Castle Show Choirs Booster Club Combined Boards September 8, 2014 Present: Teresa Burnett, Leeann Crowder, Andrea & Mark Marchino, Sheila Cross, Tonya Binney, AnneMarie Dauterman, Deb Gorman, Michanne Smiddy, Teresa Fruit, Melissa Williams The meeting was called to order at 6:00pm. Teresa F moved to approve the minutes and Sheila seconded the motion. Director’s Report: Mr. Adcock asked all parents to remind students to keep up on their school work during the next few weeks. Knight Temptations will perform at Mr. Castle. The September schedule is out. We are still waiting on the rights to a few pieces of the competition shows. The delay was caused by arranger Eric VanCleave’s unexpected illness. Sign up for band and crew is progressing. Michanne reported that the trailer wrap is complete. The cost was $1000. She noted some dings, dents and scuff marks on the trailer and suggested moving the trailer to a new parking spot. Leeann confirmed that the trailers would be available for moving rummage sale items. Deb asked if a group could borrow the trailer for storage during the fall festival. Mr. Adcock will research insurance and liability issues and Deb will verify the donation amount the group would be willing to make in exchange for use of the trailer. Anne-Marie reviewed the spiritwear design submitted by the student boards. The Board approved the design with a note that each group was asked to create their own design but will allow a single design. The proposed seafoam green color must be changed to a more neutral color. Leeann reported that the Rummage Sale has been moved to October 25 in conjunction with the Cruise In. This event is now mandatory for students and one parent per family. If possible hold large items until 10/24. The storage area at God is Good can only be used for storage. Drop off and processing is occurring at Kathy Lamee’s home. Sheila reported that everything is ready for Homecoming Splash & Dance. Pre Sale tickets are $3 and all funds go toward the student’s fairshare. Tickets will also be available at the door for $5. The lifeguards will cost $60 total and the DJ is charging $100. There will also be a fee for the sheriff. Parents are needed for chaperones, concessions, tickets. Students will be asked to stay to assist with clean up. Families will also be asked to donate refreshments to sell. Candy sales will not be allowed during school hours this year but it is ok to sell them starting 30 minutes after school ends. A copy of the bylaws will be emailed to the parents drawing their attention to Article 6, Section 2, bullet point 3. Leeann reported that the Pizza Chef fundraiser is not possible due to changes at Pizza Chef. Teresa F will look into a different vendor. Teresa B reported that Lisa McDaniel is working on Senior Banners and understands the Boards requirements that fairshare be paid and it’s all or none participation. Patti Lahay will offer Avon for a fundraiser in October from the Christmas catalog. Trip update – KG has 7 chaperones and KS has 5. Gas for pulling trailer will be paid by the groups. Michanne asked if it would be acceptable to park the trailer in Indianapolis at a family member’s home between State Show Choir Finals and Fame. Fame will accept payment in full by credit card. If parents want to utilize this option they will need to pay the additional $31 tonight as a deposit. The October Booster Meeting will be on October 20 due to fall break being on the regular date of October 13. Debra Rogers and Melissa Willams agreed to chair a poinsettia sale in November using the same grower. Delivery will be in early December. Logan’s Restaurant Give Back nights will be October 15, November 20, and December 11. 15% of sales with a coupon will go to the group. If we have more than 50 sales the amount will be 20%. Anne-Marie discussed organizing some optional trips. Mr. Adcock asked that these be stressed as optional and not part of the Show Choir Program. Also Parent permission slips should be used.
