LEEDS Anniversary Research Scholarship (LARS) Process for Schools
Background
The LARS awards replace the 110 Anniversary Scholarship and Leeds International Research
Scholarships. For one year only, the University has 128 awards which have been allocated to
Faculties across the University. Each Faculty must then decide upon a process for the allocation of
the awards
Who is eligible for the Award
UK, EU and International students are eligible. They must be full-time students who are not
members of staff.
Number & distribution of awards
128 awards across the University, however the Faculty of Engineering have been allocated 15
awards. Round 1 will take place in January 2016, each School will be permitted to recruit two
students, meaning that 10 awards will be allocated to students in Jan/Feb 2016. The remaining 5
awards will be allocated to UAF’s and will be considered in round 3 (June 2016).
Value of the awards
The cost of the award will be split 50/50 (i.e for 2015/16 £9,078) between the School and the
University for UK/EU students.
The cost of providing a scholarship for an international student will be significantly more for the
School as the Centre will not provide additional funding, so the split would be:

External funding of the awards
Collaboration with Industrial partner is encouraged and they can make a financial contribution.
However, RCUK funding cannot be used in conjunction with these awards. The students are not
allowed to make up any shortfall in funds.

IMPORTANT – Faculties have to honour their reserve list. They cannot replace a reserve
applicant from the first round of LARS with another applicant from a later round of LARS.

 GSO to complete first sift of applications (following agreed criteria), by 22 January 2016.
 Project supervisors for each school puts forward their 1st choice candidate by 29 January 2016
and advises GSO – 5 per school.
 GSO to send a list to the School Committee members by 3 February 2016 – actual applications
will be sent through SIS.
 School Committees take place during the week of 8 - 12 February 2016 to determine top 3
candidates from the 5 put forward with mark sheets/notes completed at the meeting. The
remaining 2 will be reserves and will be ranked in order of preference.
 GSO to send list of top 3 applicants chosen and reserves to Richard Hall with completed mark
sheets (to ensure consistency across Schools).
 Chair of Scholarships Committee gives final approval of award and PSO notifies applicants of
their outcome at the end of February 2016.

Background
URS has run for a many years at the University of Leeds. The Faculty of Engineering has been award

China Scholarship Council (CSC)
Background
CSC has run for a many years at the University of Leeds, this is a joint award with the Chinese
Scholarship Council
Who is eligible for the Award
Candidates must be a citizen and permanent resident of the People’s Republic of China at the time
of the application.

Value of the awards
The academic fees are fully funded by the University of Leeds at the International rate. The
maintenance, travel and visa expenses are covered by the CSC. The level of maintenance varies, and
is usually for 3 years.

EPSRC (DTP)
Background
A letter will be sent to the University by the EPSRC advising of the value of the award. The Research
Finance Office will then cost the figure into studentships. The Dean and Director of Engineering will
then consider the allocation of the awards to Schools
Who is eligible for the award
EU and UK nationals who have been resident for at least three years prior to commencing research
degree study. However, 10% of EPSRC awards can be given to students who do not meet the
residency. However, if this is an International student the difference in fees will need to be found
(not from the student).

EPSRC CASE Competition Studentships for 2016/17
Background
EPSRC CASE Competition Studentships have been awarded from previous EPSRC DTPs. It has been
agreed that 4 CASE awards will be available for session 2016/17 and 4 for 2017/18 to ensure we
meet EPSRC’s target of converting at least 10% of our studentships to CASE.
Who is eligible for the award
EU and UK nationals who have been resident for at least three years prior to commencing research
degree study. However, 10% of EPSRC awards can be given to students who do not meet the
residency. However, if this is an International student the difference in fees will need to be found
(not from the student).

4 across Biological Science, Engineering, Environment and MAPS
Value of the awards
UK/EU fees, maintenance and some funding for RTSG/consumables for 3.5 years. Total value of
studentship £73,500).
Industrial partner financial contribution
All awards must have an industrial partner. The Industrial partner must contribute at least £24.5k

Distribution of awards in Engineering
All applications submitted by Engineering academic staff members will be in competition with those
from the Faculty listed above. After the closing date, the selection panel (comprising of Prof-Deans
for Research and Innovation in the named Faculties)will meet and make a decision in early February.
All members of staff will receive an e-mail confirming the outcome once known.

name of the student who would receive the award). Remember to include in the form:

2. A letter of support from the industrial partner, including confirmation of their financial
commitment – on company letter headed paper.
3. Copy of the academic offer letter of student
4. Confirmation from student they will commence their studies by no later than the 1 June
2016.

What happens if you secure an award
If you secure an award the following steps will need to be completed:






set in place a signed contractual agreement with company with two months of the student
commencing study
student details added to Je-S within one month of their start date (this will be done by the
GSO)
School raises forms 21 and 22 for the payment of fees and maintenance (this will be by the
GSO)
School issues student with award letter and terms and conditions of studentship (this will be
done by the GSO)
provide c.f.neave@adm.leeds.ac.uk with the account number to which the funding is to be
transferred
School arranges to invoice the company for their contribution and to raise the necessary
Form 22 to pay the top-up maintenance to the student (this will be done by the Faculty
Finance Office).

EU students will be eligible for an award paying tuition fees only, except in exceptional circumstances, or where residency has
been establish for more than 3 years prior to the start of the course.

ANNEX II
Administration of EPSRC CASE Awards
CASE Studentships are allocated to Universities and allow the University to take the lead in defining the projects for
students and selecting an industrial sponsor of their choice.
Contractual Agreement for CASE Awards

Supervisors should read the information on the Contracts section of the Research Support website

and use one of the relevant agreement form available at:

The following details need to be completed in full:
o Company details
o Cash and in-kind payment to be paid to the student and School

Research Support checks the draft agreements to make sure they conform to University regulations, in particular in
relation to Intellectual Property rights etc.
Schools should ensure that an original signed copy of the Contractual Agreement is sent to the Postgraduate
Scholarships Office for retention within two months of a student commencing study.
Letter to Company re Invoicing and Status of Contractual Agreement


It is the School’s responsibility to write to the CASE Company to ascertain how the company wishes to be invoiced
and to find out about the status of any Contractual Agreement.
As soon as a Contractual Agreement has been finalised or written approval given to invoice the CASE Company
prior to the Contractual Agreement being finalised, the School is then responsible for issuing appropriate invoices
to the CASE Company for the duration of the award. The School should ensure that the invoice amounts are in
accordance with the amounts stated in the Contractual Agreement Please note that for the issuing of invoices for
CASE Awards the cost object should not be a '44' account number, as these numbers should only be used for
costs relating to Research Grants.
CASE Studentships – Administration and Payment of Awards
Schools are responsible for issuing award letters, regulations and payments to students.
For Research Council awards administered by Schools, they should ensure that the student receives a standard letter
outlining the funding arrangements together with a copy of the regulations for CASE Studentships. Templates of letters
and regulations can be downloaded from: https://ses.leeds.ac.uk/site/scripts/login.php
Click on Information for Staff, and enter your username and password. As soon as an Agreement has been finalised or
written approval given to invoice the CASE Award Company prior to the Contractual Agreement being finalised, the
School is also responsible for ensuring that the company’s contribution to a student’s maintenance is paid to that
student.
It is no longer deemed appropriate to wait for the Company to settle an invoice before releasing the company’s
contribution towards maintenance for a student.

For CASE Studentships, the Faculty Finance Officer is responsible for setting up new account numbers for the relevant
School/s in their Faculty and informing Rachel Lee (Management Accounting, Central Services) and Caroline Neave in
the Postgraduate Scholarships Office of these account numbers.
For monthly payments against annual invoices, a ‘Form 22’ should be raised and sent to Financial Aid, Central Student
Services, Marjorie and Arnold Ziff Building, who will then process the payments via Financial Aid within BANNER. For
single one-off payments, a 'Form 10' should be raised and sent to Financial Aid at the above address.
Recording CASE Studentships on Je-S for Research Councils
CASE Studentships need to be recorded on Je-S within one month of the student commencing study. Faculty Graduate
School Office Postgraduate Secretaries will be able to submit this information through Je-S. The Project Partner section
on Je-S needs to be completed in addition to the standard studentship fields.
Any questions regarding grant regulations can be addressed to either Caroline Neave or Shirley Yeadon in the
Postgraduate Scholarships Office.

Industrial Partner’s Responsibility
Visits to the Industrial Partner
Students are expected to spend at least three months of a three and a half year award on the premises of the
cooperating body, pro-rata for shorter periods, subject to a minimum of two months. Students can spend longer periods
with the company, subject to the HEI’s minimum attendance requirements for students to remain registered for the
higher degree.
Responsibility of Industrial Partner
Contact should be maintained between the cooperating body (project partner) supervisor and student throughout the
duration of the award as appropriate.
Financial Contribution Industrial Partner
As a measure of its interest and involvement the Cooperating Body (project partner) must make a financial contribution
to the project. Such a contribution should cover:
a. expenses (e.g. travel and accommodation costs) incurred by the student as a result of periods spent with the project
partner. The student should not be out of pocket as a result of undertaking the project.
b. an annual cash contribution, to the HEI research organisation, towards the cost of the project (£13,230 approx for
session 2016/17), and support of the student (£11,270 approx for session 2016/17).
