in providing that welcoming experience. These guidelines provide recommended steps to take in planning for a new employee’s start and providing that employee with a positive experience not only on the first day, but in the first week and month of the employee’s MCC employment. In the left column indicate who will handle the task. In the right column, indicate when the task is complete. Before The New Employee’s First Day S G ___ Inform staff and/or college of the employee’s start date. S G ___ Identify the employee’s Onboarding Guide (a team member or colleague) S G ___ Reserve time for you or another team member to take the employee to lunch on the first day. S G ___ Reserve time on your calendar for the last 30-60 minutes of the first day to debrief with the new employee. S G ___ If the employee will be located at a workstation, prepare it and stock it with basic supplies as needed. S G ___ If applicable, order building keys, security access cards, and business cards. S G ___ Identify the computer systems the employee will need access to, and contact the HelpCenter to arrange for set up. S G ___ Review and/or develop position performance standards. Provide an up-to-date job description and/or a list of duties and responsibilities. Use the performance management tools on MCC’s New Employee Central (www.mesacc.edu/neo) S G ___ Develop a job specific training plan. If other employees will be assisting, coordinate timing, content, and expected outcomes with them. Schedule time on their calendars. S G ___ Prepare a calendar of the employee’s commitments for the first month such as meetings, college or district training, workgroup events, and performance management sessions. S G ___ New Employee Welcome Packet Board approved employees will complete hiring paperwork at MCC Human Resources on their first day, and will obtain the Welcome Packet from HR when processing their paperwork. New Temporary/Student Worker/Adjunct Faculty employees completing hiring paperwork at MCC HR will need a completed Referral Form from the hiring supervisor and will receive their Welcome Packet from HR when processing their paperwork. S G ___ Review the “New Employee Essentials Checklist,” “It’s My Job To Know…About These Things,” and “My Next Steps Plan,” to be familiar with the information to be covered and determine who will be responsible. 1 NEO Guidelines for Supervisor & MCC Guide On The New Employee’s First Day S G ___ Welcome the employee and If the employee has completed hiring paperwork at MCC HR, review the contents of the Welcome Packet. If the employee needs to complete hiring paperwork at MCC, escort the employee to HR to receive the packet. S G ___ Show the employee her/his work area and provide a secure place for storing personal belongings. S G ___ Introduce the employee to fellow team members (have the employee record information in the “It’s My Job To Know” booklet. S G ___ Provide an overview of the work unit or division, explaining who does what, how it impacts the college and the district, and the employee’s connection to MCC’s success. S G ___ Using the “Where Do I Find…?” section of the booklet, show the employee the location of items listed. S G ___ Take the employee on a brief tour that covers (keep the tour to basics for the first day): Food locations on campus – cafeteria, coffee shop Help – Tech Support Help Center, HR, Public Safety (obtain ID badge, keys, and parking permit if applicable) Fun – Student Center, Fitness Center, Child Care Center S G ___ Take the employee to lunch or arrange for someone to do so. S G ___ Using the “It’s My Job To Know” booklet as a guide, cover information as time permits on the first day in combination with job orientation activities. Note: Complete the booklet with the employee within the first week on the job. S G ___ Provide the employee with relevant copies or online links to your work unit’s manuals, procedures, or work samples. S G ___ 30-60 minutes prior to the end of the day/work shift, meet with the employee to answer any questions she/he may have and to discuss next steps. 2 NEO Guidelines for Supervisor & MCC Guide During The New Employee’s First Week S G ___ Complete the “It’s My Job To Know” booklet with the employee. Encourage the employee to make use of online college and district employee resources to find information, while also encouraging the employee to ask you or others in the work group if online information is not providing the needed help. S G ___ If the employee is part of an employee policy group, provide contact information for the employee to connect with the group president. S G ___ Meet with the employee as needed, or at least at the end of the week to review onboarding progress, especially related to performance expectations and how the employee is doing during early employment stages. Confirm the employee is receiving adequate guidance from you or others to learn and perform the job as expected. S G ___ Review the process of how you will provide performance feedback and evaluate performance. If the employee is on probation, review the probation process. S G ___ Check on progress related to required college or district training scheduled for the first week. S G ___ Order additional supplies or equipment the employee requires. S G ___ Schedule additional onboarding check-in meetings (weekly meetings are recommended) to facilitate adequate support and guidance. During The New Employee’s First Month S G ___ For board approved employees, ensure the employee attends the district new employee orientation. S G ___ Ensure the employee is scheduled for and completes required training. S G ___ Employees who will be operating a vehicle owned, rented or borrowed by MCCCD must complete the MCCCD Driver Training online course and submit to a Motor Vehicle Record (MVR) check. S G ___ Employees who will be driving a utility cart must complete MCC’s utility cart training and assessment. Contact Public Safety to make arrangements. S G ___ Meet with the employee on a regular basis to discuss progress and performance and to encourage the employee to ask questions about any aspect of the job, the workgroup, the department, or the college. S G ___ Check HRMS to ensure the employee has completed required acknowledgments and disclosures. 3
