Planning Your Event
Policies & Procedures
The ordering process:
Ordering must occur seven business days or more in advance from the event. We understand
that events arise unexpectedly and we will do our best to accommodate late orders, but we
cannot guarantee these requests. Rush charges will occur as follows for late orders:
48-72 hours prior, 25% of the food and beverage bill
24-48 hours prior, 50% of the food and beverage bill
Less than 24 hours prior, 75% of the food and beverage bill
Delivery of orders outside of the Oakland Center incur a 20.00 Delivery Charge.
Specialty Items requiring local pick up are subject to a 25.00 Service Charge per item.
Final Guest Counts must be in place 3 business days or more in advance from the event. This
number is a guaranteed guest count. Clients will be charged for either the guaranteed guest
count or the actual guest count, whichever number is greater.
Events are billed in four hour increments. Events exceeding the four hour limit will be subject
to additional service charges.
Catered Events on weekends are subject to a minimum order of $175 food and beverage.
Weekends are defined by any bookings after 2pm Saturdays and all day Sundays.
Cancellations:
Cancellations must be made 5 business days prior to the event date. Cancellations made in less
than 5 business days prior to the event date will be billed 50 % of the total bill. Events
cancelled less than two business prior to the event date will be billed for 100% of the total bill.
Extreme and inclement weather cancellations are excluded. This occurs only when the
University is closed due to inclement weather.

Service ware & China inside the Oakland Center: We standardly provide high quality
disposable plastic ware. Pick up orders are limited to paper and plastic ware. China and
glassware is available at no cost for our clients who host events that have 100 guaranteed
guests or more. China and glassware is available at no cost to our guests who host a plated
event. China is available for all other bookings at an additional charge of $1.50 per Guest.
China Outside of the Oakland Center: All china events outside of the Oakland Center will be
charged 2.19 per guest.
Standard Service Provided for 21%:
Twenty-one percent of the food and beverage bill will be charged to all catered events for
service except for pick up orders.
The above service charge is for administration of the function, and is not purported to be a tip
or gratuity and will not be distributed as a tip or gratuity to the employees who provide service
to the guests.
Plated:
Standard service provided is one server per every 2 guest tables (16 guests) for 2 hours of
event time and 1 hour each for set up and break down. Additional servers are available upon
request for $125 dollars per server.
Buffet:
Standard Buffet service is 1 server per every 50 guests for 4 hours of service. Four hours of
service is defined by 1 hour for preset, 2 hours of event time, and 1 hour for breakdown. Any
additional hours applied to the event time is subject to a charge of 20 dollars per hour per
server. Chartwells will not discount any parties less than 4 hours.
Linen:
Standard Tablecloths will be provided for all food and beverage service tables. Standard buffet
table cloths are black or white polyester cloths that drop to the floor (90X156). These are at no
cost to our guests. When purchasing a plated meal, 85X85 polyester tablecloths in black, white
or gold will be provided at no additional cost to our guests. Standard polyester napkins in
black, white, or gold will also be provided at no cost to our guest for all plated meals. Napkins
for China Buffets or all other purposes are $0.60 per napkin in the following colors: Red,
Burgundy, Dusty Rose, Pink, Orange, Gold, Peach, Yellow, Sand, Maize, Ivory, Black, Chocolate,
Teal, Hunter Green, Kelly Green, Sea Spray, Gray, Eggplant, Purple, Lavender, Navy, Royal Blue,
and Light Blue. Tablecloths for non-food service purposes will be an additional $4.00 for 85X85
cloths, $8.45 for 90X90 round cloths, $2.55 for 52X114 cloths, $10.99 for 90X156 cloths,
$13.00 for 120 round cloths, and $14.00 for 132 round cloths (in standard white, black or
gold). All other linen colors and sizes will be quoted upon request. These would include any
check in or registration tables, literature tables, stage tables and the like.

Food Safety:
Food safety and sanitation is a top priority for us. Any unused food remains the property of
Chartwells catering and cannot be removed from an event in accordance with state health
regulations. All condiments and disposables also remain the property of Chartwells catering.
Consuming raw or undercooked meats, poultry, seafood, shellfish or eggs may increase your
risk of foodborne illness.
Tax Exempt:
We request that tax-exempt documentation be faxed to our office at 248-370-2545 three
business days prior to the event date. We cannot remove tax after the event.
Water Set Up:
Pitchers of water or large dispensers of water are available for conferences, lectures and
meetings on campus. The charge is 59 cents per guest.
Special Diets:
Special diets are accommodated upon request and will need to be submitted in writing 5
business days in advance.
Buffets:
Hot Buffet service is limited to a minimum of 20 guests
Outdoor events:
An additional set up charge may be applied to events taking place outdoors

Meeting Rooms and Equipment:
High quality gathering space is available for booking through Oakland Center Reservations at
248-370-3230. Chartwells catering does not coordinate booking of room space.
Please reserve all non-food service equipment by contacting Oakland Center Reservations at
248-370-3230. Chartwells catering is not responsible for providing set up or removal of
equipment reserved through the Oakland University office of reservations.
Chartwells catering is not responsible for personal belongings left in public areas.
Clients will be billed for replacement costs of missing or damaged catering equipment or
supplies.
Alcohol:
State liquor law requires all alcoholic beverages to be purchased by the Oakland Center and
served by Chartwells appointed personnel. Alcoholic beverages may not be brought in or
removed from the premises. Adherence to all Oakland University alcohol policies and
procedures will be strictly enforced.
Oakland Center Reservations can offer a wide variety of bar options that can make your event
special. Call them for pricing at 248-370-3230 and our offices will work together to coordinate
what is best for your group.
Outside of the Oakland Center:
Please ensure a food staging area and service tables are reserved when a kitchen facility is not
available. Equipment must be set up two hours prior to the start of the event. Please make
sure venues and buildings are unlocked two hours before the start of the event. A charge of
$25.00 may be applied to your confirmation should we need to return a second time for
delivery or pick up. Clean up for late night and weekend functions may occur on the next
business day.
