This is an exciting opportunity for a HR Assistant to join a listed Great Place to Work company, you will work in a small HR team and provide support on a variety of HR administration and other administrative duties including preparation of contracts, responding to HR queries, maintaining employee records and more. You will need to have excellent attention to detail, a proven track record of strong administration skills and a proactive and professional approach to work. Role: HR Assistant Role Overview: The HR Assistant will provide back-up administration services on a planned basis to members of the HR Team and assist in delivering the HR Workplan. Reporting to: HR Executive Key responsibilities Recruitment Responsible for coordination of Recruitment Campaigns in conjunction with Departmental Managers and HR – which will involve advertising of vacancies, setting up interviews, offering position, tracking & monitoring of references and contracts and any relevant recruitment correspondence Tracking, recording and preparing reports on vital Recruitment Statistics Time Management System and Personnel Files Responsible for upkeep of all attendance records and other relevant information. Responsible for preparing reports from the database regarding attendance i.e. sick leave Updating of Personnel files i.e. ensuring constant workflow on files - maintaining medical certificates, performance appraisals, returned contracts, references into the personnel file Updating of the staff list on a frequent basis i.e. change of addresses, starters, leavers in conjunction with the HR Executive Payroll Assist in the timely preparation and completion of payroll and ensure any queries in relation to payroll are followed up and responded to in a timely manner in conjunction with the HR Executive Answering general queries to HR and Payroll in conjunction with HR Executive Training Scheduling & arranging in house and external training HR Administration Providing back up administration services on a planned basis to members of the HR Team Responsible for minute taking at meetings as required Responsible for preparing reports from the Time Management System regarding attendance i.e. sick leave, headcounts, probation reviews etc. where applicable Health & Safety In conjunction with the HR Executive ensure staff have the required PPE to carry out their roles in a safe manner Corporate Responsibilities Ensure all activity is aligned to Clúid’s values and contributes to the mission of supporting the development of thriving communities Adhere to all Clúid policies and procedures at all times To exercise discretion at all times To fulfil all care and high standards regarding both Clúid’s and your own health and safety obligations Fleet Management Managing the Fleetmatics system in conjunction with the Director of HR General Attend/Request training appropriate to your role To positively promote the Association in all activities Any other duties which are consistent with your role Key competencies required in the role Customer care management Commitment Company focus Innovation & Change Management Influencing and negotiation skills Team Work Leadership skills Person Specification Essential Desirable Key Skills Candidates will be shortlisted on the basis of illustrating in their application that they fulfil the following criteria.
