St. Elizabeth Anglican Church 5324 Bromley Road Burlington EMPLOYEE JOB DESCRIPTION Position: Administrative Assistant Nature of the Position To carry out parish administrative duties of the parish, to ensure communications within and outside of the parish, and the production and support of worship resources. Outline of Responsibilities Worship Solicit required materials from worship and music planners For all services, prepare draft orders of service, texts for music or, where needed, full service booklet Ensure that drafts are proofread by Rector and/or appointed volunteer(s) Produce sufficient copies of bulletins, orders of service or full service booklets for each worship service Arrange for collation and assembly of bulletins, orders of service or full service booklets Regular Sundays: o prepare sheets for worship leaders, ie. readers, intercessors Administrative Pick up and respond to e-mails and phone calls Redirect e-mails phone call to appropriate person Monitor and maintain office (including ordering and purchasing) eg. stationery, toner, paper towels, postage stamps etc. Maintain bulletin boards/displays Keep office clean and organized Ensure records of committee meetings, parish council, vestry etc are and filed Maintain and carry out monthly back-ups of computer and e-mail files Inform building committee of any maintenance and/or repair issues Photocopier: o record meter readings o write photocopier contract o contact service provider for cleanings, malfunctions Scheduling: o maintain schedule of office and parish activities o ensure no double-booking of event o schedule inspections (fire, range hood, furnace etc.) maintain files and schedules of repairs and maintenance o ensure annual certificates are completed and filed Communication Dissemination of information (may include updating website, bulletin, blog, bulletin board, newsletter, newspaper, flyers, outside signage) Mail: o direct all incoming mail to appropriate personnel, including invoices to treasurer o handle outgoing mail and implement assigned mass mailings, including printing of mailing labels Mailing lists: o maintain telephone/address/email lists for current and past parishioners, and update upon request o distribute to authorized parties upon request o maintain Niagara Anglican newspaper address list Special Sundays (Christmas, Easter, Youth Ministry Sunday): o prepare full service booklet o carry out all other tasks as per regular Sundays Special Services (baptisms, confirmation, weddings, funerals): o gather information, fill in forms as required, and record in registers Skills & Experience Excellent organization skills Good interpersonal, verbal and writing skills Experience with current computer software (Microsoft Word, Internet, Excel, Publisher) Interest in and ability to work within Anglican Church environment Ability to work both independently and as part of a team Boundaries & Limitations Uphold St. Elizabeth -Code of Conduct and Diocesan Sexual Abuse and Harassment Policy Support, Supervision & Training Canonically responsible to the Wardens, under the supervision of and with support from the Rector Diocesan training workshops available for certain aspects of the position Participation Group Corporation and Treasurer Envelope Secretary Other parish leaders Screening Requirements Fulfillment of the job description Two character references Signed declaration of understanding of Code of Conduct Benefits to the Employee Opportunity to be part of a parish “family” Opportunity to be integral to the management of a parish Opportunity to work independently Front line contact for parishioners and other members of the community Terms of Employment 10-12 hours a week.
