AGC Athletic Oversight Advisory Team Update
January 2016
Team Membership for 2015-2016:
Tina Hoxie, Geoffrey Beene, Orletta Caldwell, Robert Cebelak, Vikki Cooper, Michael Coach, Nancy Forrest, Anne Meilof, Raynard
Ross, Chris Sain, David Selmon, Anwar Thomas, Fred Zomer (8 new members).
Team Purpose:

Act in an oversight and advisory capacity with attention to academic progress and welfare of student athletes.

To review policies and guidelines related to the athletic program

Monitor, assess and promote interventions to achieve high standards in academics in student athletes

Suggest strategies to promote campus wide support for intercollegiate athletics
Policy and Programs:
1.
Letter of Intent (LOI) and Athletic Grant Procedures – The process was reviewed and changes were implemented in the
process, timelines, documentation, and follow-up communication.
2.
Coaches Handbook – There was a complete revision of the handbook with distribution and review at the fall coaches
meeting.
3.
Compliance Training – Provided Title IX, Cleary Act and Title IV training for athletes and coaches to increase knowledge on
requirements, expectations, and reporting procedures.
4.
Athlete Orientation – Developed an interactive and comprehensive academic support and college transition overview
program for new and returning athletes.
5.
Student Athlete/Sport Communication – Recruitment alignment with the admissions CRM, student handbook, athlete
orientation, athlete notifications, MLive agreement, and website accuracy were reviewed for improvements and
effectiveness.
6.
Athlete Academic Support Plan – The academic plan was revamped for athletes and includes a workshop, study table,
progress reports, accountability tracking, and peer resources. Athletes are required to complete four academic support
activity hours weekly from the different campus offerings. The time requirement aligns with the anticipated NJCAA
standard that is being considered for participating athletes.
7.
College Travel Policy – Type of vehicle (elimination of the 15 passenger vans) and authorized driver requirement changes by
the college has changed the mode of transportation for teams.
8.
Eligibility and Sport Audits - The process was reviewed and changes implemented that included compliance file checklist,
early timelines for eligibility submission, and official documentation. All sports are under NJCAA eligibility audit
requirements for 2015-2016.
9.
All Sports Banquet – An end of year all sports event was held in April to recognize academic, individual athlete and sport
accomplishments.

Academic Persistence, Transfer and Completion - The Advisory Team reviewed the scoreboard for the 2013-2014 and 2014-2015
academic years which includes all athletes on the sports team rosters. Student-athletes demonstrated on average a higher
cumulative GPA compared to full-time GRCC students during the Fall semester, but four of the eight teams fell below the average for
Winter 2015. In Fall 2014, the average full-time cumulative GPA was 2.57, while the average cumulative GPA for student-athletes
was 2.86. Winter 2015 the average full-time cumulative GPA was 2.60, and student-athletes had an average 2.55 cumulative GPA. To
increase persistence, transfer and completion student-athletes engage with athletic advising counselor, coaches, and athletic staff to
make sure students are on course to graduate and or transfer. Upon the completion of the 2014-2015 academic year 47.42% of
student-athletes were retained, 24.74% transferred, 3.1% graduated, 4.1% graduated and transferred.
Note: Student athletes are required to participate in the coordinated academic support program. Athletes sign a student-athlete
commitment form at the start of the academic year which outlines expectations and requirements.

Campus and Community Outreach
Student Life works with the Athletic Program to host events during home games such as Spirit Week which are coordinated during
basketball games. The athletic director and athletes extend an invitation to staff, faculty, and other sports teams to attend and
support home competition. Clinics and tournaments are coordinated throughout the year by coaches with athletic team
involvement.
Community Service

Team volunteer involvement with Kids Food Basket, Grand Rapids Public Schools, and The Image Clothing Center

The Golf team volunteers at the U.S. Junior Amateur Tournament

The Volleyball Team hosted a Cancer Awareness game each season to raise funds for the Helen DeVos Children’s Hospital

The Softball team hosted a game for Breast Cancer Awareness and raises funds

The Baseball and Softball programs sponsor skill building clinics for High School teams
