JOB DESCRIPTION Job Title: Salary: Responsible to: Responsible for: Location: Assistant Housing Manager £24,000 – 26,000 Housing Manager Student Staff Based at College Lane Campus Key Role Requirements: To assist the Housing Manager in the management, development, planning and operational aspects of the Student Union Housing Department (LetSU). To provide high quality privately rented accommodation services for the students’ of the University of Hertfordshire and a commercial management service for landlords. To Deputise for the Housing Manager, to ensure smooth operation in their absence. Main duties and responsibilities: Housing Management: Deputises for the Housing Manager in all areas Provides support to the Housing Manager, Housing Officers and Student Staff to ensure efficient running of the Housing services Assist with the set up and maintenance of systems for the effective operation of Housing Services. Such systems to include the registration and inspection of properties, agreements with landlords, tenancy arrangements for students, financial controls (in conjunction with the Students’ Union Finance department), the Tenancy Deposit Scheme, rent collection, maintenance, dealing with complaints and disputes. Actively develop and promote the Students’ Union property management service to prospective landlords. Liaise with the Students’ Union Finance department on an on-going basis to ensure rent payments, deposit payments and landlord payments are kept up-to-date/administered in a timely manner. Ensure that all properties and landlords accepted under the property management and finders’ fee services are compliant with Housing Law 2004, HMO Management Regulations 2008 and the LA Amenity Standards. Ensure all property inspections are carried out without fail according to our agreements. Maintain a comprehensive information system (CFP database) on landlords and student tenants, including prospective tenants, for all managed properties Develop key relationships in the campus and wider communities to promote the Lettings Agency and liaise with the UH Accommodation Office as and when required. Liaise with landlords, making recommendations on necessary improvements and organise repairs where appropriate. Market available properties via the housing website and social media Ensure that all tenants are aware of their rights and responsibilities when booking properties. Deal with queries from prospective tenants in order that they can make well informed decisions Ensure correct and efficient management of the Tenancy Deposit Scheme, ensuring the prompt return of deposits to students at the end of their tenancy. Ensure that all relevant certificates required by law are keep up to date for all managed and let only properties. General Duties: To ensure knowledge of relevant housing law and local authority recommendations are kept up to date. Attend, where necessary, conferences, training events and meetings. Assist the Housing Manager in the developing a departmental strategy and make recommendations in the preparation of annual development plans for the department. Assist the Housing Manager to organise and promote an annual calendar of housing promotions to continue to improve the reputation and preference of HSU Housing Services. Assist the Housing Manager in ensuring the team are meeting personal and departmental targets and objectives. Assist in the development of the Housing Services Procedure Manual. Supervision Received: The post holder reports to the Housing Manager as well as working closely with other staff, Students’ Union Managers and Elected Officers. Contacts: The post holder will come into contact with students and other customers, Students’ Union Managers, staff and elected officers, University staff and Union suppliers. The post holders will also have considerable contact with the Local Authority and other relevant housing related organisations.
