Job Title: Church Office Administrator
Holladay United Church of Christ (HUCC), of Salt Lake City is a progressive, Open and
Affirming, Whole Earth Church of the United Church of Christ. Striving to follow the

for all of God’s creation. As an active and growing congregation day to day operations are
necessary to ensure the overall mission and work of the congregation. The Church
Administrator, as a ministerial assistant is the primary staff person that oversees these
operations.
The person who will succeed in this position will be energetic, imaginative, flexible, and
willing to take initiative. He/She will work well in a busy, active and growing congregation,
and be able to set priorities and manage time efficiently. The Church Administrator will
report to the Pastor and will be a member of the professional church staff.
PRIMARY FUNCTION:
The purpose of the part-time Church Administrator is to facilitate the day-to-day
administrative operations of the congregation of HUCC.
SCOPE:
Under the daily supervision of the Pastor the Church Administrator is broadly responsible
for:
 Supporting the vision, mission, ministry, and core values of the church including:
o Recognizing God in the life and teaching of Jesus, in concert with an
appreciation for the diverse religious traditions of our world
o Christianity as a faith of extravagant grace, radical inclusion and relentless
compassion
o All members of the congregation as ministers
o Valuing the freedom to question and to be spiritually curious
o Recognize our mutual accountability with all of creation
o Cherishing authenticity and genuine relationships
o Our hands and voices are God’s tools to create a more just society
o cultivating a life of compassion that honors vulnerability and offers healing
presence
o Celebrating creativity;
 Ensuring timely, efficient, and cost effective delivery of all administrative services
and developing and maintaining a productive and supportive working relationship
between church staff, the Pastor, and the congregation;
 Maintaining accounts payable, insurance, employee payroll, employee benefits, and
other typical office financial activities;
 Scheduling use of the facility, and maintaining the church calendar, building-use
contracts, and tenant leases;
 Assisting in the production and dissemination of HUCC publications and information;

Maintaining hardcopy and electronic files of official church records and documents;
Providing direct administrative support to the Pastor including correspondence and
telephone messages.
PRINCIPLE DUTIES AND RESPONSIBILITIES:
Manage Office Operations
 Answer and respond to phone calls and emails in a timely, professional, and friendly
manner, maintaining appropriate confidentiality;
 Maintain voicemail system;
 Maintain master church calendar;
 Ordering and maintaining office supplies;
 Monitor office expense budget;
 Train volunteers for office operation assistance as needed;
 Maintain the front office and copy/work room, keeping the space organized and
functional;
 Maintain office environment and equipment.
Administrative Support
 Format, edit, ensure accuracy and produce Sunday Worship bulletins, those for
special services (i.e., funeral and wedding bulletins) and other HUCC publications;
 Maintain and update Operations and Human Resources documents, church records,
and current revisions as needed;
 Compile weekly list of visitors for contact by Pastor via welcome letter or phone call;
 Maintain church roles, updating memberships and visitors;
 Make copies, prepare documents and mailings as requested by heads of committees
and paid staff;
 Help develop, print and publish promotional materials as requested;
 Copy and assemble materials for church council and congregational meetings;
 Publish and distribute annual member and friends directory;
 Facilitate communication with the UCC Intermountain Association and Rocky
Mountain Conference;
 Assist/advise the HUCC Communications Officer as needed, to ensure timely
completion of mass mailing/emails to the congregation;
 Advise/assist the HUCC webmaster of needed changes or updates to the Church
website;
 The Church Office Administrator will also be responsible for other duties as assigned
by the Pastor
Finances
In partnership with and oversight from the Pastor, Treasurer, and/or the Chair of the
Stewardship Committee, the Church Office Administrator is responsible for:
 Financial administrative support that may include:
o Collating and preparing accounts payable
o Facilitating the processing of bi-weekly payroll for church staff

o Collecting monthly rentals as well as fees for functions, weddings and
funerals
o Preparation of weekly checks payments
o Maintenance of weekly time sheets for HUCC paid staff;
Other typical office book keeping duties;
Facilities
In partnership with the Pastor and Vice Moderator, the Church Office Administrator is
responsible for:
 Scheduling use of the HUCC facility;
 Updating/revising building-use contracts and tenant leases as needed;
 Liaising with tenants and other building users;
 Coordinating maintenance and repairs of the facility.
QUALIFICATIONS/ATTRIBUTES/CHARACTERISTICS
 Creative, flexible, supportive and ability to work independently;
 Willingness and ability to honor UCC and HUCC values and history;
 Proficiency in typical electronic office software (MS Office and/or Google) including
word processing, desktop publishing, database management, and internet
communication;
 Proficient administrative and organizational skills;
 Ability to prioritize and complete assigned tasks in a timely and efficient manner;
 Willingness and ability to interact and work with persons of all ages;
 Be compassionate, especially in times of grief.
COMMITMENT:
This is an hourly part time position, 24-30 hours per week. Office workdays are Monday –
Friday, closed on Holidays that fall during the work week.
COMPENSATION:
Hourly rate of $12-16 based on experience. After 6 months of employment this position
accrues Personal Time Off hours at a rate of 4 hours per month. After 3 years of
employment, accrual increases to 6 hours per month.
