Above all, it is your responsibility to help the head coach in the implementing of team rules, procedures, and expectations. You are held to a higher standard than any other member on the team, and you are expected to demonstrate leadership by respected the decisions the head coach decides. You cannot overcommunicate the choices you are making for your particular event/duties. In particular, any instructing responsibility a captain is to carry out should be carried out only after the head-coach has assisted in the lesson construction, or has approved the material being taught. Behavior Expectations Officers and captains are held to a higher standard of behavior than the rest of the team. Officers and captains will be the example of proper and right behaviors in class, in the hallways, after school, in practices, on buses, at tournaments, and online. This includes language, pictures, body language, physical gestures, texts, verbal discussions, and any other form of communication that is viewable by the general public. Officers are to be people of integrity, and should behave in an upstanding way, even when people aren’t watching. Officers and captains are also expected to correct behaviors of members who are not following the rules, or displaying generally unacceptable behavior. Such corrective action must be courteous, professional, and respectful, and must be supportive of student growth and development. Attendance Expectations Officers are expected to not only attend every meeting, but be EARLY for every meeting. It is difficult to run an effective meeting, if students are hanging around for 30 minutes waiting for the officers to arrive. Officers are also expected to attend at least 90% of our tournaments. 100% attendance is preferred. 3 Secretary Co-Presidents JEFFERSON CITY HIGH SCHOOL Jay Debate Officer & Captain Handbook Eligibility: Active member for at least 2 years. Attended at least 5 tournaments each of the two years as an active member. Able to attend all debate meetings. Able to attend bi-weekly leadership meetings with captains and coaches. Able to attend 90% of tournaments. Maintain at least a C in all classes. Duties & Responsibilities: Attend and manage the table during Sophmore Transition camp (typically near the end of the season). Plan, manage, and attend team recruitment at the beginning and end of the school year (wherever that recruitment may take place). Begin all team meetings with an agenda and notes. Offer encouragement, support, and other constructive criticism to other team members. Actively communicate needs to the head coach. Assist in planning and managing the Jefferson City High School Capital Classic tournament, including, but not limited to the following: o Conducting Awards o Managing Problems during the tournament o Welcoming schools and judges at Registration Eligibility: Active member for at least 1 year. Able to attend all debate meetings. Able to attend 90% of tournaments. Maintain at least a C in all classes. Duties & Responsibilities: Maintain contact list of all members, parents, Booster members, and coaches. Maintain attendance records for meetings at tournaments. Create tournament reports/press releases and submits to head coach by the Monday following a tournament. Enter NSDA points online. File and organize ballots after a tournament. Confirm tournament entry with each captain the Tuesday before a tournament. Communicate regularly with coaches and captains for information needing posted on Twitter and either the team website or Google Calendar on the Jay Debate Drive. Maintain and regularly update the team Twitter and Google Calendar with at least the following: o Competition Calendar o Tournament Entries o Captain Announcements o Practice Schedules o Event Labs/Workshops 4 JEFFERSON CITY HIGH SCHOOL Jay Debate Officer & Captain Handbook Social Events Chair Treasurer Eligibility: Active member for at least 1 year. Able to attend all debate meetings. Able to attend 90% of tournaments. Maintain at least a C in all classes. Duties & Responsibilities: Maintains and updates a budget spreadsheet with funds collected through any fundraising, donations, and hotel collections. Attends monthly Jay Debate Booster Meetings. Regularly gives Booster treasurer any money collected through fundraising and donations to be deposited into our Booster account during the Jay Debate Booster Meetings. Collects hotel money from students attending debate tournaments and deposits each tournament’s collections to Shelly LePage in the High School Office using the deposit form. Issuing receipts to parents and/or members of the Jay Debate team anytime money is collected. Gives financial report to the team once a month discussing the team’s financial standing. Regularly communicates, advertises, and updates the team of any fundraising activity. Maintains and keeps secure the lockbox for the Jay Debate team. Maintains an up-to-date spreadsheet with the amount of money currently in the lockbox. Communicates with the social events chair in the event that team money is needed to conduct events. If event needs money, you communicate with the head coach, upon which funds will either be approved or not. Schedules students for any team fundraising. Eligibility: Active member for at least 1 year. Able to attend all debate meetings. Able to attend 90% of tournaments. Maintain at least a C in all classes. Duties & Responsibilities: Schedules and reserves a location for the team picnic held prior to school in August. Proposes and communicates any money needed for social events to the Treasurer. Schedules monthly team activities for the team to do together (these events need not be competitive/debate-related). Schedules, organizes, and publicizes any team event (lock-ins, showcases, etc.) Communicates dates and times of social events to the team secretary to publish on Twitter and team website. Schedules and assists in planning the Year-End Banquet with the Co-presidents. 5 Technology Chair Historian JEFFERSON CITY HIGH SCHOOL Jay Debate Officer & Captain Handbook Eligibility: Active member for at least 1 year. Able to attend all debate meetings. Able to attend 90% of tournaments. Maintain at least a C in all classes. Duties & Responsibilities: Takes regular photographs of the team throughout the year at each individual tournament and at social gatherings. Creates a slideshow for the Year-End Banquet. Creates the program for any Showcase event the team may run. Maintains contact information for any alumni of the Jay Debate team including addresses, emails, and phone numbers. Regularly shares photos with the team secretary to publish on Twitter and the team website. Maintains judge records for individuals who have judged for the Jefferson City High School Capital Classic. Maintains and regularly updates the team bulletin board. Eligibility: Active member for at least 1 year. Able to attend all debate meetings. Able to attend 90% of tournaments. Maintain at least a C in all classes. Duties & Responsibilities: Maintains the team laptop cart every Monday, ensuring the computers are in their right locations, each with their own charger, and that the computers are in working condition. Maintains a checkout list of laptops that are to be taken to individual tournaments (confirms which laptops are being taken and the person responsible for said laptop). Organizes and collects laptops upon arrival home from competitive tournaments. Ensures each laptop has Evernote, Dropbox, and Verbatim installed for team use. Regularly updates and syncs the above programs to ensure they are up-to-date. Ensures that each student is a registered user on the National Speech & Debate Association website and knows how to access valuable resources (manuals, webinars, points, etc.) on the site. 6 JEFFERSON CITY HIGH SCHOOL Jay Debate Officer & Captain Handbook Elections for the Upcoming Season Only individuals that have been nominated by their teammates are eligible to be an officer (co-president, secretary, treasurer, social events chair, historian, technology chair) for Jay Debate. Nominations will take place on the bus ride home from the NSDA District Tournament. Only individuals present can be nominated. Once an individual is nominated, that individual must receive a second by another Jay Debate team member before being formally recognized as a candidate for office. Upon a second, the member being elected will be given the option to accept/decline the nomination. Once all nominations have been made on the bus ride home from the NSDA District Tournament, all nominated individuals will prepare a speech that specifically highlights the member’s strengths and why he/she should be considered for the nominated position. All nominated Jay Debate members will then present their speeches to the team the Tuesday following the District Tournament, even if running unopposed. All candidates must give a speech at this meeting to be formally written on the ballot. Speech and Debate team members (of the current year) will vote by ballot at the Year-End Banquet. Student’s votes will be weighted according to the number of degrees they have earned through the National Speech and Debate Association. In the event of a tie, the head coach will be the tiebreaker. Officers will then be announced at the conclusion of the banquet. Process for Removal from Office: Any member of the debate team can move for an officer to be impeached for violating one or more of the team’s or officer’s listed handbook requirements. The procedure will be as follows: Removing a Captain Submit a written request to the Co-Presidents. President will review request and make a recommendation to the Head Coach. Head Coach and Assistant Coach will review and assess the request. Upon approval of the Head Coach, the entire team will vote on impeachment. Must have a 70% majority to impeach. Removing the President, Secretary, Treasurer, Historian, Technology Chair, or Social Events Chair: Submit a written request to the Head Coach Head Coach, Assistant Coach, Captains, and other officers will review request. Able to attend the first debate tournament in the event being captained. Able to attend all debate meetings. Able to attend 90% of tournaments. Maintain at least a C in all classes. Duties & Responsibilities: Offers encouragement, support, and other constructive criticism to other team members Informs all novice debaters of case areas that can be debated on the yearly resolution. Instructs novice debaters of the Policy essentials and getting them tournament ready. To meet this duty, captains are responsible for scheduling and communicating to the secretary the topic(s), times, and dates for those lessons so that they may post them to the Google Calendar. Establishes, communicates, and maintains at least three office hours throughout the week. The time can be divided according to the individual student's schedule. Co-constructs the novice debate case. Constructs and delegates for the novice and varsity debaters a negative strategy that consists of at least 2 Generic Disadvantages and 2 Topicalities (would work well to assign these to each novice/varsity pairing). Assigns each novice with a varsity mentor where arguments and positions will be collaboratively constructed. All members should be divided according to their speaker position. Therefore, a Varsity 1st Speaker should only be paired with a Novice 1st Speaker. Maintains a database of affirmative cases hit at tournaments, including school name, team name, and a flow of the case. Conducts workshops to develop strategies against the affirmative cases hit at tournaments and assigns blocks and frontlines to individual policy debate members. Maintains the Policy folder on Google Drive, ensuring that all Jay Debate Policy Teams cases are up-to-date and submitted, as well as posting any resources/notes discussed during the labs. Maintains the Policy Dropbox, ensuring that: o Affirmative cases and frontlines are organized and posted o Opposing School Affirmative case blocks are clearly organized (folder tree) and posted. o Generic Negative Strategy blocks are clearly organized (folder tree) and posted. Schedules and conducts practice debates for Policy Debate teams travelling to tournaments, ensuring that each team has practiced equally for an affirmative round and a negative round. Conducts bi-monthly topic analysis discussions to brainstorm the types of arguments and values that be upheld by the affirmative and negative. Instructs novice Lincoln-Douglas debaters of the essentials of value debate, paying particular attention to case construction, cross-examination strategies, rebuttal strategies, research techniques, and any other component to assist novice debaters in becoming tournament ready. To meet this duty, captains are responsible for scheduling and communicating to the secretary the topic(s), times, and dates for those lessons so that they may post them to the Google Calendar. Assigns each varsity to a novice member where arguments, cases, and positions will be collaboratively constructed. Maintains the Lincoln-Douglas folder on Google Drive, ensuring that all Jay Debate LD Debater cases are up-to-date and submitted, as well as posting any resources/notes discussed during the labs. Conducts value/philosophy workshops where debaters will extrapolate the philosophy and develop blocks to the different values. Establishes due dates and benchmarks for individual/team assignments. Scheduling and conducting practice rounds for all LD Debaters attending each debate tournament. Watches and approves each novice performer for competition to the coaches. Maintains the Congress folder on Google Drive, ensuring that all Congressional Dockets for each tournament are posted and that all speeches for the docket are posted. To meet this duty, the captain should create a folder tree that has a folder for each tournament. Then within that folder, there should be a folder for each piece of legislation in the docket. Schedules and conducting at least one practice session before each competitive tournament offering congress. Watches and approves each novice performer for competition to the coaches. Duties & Responsibilities: Offers encouragement, support, and other constructive criticism to other team members. Instructs novice members on the essentials of domestic and/or foreign extemp. This instruction should include the following: event description, event preparation, speech construction, using and filing in Evernote, conducting and identifying useful research, and practice. To meet this duty, captains are responsible for scheduling and communicating to the secretary the topic(s), times, and dates for those lessons so that they may post them to the Google Calendar. Establishes, communicates, and maintains at least three office hours throughout the week. The time can be divided according to the individual student's schedule. Divides and rotates research subjects among the members of the USX and IX squad. Maintains the USX and IX Evernote accounts, ensuring that each is clearly organized and that articles are filed, highlighted, and tagged correctly. Each captain creates a system in which they can track the number of articles that each extemper is filing. In addition, both captains establish requirements for how many articles each extemper should have to file in order to compete at an individual tournament. Establishes due dates and benchmarks for individual/team assignments. Maintains the Extemp Folder in Google Drive, being sure to post any resources/notes discussed during the lessons or given to you by the coaches. Duties & Responsibilities: Offers encouragement, support, and other constructive criticism to other team members. Instructs novice members on the essentials of oratory. This instruction should include at least the following: event description, speech structure(s), selecting a topic, developing a topic, using rhetorical devices to elevate and stylize content, audience analysis, audience adaptation, memorization techniques, delivery, and any other content deemed important by the captain of oratory. To meet this duty, captains are responsible for scheduling and communicating to the secretary the topic(s), times, and dates for those lessons so that they may post them to the Google Calendar. Maintains a database of topics on an excel spreadsheet comprising of: general topic, angle of discussion, and possible sources. Establishes, communicates, and maintains at least three office hours throughout the week. The time can be divided according to the individual student's schedule. Maintains a database of topics on a Google Spreadsheet comprising of: general topic, angle of discussion, an possible sources. Maintains the Original Oratory Folder on Google Drive, being sure that each student’s manuscript is posted and up-to-date. Each student speech should have included: total words, percent quoted, and a works cited page. Establishes due dates and benchmarks for individual assignments. May choose to divide novice orators among the varsity orators (highly recommended to divide captain workload). Schedules editing workshops, where varsity mentors and/or the captain will review novice speeches. Provides to the head coach the final edited copy of each oratory for their approval and suggestions. Able to attend the first debate tournament in the event being captained. Able to attend all debate meetings. Able to attend 90% of tournaments. Maintain at least a C in all classes. Duties & Responsibilities: Offers encouragement, support, and other constructive criticism to other team members. Instructs novice members on the essentials of interpretation as it relates to dramatic and/or humorous literature. Instruction should include at least the following: finding and selecting the right piece of literature, cutting literature (ChaCha Method/Landscape v Portrait), annotating literature, character/plot/setting analysis, bringing the character(s) to life, blocking, memorization, physicalization, pantomime, and any other topics deemed important by the captain. To meet this duty, captains are responsible for scheduling and communicating to the secretary the topic(s), times, and dates for those lessons so that they may post them to the Google Calendar. Establishes, communicates, and maintains at least three office hours throughout the week. The time can be divided according to the individual student's schedule. Maintains and organizes the interpretation filing crates/cabinets, ensuring at all pieces have their own folder with the title, author, type of cutting, and gender recommendation on the folder’s tab. Assigns each varsity member to a novice so that their varsity can mentor and help the novice select, cut, analyze, and block their piece. Ensures each interper (varsity and novice) has a piece of literature by the end of the first week of September. Establishes due dates and benchmarks for individual assignments. Maintains the corresponding folder for their event (HI/DUO, DI, Prose/Poetry, Storytelling) on Google Drive, making sure that each student has an up-to-date cutting of their piece posted. Captains should also create folders with resources the interpers can use to help them take their piece from paper to performance (ex: cutting examples, character analysis sheets, video performances, notes, etc.). Scans and electronically files any piece the team has. Schedules and conducts performances prior to competition at each tournament. A challenge can only be made if the member feels the captain is not upholding the duties and responsibilities of this leadership handbook. A challenge may only be made once per team member. A team member wishing to challenge the captain for their position must follow this procedure: Create a formal written petition asserting the captain being challenged and the individual doing the challenging. The petition should include reasons why the challenge is being offered, citing specific duties and responsibilities they feel are not being dutifully carried out. Have the petition signed by 80% of the participants in the event. Submit the petition to the coaches. Coaches will review the request. Upon approval of the request, the coaches and officers will interview the challenger. The Committee will then vote. The challenger must receive 75% majority (7 votes) to win the challenge. 15 JEFFERSON CITY HIGH SCHOOL Jay Debate Officer & Captain Handbook Disciplinary Procedures: In addition to team members holding their leaders accountable to their duties, the head coach and assistant coach will observe and evaluate the work conducted by the Jay Debate student leaders. In the rare event that a leader chooses not to faithfully and dutifully uphold their expectations, duties, and responsibilities, the student leader will receive a written disciplinary notice where their infraction will be documented and filed. Each type of infraction will serve independently from one another. Therefore, if the student rectifies or improves upon the situation in which they were written up for, that student will receive no further disciplinary action for that infraction. However, if a student fails to improve upon the behavior or later repeats the behavior, the following disciplinary action will occur: 1st Written Notice: Warning of Improper Behavior 2nd Written Notice: Tournament Privileges Revoked until behavior changes and/or duties upheld 3rd Written Notice: Leadership Title Stripped & New Election will take place to replace Immediate Removal: Certain actions/infractions could merit the immediate removal from office. These infractions will be weighed on a case-by-case basis, and it is at the sole discretion of the head coach and/or assistant coach to make a final decision. Ultimately, anything that jeopardizes the head and/or assistant coach, the team, or the direction of the team could lead to the officer being removed from their duties.
