PROGRAM FUNCTION: The Corporate Services Division is responsible for financial, legislative, assessment, information systems, procurement and risk management/insurance functions and support for the organization. The Information Systems Department provides network administration and systems management services for the County, including computer support to all departments in the areas of software and hardware. This includes the planning and development of special projects as needed. The Information Systems Department also includes the responsibility of GIS Coordination, the design, developing, maintenance and updates to the municipal GIS applications, spatial databases and GPS data collection. Computer training for County staff and wireless communication devices are also overseen by the Department. PURPOSE OF JOB: The Systems Support Coordinator is responsible for research and administration of various Systems Projects and Programs. Provides expert technical advice to County staff and provides direction to software providers regarding the maintenance of the various sub-systems and/or programs. Administers the provision of mobile devices (smartphones, Reviewed: January 2015 cellphones, tablets and aircards). Provides administrative support to the Information Systems Manager and the unit in general. The working environment includes: computer hardware and software, Microsoft Office products, Web page applications and online services. Job Duties and Tasks: 1. Provides technical duties by: Oversees all wireless communications devices: smartphones, cell phones, tablets, and aircards. Ordering and Set up Web master for the unit; suggests and makes changes to the public web site and intranet. Microsoft Office Master – oversees ALL requests for help from users on the latest Microsoft Office Suite. Responsible for the security card access system of ALL County buildings includes staff access and ensure doors are close and open when they are schedule to do so. Ensures security cameras in County buildings are recording, troubleshoot issues. Arrange and negotiates printers and copiers leases for all County departments, main contact to place service calls and oversees toner replacement program. Assists GIS team on printing of maps. 2. Provides user development and support by: Communicating effectively and working with non-technical users to understand and implement applications necessary to carry out their job functions. Assess training needs and coordinate/develop and deliver regular user training sessions to reflect the continuous learning principle of the organization. Developing and writing technical/application documentation to ensure current guidelines on policies, procedures and processes are available to assist staff with daily responsibilities Managing mobile communication devices acquisition, contracts and warranties for all departments and Council members (smartphones, cell phones, tablets, air cards, etc), monitoring and ensuring their service plans are according to individual usage. Reviewed: January 2015 Collaborating with Information Systems Unit to research, test and recommend future technologies for development and/or acquisition. Maintaining constructive relationships with internal customers and suppliers. Some evening and weekend work for systems upgrades and projects required. 3. Provides Administrative Support by: Maintaining a proper records filing system for the Systems Unit. Ordering and maintaining office supplies for Systems Unit Ordering Toner for all County Printers Preparing, sending and processing Purchase Orders (PO) for Systems Unit Coding Invoices for Systems Unit (according to Financial System) Proofreading letters and documents Oversee hardware and software assets inventory; includes data entry and tracking Oversee software licenses; ordering, inventory, compliance, costing, and budget for all County departments and Council. Oversee Systems Unit programs as assigned Reviewed: January 2015 QUALIFICATIONS STATEMENT Education / Training: Administrative Technical diploma / Business diploma or an equivalent combination of education and/or experience; Advanced computer experience supplemented by post-secondary training; Training and proficiency with latest Microsoft Office applications (Microsoft Certificate a bonus) Computer Skills: Must be proficient in the following: Microsoft Office latest Suite Internet Use and E-mail Use Basic computer troubleshooting Knowledge: Technical knowledge of computers and software Knowledge of accounting principles Customer service training Skills and abilities: Well-developed written and oral communication skills with the ability to communicate with non-technical users to troubleshoot and resolve technical problems. Ability to work effectively as part of a team yet able to work independently with little supervision, identifies issues, and provides recommendations. Ability to prioritize and manage work tasks for self and to ensure prompt and accurate data entry by others, and achieve results within acceptable timeframes; Must be concerned with detail and accuracy and demonstrate effective organizational skills.
