Visitors Policy
Rationale:
Heygreen Community Primary School gives the highest importance to the safeguarding and welfare of
children. An important aspect of this is ensuring that any adult visiting the school, regardless of their role
within the community, is safe to do so and opposes no risk to the school or to the child/children they are
going to be working with.
Aim:
To outline the school’s protocol and procedures when allowing visitors to visit/work within the school,
without compromising the safety of the children.
Definition:
Visitors are defined as all people other than staff members, governors, or parents/carers involved in
the delivering or collecting of their children.
Visitors therefore can be anyone from an adult helper, parent/carer helper, member of the Local
Authority, Ofsted or DfE Inspector, member of the community, supply teacher, staff members from
other schools, contractor/sub-contractor, guest speaker, member of an outside agency, school’s
Educational Psychologist, school nurse, support worker etc.
Procedures & Protocol:
All visitors will enter the building via the main school office. The office staff will then carry out the
following procedures before the visitor will be allowed to enter the building.
The visitor will be asked if they have a DBS number.
If the visitor has a DBS number, they will be asked
to show an ID badge and to produce written
confirmation and date of issue. This will be noted
down. The visitor will then be issued with a green
visitors lanyard. (This will indicate to staff that
this visitor can be left unsupervised when
working with children).
If the visitor does not have a DBS number, they
will be issued with a yellow lanyard. (This will
indicate to staff that this visitor cannot be left
unsupervised when working with children).
If new to the school, the visitor will be given and asked to read a copy of the ‘Safeguarding
Advice for Visitors & Volunteers’ document before entering the school. This document must
be signed for to say that they have received it.
If the visitor is working with a pupil unsupervised (DBS holders only), they must also be
issued with and sign for a ‘Safeguarding Pack.’
The visitor will then sign the visitors book and be taken to the appropriate staff member or
asked to wait in the entrance hall until a staff member comes to collect them.
On exiting the premises, the visitor must sign out.
Spie Employers:
Due to Heygreen being a PFI school, the company Spie provide the following services to school:
 Building and Grounds maintenance
 Building Work
 Catering
 Cleaning
 Bin Disposal
 Security
As a result of this, at different times of the day Spie employees may be present on site. Spie therefore
have their own safeguarding policies in place. They ensure that employees have a DBS number if
working on site unsupervised and are fully accompanied by the school site manager if they do not
have a DBS number.
Refusal:
The Head of School/Executive Head has the right to prohibit anybody entering the building whom they
feel may cause a threat to the staff or children, or who refuses to follow protocol and procedures.
