Master Trainer (MT) Training Manual CONFIDENTIAL January 2013 TABLE OF CONTENTS: (NEEDS TO BE ADDED) The following manual has been developed as a guide and reference document for your MT position. However, please know that this company and industry are ever changing and additions, as well as deletions, will happen as the MT position evolves. Your flexibility and adherence to the most current changes, documents and procedures given to you by your Managers are of utmost importance and much appreciated. Please take the time, as you receive changes, to note the updates in this manual where you can easily refer and stay abreast of all changes. Master Trainer Position requirements: Recruit host sites in your area and/or surrounding states Professionalism, charisma, charm, humor, kindness A commitment of between 5 to 12 hours per week Excellent organization and follow through skills Sales drive Likeability and respect in your fitness community Willingness to make cold calls Willingness to conduct occasional master classes at area facilities Good networking/communication abilities Love and passion for fitness, especially Turbo Kick®, PiYo™, Hip-Hop Hustle™ and INSANITY™! Home access to the internet on a regular basis Excellent phone and written skills Professional Behavior As a presenter for Beachbody, you will also be seen as an area representative by us and by fitness professionals. It is expected that you conduct yourself in a professional manner. You must act professionally and project a professional image that reflects your commitment to fitness at all times; especially when in the presence of other fitness professionals, even if in a casual or non-fitness setting. As a part of Beachbody, your actions and words reflect on the company as a whole. Therefore, it’s important to avoid engaging in industry or personal gossip. Where this is most important is when discussing other programs. Always try to find something positive to say about other programs even if you do not 100% support or agree. Believing in our company and formats is all you need to sell them; you need not put down other trainings to book someone onto our events. Some companies engage in negative or slanderous campaigns against their competitors. We will not stoop to this level and negative comments regarding similar programs or competitors will not be tolerated. However, if 2 someone you are speaking with would like to know how our programs differ from others they are looking into, feel free to offer points of fact, but avoid offering your “opinion” or information that cannot be proven to be factual. Please let us know if you need help in this arena. Once it becomes known that you are an MT/ Presenter for Beachbody, you and your behavior become associated with our company. Therefore, we ask that when in the company of other fitness professionals you always conduct yourself in a respectable manner even after hours. This is most important when attending fitness conferences, workshops, professional trainings, online message boards, social media, fitness seminars and other activities at which other fitness professionals are present. In the privacy of your own home and with your non-fitness friends… the sky’s the limit. However, once you have achieved the level of success it takes to become a presenter, your peers will scrutinize your behavior. Responsibilities to the Manager The Manager is your 1st point of contact and “Go To” for all questions and requests. CC (copy) all outgoing emails in regards to (new MTs) Weekly Promo Report (Thursday) for your events 4 weeks out and under Check for accuracy weekly: - Event Report and Webpage for your events Periodic Scheduled Calls with Manager Pre-event calls with Manger for initial events Approval on Format Presenting Update on AFAA & ACE certifications Update on vacation time/ Leave of Absences MT’s Responsibilities to the Senior Director 3 MT Development - MT webinars - Calls - Trainings Individual MT training Fitness Conference Submissions Presenter Requirements: (Applicable to all Beachbody trainings) The following requirements must be complete prior to booking your first event: AFAA Primary Instructor Training or Fitness Related Degree ACE Group Fitness or ACE Personal Trainer Instructor Training or Fitness Related Degree Current CPR Complete understanding of the Instructor Training Manual and Presenter Script of the format Completion of a Beachbody formal training at MT Audition Camp GOLD level instructor in that specific format Exceptional form and technique Clearance from Beachbody to present each specific format Instruct formats on a regular teaching basis (teach the format a minimum of once per week; some exceptions) Signed up for VIP in the formats that you are approved to present If you want to be approved for other formats than the ones you are currently approved, contact your Manager on what format(s) you would like to be able to present. A MT must be approved in each format that they want to present prior to booking an event. NOTE: All new presenters are required to “audit” a veteran presenter’s live event prior to their arrival of their first event. You may also be required to submit a video teaching specified format to the Senior Director prior to booking. Your Senior Director will inform you if you need to complete this prior to booking. Format 2. Location 3. MT you desire to audit FOLLOWING Email to your Manager detailing 1. What was learned 2. How the day went 3. What you will remember for your first event STEPS TO BOOKING AN EVENT As a MT, you have the opportunity to benefit both Beachbody and yourself by setting up host sites for trainings. This will help you get more work as a presenter and allows Beachbody to provide more trainings. You are allowed to book an events up to 8 weeks prior to the event date. Step One: MAKE CONTACT Contact coordinators in the area that you already know and/or work for. Network with other instructors to see if they can put you in contact with managers. Schedule face-to-face meetings or, if necessary, call them on the phone. Contact clubs from the phone directory. (Try the internet. – http://www.yellowpages.com) When calling, ask for the group exercise coordinator. If the coordinator is in, set up a meeting or find out when they will be in to teach next. Find out his/her first and last names. Ask for their voicemail numbers and email addresses. Leave a message for the coordinator to call you. Try dropping in at the club when you know the coordinator’s class is ending or go and take their class and talk to after. NOTE: This process takes some perseverance at clubs where you do not know the coordinator. Keep trying! Makes calls to several clubs. Most will call you back if you try more than once. Step Two: BUILD INTEREST Learn as much about the club and the coordinator as possible during your first meeting 6 Ask questions about the coordinator’s background, interest and thoughts regarding running a program. Find out what is important to him/her. For example, are they most concerned with building bigger classes, safety, cutting edge programming, staff unity, finding new instructors, new membership sales, or something else. Once you have determined his/her number one objective for their program, explain how our programs fit into his/her objectives and program goals. Sell the program based on what you have determined to be important with this coordinator. Be an excellent listener. Build trust by building the confidence of your prospective client. Provide support for your claims and express your honest, sincere, and passionate love for our programs. Step Three: SECURE A DATE and a PLAN As soon as you have someone interested, have them select 1 or 2 dates in order of preference. As you are likely to be the presenter, make sure those dates work with your schedule. Schedule the Event (see section below: How To Schedule An Event) If you are NOT working as a MT and you have a director that is interested in hosting a one of our trainings, please contact Manager. Have the coordinator’s phone number and email address. Step Four: START RECRUITING Schedule master classes (best at about 4 weeks out) for instructors looking to learn more about Beachbody formats. Collect phone lists from local coordinators and offer to contact their instructors personally – sometimes this must be done creatively. Email the referral letter or call each person who registers to encourage them to enlist their friends and students. Remember our front row members are our future instructors. These are the people we want to reach. You will get to them by networking with the area’s top instructors. Talk to area coordinators about the importance and benefit of recruiting members to become instructors through this program. Mail out flyers to the Host club and all surrounding gyms and facilities. Begin calling upon area coordinators – see below for tips. Start recruiting from registrations and from existing instructors who have attended our programs before, as well as your own members. Join BeachBody.com message Board – “THE PARTY STARTS HERE” thread Join Facebook group ‘How to become a Turbo, Hustle or PiYo Instructor Develop a: Twitter.com and Facebook.com account and let people know what you are doing/promoting (softly) Attend meetings or staff gatherings and ask for a moment of time to discuss the upcoming instructor training. Go to the area colleges, universities, and high schools and ask for a moment to discuss the upcoming instructor training. We’ve found that the colleges will actually recruit for you! PE teachers are a great group to get trained, as well. 7 Step Five: TRACKING REGISTRATIONS Each time someone registers, their contact information will be emailed to you. This will include the information received at the office. We send you the contact information we get so you can contact them either by phone, email, or preferable both to introduce yourself as well as to request their help in getting the word out for the event. Save all registrations to help promote (pump them for referrals) and ensure proper check-in lists. The best way to do this is to create a registration list in your computer files for each of your events. As you receive each registrant’s information emailed to you, copy and paste that information into your registration list that you have created. You will be continually adding onto that list so that you do not need to contact the office or your Manager for the list of your registrants. Your will receive an EVENT SUMMARY from the office approximately 2 weeks prior to your event with all the registrants currently in your event. Remember to back up your computer files regularly at least once a week. It takes only a few moments and is necessary. Keep all of the contacts you made for each event because you can contact them again when you have another event in that area in the future. Stay in regular contact with your host club coordinator and any “key” people he/she has on staff. INSTRUCTOR TRAINING INFORMATION PRO and INSTRUCTOR TRAINING What is a PRO? We realize that there are people out there who want to attend trainings to become more skilled but don’t for fear of testing; that's what holds them back. Therefore, we've designed a "Pro" Training to meet their needs. Someone can choose to register for your instructor training event as a PRO attendee. This person is interested in learning the format better to enhance their own workout and, possibly, take that first step towards being instructors. They will NOT be an Instructor or have the ability to teach at the end of the PRO training. They will receive all event materials except the CECs/CEUs They will NOT be trained to teach the format, but will be able to purchase materials (Rounds, Lessons, Hustles), which equals higher sales for you. They are not required to stay for the entire day; they may leave before the testing portion of the day. Their Record of Completion will state something to the effect of: "I realize I am not able to teach this format". (Since they are not testing to be an instructor, they will not be able to teach this format or use the trademark name) They will have to renew their Record of Completion every 2 years (same as the instructor Record of Completion) Of course, they have the option to UPGRADE to the Instructor rate ($35) the day of the training or at a later date. We feel that once they're there and realize how easy testing will be... they will choose to upgrade & test... if not then, maybe at a later date. An Instructor Training is for someone who would like to teach the format and use the trademark name. Late rate: $269.00 The host site will also receive one complimentary (comp) admission when the event takes place OR they can choose $249 worth of merchandise (purchased with Presenter prior to or on event date). Both are non transferable and voided in the event of a cancellation Host Club Receives PC Launch Kit We offer outside club area directors a free admission if they refer 5 or more instructors to the event. We offer the discounted rate of $249 for groups of 3 or more who register together from area clubs. The hours set for this training are 18 total hours divided between 2 days. You are flexible to schedule the hours through any portion of the corresponding day. Since you have the flexibility to schedule the times as you see fit, you may be able to coordinate around the club location’s group exercise schedule. - However, you are unable to use different rooms for this training. It is required that you remain in the group exercise room for the entire duration of your scheduled event. The merchandise cannot be left unattended or “watched” by someone other than yourself. - Please be mindful of scheduling the Saturday training past 7pm if they have an early start on Sunday NOTE: This training can only be schedule by approved presenters. 2 HOUR WORKSHOP INFORMATION These workshops are included within a full day instructor training. Workshop: Schedule: Saturday or Sundays (included within a full day instructor training day) Times: 11am-1pm Each participant will receive 1.5 AFAA CEU’s and 0.2 ACE CEC’s Rounds/Hustle/Lessons are scheduled and predetermined for the event. REFRESHER COURSE- INSTRUCTOR TRAININGS The refresher course is for instructors who have: 1. Completed the Turbo Kick®, HHH and/or PiYo™ Instructor Training(s) and are less than 1 year expired, OR 2. An incomplete Home Study Instructor training purchased 1 year before the event date. The Refresher Course is the same as the Instructor Training (listed above) Each participant will receive applicable AFAA CEU’s and ACE CEC’s (must attend entire day) $99 standard rate Participant can practically re-test free, if they want to Their instructor training renewal date is refreshed for another 2 years MT/PRESENTER FEES You’ll see the, the MT pay structure is very rewarding. As an MT for Beachbody, you will be finding host sites for events, scheduling events, and promoting events to the host club and clubs in surrounding areas. MTs are allowed to book/promote an event you are unable to present or unavailable to present. Beachbody will bring another MT in to present the format. TURBO KICK®, PIYO™, HIP HOP HUSTLE™ & INSANITY™ EVENTS MT FEES: Example: For each instructor training we need a minimum of 10 PAID registrants. Please note: 10 registered with one "comp" is only 9. The 10 registrants must be pre-paid 10 prior to the event in order to hold the event If a flight is required for the presenter- at least 15 need to be paid and registered at least 3 weeks prior to the event. $50 $150 $15 $25 Paid for event that is held (regardless of 15 minimum) Paid for event that is held that reaches 15 person minimum ($50 for event + $100 bonus for minimum) Paid per participant OVER 15 registrant minimum Paid per participant OVER 25 registrations We pay a bonus on additional registrants as you can expect some out of pocket expenses such as phone, travel to meet coordinators if needed, goodie bags, e-mail connections, and your hours spent promoting. 11 Example for MT for a Turbo Kick® and PiYo™ weekend: $50 Saturday MT fee $50 Sunday MT fee $375 MT Bonus for 30 registrants for TK ($100 bonus for 15 paid; $150 for registrants 16-25 & $125 for registrants 26-30) $500 MT Bonus for 35 registrants for PiYo ($100 bonus for 15 paid; $150 for registrants 16-25 & $250 for registrants 26-35) $975 Total Weekend Pay The MT has the option of attending the event as the assistant, but will not be paid for time at the event. This is voluntary; therefore, all travel to/from the event will be assumed by the MT. If the event requires hotel or flight, the MT assumes those costs, if they want to attend the event. They are welcome to present some of the lecture material, as long as it is approved in advance by the Manager. PRESENTER FEES: Promotional fees and Presenter fees are separate. If you are booking/promoting plus you are the presenter on an event, you have the capability to earn a great deal for one weekend of work. Presenter Fee Structure: For each Turbo Kick®, PiYo™, Hip Hop Hustle™ or INSANITY™ event you present, you will earn a rate for a one full day event. (This fee amount will be provided to you by your Manager) Additionally, working as the presenter for events will give you opportunity to make sales commission on merchandise you sell at the event. You will earn 10% of your total sales (not including any personal sales). Example for Presenting a Turbo Kick® and PiYo™ weekend: $300 Saturday Presenter fee $300 Sunday Presenter fee $500 10% Commission on $5000 worth of sales $1100 Total Weekend Pay PROMOTING AND PRESENTING FOR A SCHEDULED EVENT: Using the two combined scenarios, here is your typical weekend for working as the Promoter and the Presenter on a Turbo Kick® event with 30 paid people and a PiYo™ event with 30 paid people and $5000 for sales. **using examples from above $750 Promoting fees for TK & PiYo w/ 30 paid people in each event $1100 Presenter Fees (day rate and commission) $1850 Total Weekend Pay What is wonderful about the fee schedule is that if you choose your clubs wisely and find coordinators who know how to promote, your job becomes much easier. 12 You will be walked through the process, step by step. You’ll have lots of questions and we are here to guide you through this fun new journey. PRESENTER CAMP EVENTS MT FEES: For each Presenter Camp we need a minimum of 10 PAID registrants. Please note: 10 registered with one "comp" is only 9. The 10 registrants must be pre-paid 10 days prior to the event in order to hold the event If a flight is required for the presenter, at least 15 need to be paid and registered at least 3 weeks prior to the event). PRESENTER FEES: For each PC event you present, you will earn $500 for the 2 day training event. Additionally, working as the presenter for events will give you opportunity to make sales commission on merchandise you sell at the event. You will earn 10% of your total sales (not including any personal sales). PROMOTING AND PRESENTING FOR ALL-STAR PRESENTER CAMP SCHEDULED EVENT: If you are working as the Promoter & Presenter, below are some breakdowns of a typical weekend with 20 paid people and $5000 for sales. $225 $1000 $1225 Promoting Fees with 20 paid people Presenter Fees for presenting & sales ($500 + $500 with 10% sales) Total Weekend Pay *Note-you will not receive a promoting fee or presenter fee if your event cancels. MT’s/ PRESENTERS GET PAID APPROXIMATELY 4-6 WEEKS FOLLOWING THE COMPLETION OF THEIR EVENT DATE SCHEDULE AN EVENT Now that you have narrowed your host site location for your event, please confirm these aspects with your host before confirming a booking date: There are mirrors on at least one wall of the studio room There is a working stereo and microphone system for your use (mic= TK, HHH, INSANITY and PC only) You will be allowed you to enter the facility no later than 1 hour prior to the event on the event day. The studio will be uninterrupted for the entire day of the training (note: for PC scheduling, we try to work around the host club’s group exercise schedule) 13 All Group Exercise classes will be cancelled for that day in the room you will be using. (TK, PiYo,HHH & INSANITY). If classes do need to be cancelled for PC, we try to keep that to a minimum. Minimum occupancy for GX room should be 40 Host Club Agrees to pay $100 cancellation fee if the HOSTING CLUB cancels the event on Beachbody prior to the event date. We need at least 10 people pre-registered 2 weeks prior to the event to guarantee the event will be held** We need at least 15 people pre-registered 3 weeks prior to the event to guarantee the event will be held if the presenter is flying to the event** They agree to transport you from the airport/hotel/gym for the event (if you are flying to the event) Turbo Kick® Instructor Training: There are no licensing fees with Turbo Kick®. The name is trademarked, but trained instructors can use that name for your classes WITHOUT licensing fees. For hosting the Instructor Training, you will receive: Discounted rate for all your employees and members - $159 One complimentary (comp) admission when the event takes place OR $159 worth of merchandise for promotion from our Event Order Forms (purchased with the presenter on or before the event date). Please always refer to the CALENDAR on GroupEx Pro for reference of holiday weekends to avoid scheduling. You can schedule the TK®, PiYo™, HHH™ or INSANITY™ events in the same weekend or by themselves. Presenter Camp will consume one complete weekend. Once dates are selected with the club coordinator, follow these next steps to submitting your new event for approval. All new events can be booked following the NEW EVENT DEADLINES set by the GXP calendar. Typically, 3 months out from the current month. The Manager will register you as an active MT on the administrative website once you are showing activity of possibly booking a date for your first event. Once you are registered, you will be emailed your ID and Password. If you do not have this information prior to booking, please email your Manager requesting this info. Schedule 1 Event: TurboKick™ Workout Hip Hop Hustle™ Workout PiYo™ Workout PRE-PAY EVENTS A MT may book an event that is called a “Pre-Pay” event. This is where the hosting director can either pay up front for at least 10 registrants or have the 10 registrants register prior to it being scheduled formally as an event. (A minimum of 15 required if a flight is required) This option is available when: An event is already scheduled in the area the requesting host club is looking to book an event When an MT feels scheduling the event under normal circumstances may not be successful If the hosting club wants to close the event off to outside instructors(minimum is 15) Doing PrePays is easier, sometimes, as we constantly have people that are excited for us to host a training but we are unsure as to whether or not it will go. By giving them the control to make it happen – by asking them to get the people together- this gets you an event without much hassle. That’s just ONE reason to do a PrePay! All PrePays must be submitted to the office at least 5 WEEKS out from the event. Submission of PrePay Event o The MT will then complete the online “Online Event Submission”. The link is https://adobeformscentral.com/?f=Vixg6EZwsnVJQFoZd8nfeg 18 o When inputting select the event as a PP 1. List the number of actual payment you have received 2. List each registrants name (last, first) and how they are paying (Cash, CC, Ck). 3. DO NOT LIST CC INFORMATION AT THIS TIME o Complete the online event registration by submitting the event on the website. The “How to Schedule an Event” document can be used for reference. o Once the event is approved it will be online by SATURDAY on the website. Registration Payment Submission o The MT will then input all registrations on the website for the PP by the following Monday or the event will be pulled. o Lastly, check the Weekly Event Report that is posted by Wednesday to ensure the details for this event (and all others) are correct -this includes all TRAVEL requests! HOW TO KNOW WHEN AND WHERE TO SCHEDULE EVENTS? Best rule of thumb is to first schedule your first event in your home club. You will be able to promote easily, especially in your classes. Below are some other aspects to consider when considering scheduling an event: Depending on the city you are looking to book an event, the size of the city may deem how often you can book there. For San Diego, Irvine, Dallas, Miami, NYC, Chicago…etc…You can book more often around every 3-6 months. For smaller cities or states that do not have a huge market for fitness or instructor pool, every 6-12 months Try to keep your events at least within 1 ½ hours in distance (not time) apart from each other. (usually around 90 miles separation) (exception CA cities) New MT’s are allowed to book one weekend of events per month. Following a successful track record, you can contact the Manager to book more than one weekend of events per month. Multiple weekends per month needs approval by the Manager. In addition, MT’s who are new or have been inactive are restricted from booking multiple event months until they have achieved a successful first event (or return event) See also 3 Strike Policy CONNECTIONS HOW TO FIND YOUR 20 CLUBS? 19 You want to choose the BEST 20 clubs that you want mail flyers to. You will ALWAYS have more than 20 clubs in the area of your event, but minimum you want to email or mail this amount. Finding the Clubs to Call: The easiest way to get a listing of health clubs is to go to Http://www.yellowpages.com Call the club, ask for their GX director’s name, and then ask for their MAILING address. (DO NOT TRUST THE WEBSITE FOR INFO ACCURACY - Website’s are about 50% wrong) Request from the host director any specific clubs we should mail to (do not rely on the director to get you the 20 clubs to mail to, you need to search them out) TIME TO PROMOTE YOUR EVENT Believe it or not, when you schedule your first event and you see it’s 3 months away, time flies by! So making the most of your time during these months will help minimize any frantic promoting at the last minute. Here are some great guidelines #1 – SCHEDULE YOUR IDEAS TO PROMOTE ON YOUR CALENDAR After scheduling and event with a club, immediately take out your calendar and set tasks accordingly. Common tasks to schedule: Mail out flyers to surrounding clubs Schedule 1st master class Schedule 2nd master class Call the YMCA’s Call key club director’s Visit instructor “Sue’s” class at the gym down the road Below is a general rule of thumb guideline to prepare you for a successful event promotion. Promoting even further out than 6 weeks of your event is HIGHLY recommended. Do whatever you can to get the word out as soon as you book the event with the host club. Below is a guideline: 6/4/2 Promoting Schedule SIX WEEKS: Call all clubs in the area code 6-8 weeks out Tell directors to look in the club mail for the flyers, inform them of referral incentives, ask for referrals, inform them of any master classes you have planned including dates, times, and the discounted rate that applies. Schedule Promo Classes to promote. FOUR WEEKS: 4 weeks out host club push - Contact the hosting director to update on registrations, try to get instructor and member referrals, etc. Call surrounding clubs and get referrals. Push for registrations. Schedule Promo Classes to promote. 20 TWO WEEKS: 2 weeks out - call all clubs and host one more time for referrals. Push for more registrations. Email all registered and ask for referrals. ONE WEEK: The week of the event – call all clubs and host one more time for final push. Offer early bird rate to increase registrations at the last minute if needed. Email TIPS email to all registered, which includes asking for referrals. Your first event, many times, will be the hardest event and the most time consuming. Plan on putting a lot of extra time on your schedule (you will be busy, but it will be fun!). It is a learning process AND REMEMBER the next event won’t take you as long since you have figured out how it all works. Promoting to Members and Instructors Please remember it is essential to promote to members as well as instructors. Members are future instructors for the directors and they will help fill your event numbers. Try to get all clubs’ instructor phone lists so you can call instructors and offer them our referral program. Have instructors recruit members as well as other instructors. If you teach a master class and have mostly members, encourage them to take the PRO Training, further their knowledge and improve their form while TAKING classes! This is very popular and many attend to get better in their own practice. Compliment them on their incredible technique and energy and tell them you were once just like them. A little encouragement from you may be all it takes to get them to leap from participant to instructor. FREE Workout Promo Class Specials/ Options Offer to teach a free promo master class to have them see and feel our programs. Once they experience it, you know they will LOVE it! Schedule your master class with the host club, and then schedule it on your APD web page as well. (You can hold master classes at ANY gym location) Master class special rates: $159/$125 (TK, PiYo™, HHH) $239 – Presenter Camp These rates are offered to anyone who registers and gives payment at the master class. Try to plan ahead so you have flyers to collect those registrations at the master class. *MTs do not get paid or reimbursed for travel to do master classes. These are strictly part of an MT’s promotion plan Making Person to Person Contact When calling the host club Director, leave a “vague” message to get the director to call you back. For example, “This is Mary calling about your classes and instructing.” This will leave the director curious 21 and want to call you back. Once you make contact, begin by introducing yourself and a QUICK mention of your event coming up…but then quickly turn the conversation over and ask them questions. Encourage them to speak about their staff, gym, goals, direction, etc. Be creative and extremely enthusiastic. Ask questions about their club, instructors, and members. Use their answers to assist in the direction you take in the conversation and how our programs will fit their goal. Our programs sell by your passion and enthusiasm. Our programs will change their program. You personally guarantee they will LOVE our programs. TIP- Prior to making the call, write down bullet point scenarios of questions you can gear the conversation for them and speak in front of a mirror while on the phone so you can smile while you talk. PROMOTING TIPS Use instructors who are already TK®, PiYo™, PC, HHH™ or INSANITY™ trained as a way to promote additional upcoming events in that area. Offer to teach as many master classes in any of the clubs surrounding the host club area. Offer to teach in prime time slots to get as much exposure to instructors and members. If you have time to advertise, and the club will allow it, schedule a master class and advertise to invite all interested in that region to come check it out free. Email every person you know in that state, fitness person or not, and let them know you need their help. Explain you have an event this weekend and it literally takes no preparation to pass the exam. Ask them to email or for the phone number of anyone who might be interested. Follow up with anyone sitting on the fence. Approach the personal trainers at the clubs and ask them if they’d like a way to have an hour commercial promoting their services. If they answer yes, explain to them the benefits of becoming a group x instructor for a personal trainer. We’ll honor the early bird rate for any personal trainer, approved by Bret. Make it your goal to get an additional two people registered every day that week. Go to other instructors’ classes. You don’t have to be there the whole hour, mostly towards the end of the class. Personally approach those who seem interested, email your network of instructors and friends, and pay special attention to those members who approach the instructor after class to give thanks or ask questions. They are interested; they just need the confidence knowing it’s doable in such a short notice. EVENT REGISTRATION REPORTS Event registration reports will be emailed approximately 2 weeks out if NO travel is involved and approximately 4 weeks out if a flight is needed. This will tell you how many people are registered for your event. Events will be decided by Thursday 12pm PST-10 days out from the event Events that need a flight book will be decided 3 weeks out from the event. If the event does not have 15 by the deadline then the MT has the choice of purchasing their own ticket which 22 has to be purchased 2 weeks out from the event. Reimbursement on the flight would be up to $300. Closing Events Off to Non-Host Clubs We will allow a club to close off an event to outside surrounding clubs if they submit a prepay with minimum of 15 registrants. Once they have submitted their payments and registrations, we can schedule the event for at least 1 month out or further. We do not allow for Host clubs to close their events off to surrounding clubs without agreeing to meet our minimum required paid registrants prior to scheduling. This is an option we only want to offer if they ask for it. Closing events off, many times, limits our ability to reach more people, sell our amazing products and spread the word. COLLECTING REGISTRATIONS Collect registrations personally, if you can. (Excluding INSANITY/P90X) Never send someone home to register online, because many times it just won’t happen. Try to get the registration information yourself and do it for them. You do not need a special form for the registrant to fill out. You simply need to obtain: Name, Address, Phone, Email, and Payment Here’s what you do with the registration: If they Pay by Credit Card: register them online. Remember to get the security code on the back of the credit card. If they pay by Check: The check needs to be made out to Beachbody. It is the MT’s responsibility to arrange for transportation if they are flying and won’t have the use of their personal car. Please ask the director to transport you during the event time. FLIGHTS: We will book a flight for your event providing the below is met: The event is at least 4.5 hours away. 15 paid, full day registrants are confirmed at least 3 weeks prior to your event Flights will be booked 3 weeks out from the event. If the event does not have 15 by the 3 week deadline, then the MT has the choice of purchasing their own ticket which has to be purchased 2 weeks out from the event or the event will cancel. Reimbursement on the flight would be up to $300. HOTELS: Beachbody will book a hotel for you for your event providing the event follows the below: Minimum of 12 registration needed for an event to be allowed with hotel If your event is about 1 1/2 hour drive time or less (miles around 100) then we do not get a hotel. You can claim mileage instead. If your event is over 100 miles or about 2 hours drive time, then you can get a hotel and you can claim mileage. You should receive your hotel request by Wednesday 12pm PST of the week of your event. If you do not receive the information please contact your Manager. 26 Your hotel may or may not need a credit card authorization form when you arrive for check in. MILEAGE: If your event is over 60 miles one way, you can claim the mileage A copy of mileage using Mapquest must be submitted with your event paperwork CARS: Beachbody does not issue a car for events. It is the MT’s responsibility to arrange this with the host club director. Upon request, you may ask your Manager for an exception depending on the circumstance If you do have a car rented by Beachbody -You need to be at least 25 years old -You need to have a credit card and not a debit card All travel booking is completed by Beachbody for your event. TRANSFERS: Transfers do not count towards having your event run as they transferred from another scheduled event and their payment was applied to that event. If someone transfers from another event that cancelled, they are considered paid and not a transfer. EVENT REGISTRATION CHECK IN LISTS So you did it. Your event is happening!! You promoted effectively and your event is here!! On the Thursday before your event weekend, you will receive from an email from the Beachbody that includes your Event Check-In list. These are the people we show registered for your event in our database. If you have any fields reading “NEED PAYMENT” - this means we need them to fill out a door registration form and provide a form of payment as we didn’t receive their initial one, for some reason. You can assure them, we will only charge them once and in order to receive their materials, we need this form filled out. If they are NOT on your list: you will need to have them fill out a registration form and provide a form of payment. Even if they bring you a copy of the internet registration print out, you need to get another form of payment or they cannot receive the materials. (We have not charged them if they registered Thursday or later). Even if you remember seeing their registration emailed to you, you need to get another form of payment or they cannot receive the materials We cannot be 100% sure their payment went through successfully unless they are firmly on your check in list. CHARGING WITH THE SQUARE 28 All MTs will take credit card payments with the square at events and tax is included in all transactions. Currently the tax rate is 6% and will be also be charged on all credit cards, checks and cash transactions including: -Declined Registrations -Walk Ins Cash/Checks do not need to be processed thru the square, but sales tax is included and an order form completed. The office will set up an account for the MT under the Beachbody account. The MT will receive an email with an invitation to set up the account. All transactions should have an order form or registration form completed. This is a record of the transaction in case a customer needs to return or exchange after an event. The form should include the purchases or transaction, name and the last 4 digits of the card used for the transaction. *If an order needs to be shipped please add the shipping address to the order form. Once the payment has been accepted, a “PD” needs to be written on the form and circled. This includes all -Order Forms -Event Registration Sheets -and Declined Registration Sheet If for some unknown reason your square is not able to processing the orders, all transactions will need to be written out on order forms. CANCELLED EVENTS Nobody wants a canceled event, but they do happen from time to time. As you can imagine, cancellations not only affect your income, but also can also create a negative image of our company and increase work for everyone. Possibility exists of someone showing up on the morning of, there will be a loss of sales, and a lost opportunity to share our programs with potential instructors. When an event is cancelled, even if it’s because of circumstances out of our control, attendees will often place blame with us. Cancellations should be avoided at all costs. The Beachbody Office will cancel an event due to low registrations. The MT cannot electively cancel an event. If your event is cancelled, you will receive an email titled "EVENT CANCELLED-CITY STATEEVENT" from the office. You are then responsible for doing the following within 48 hours or no later than the Thursday prior to your event (whichever comes first): Contact the host club coordinator and try to postpone or reschedule the event immediately. Once the status of postponing or rescheduling has been completed with the coordinator: Call all registrants and try to transfer them to the new date 29 Contact the host club front desk one week prior to the originally scheduled event and make sure a flyer is posted notifying all employees who answer phones of the cancellation or postponement. Follow up with the front desk on the morning of the training remind the club that the event has been cancelled or postponed in the event someone with a flyer decided to show up on the morning of the event. Be sure to follow up with the office within 48 hours of receiving the cancelled event email, by emailing the office the status of each registered instructors; Example: - Mary Smith – Emailed 1/4/10 and spoke with via phone, transferred to new date. - Beth Peterson –left message on 1/4/10 and emailed 1/4/10 RESCHEDULING YOUR EVENT If your event cancels, you have 1 week to reschedule your event with the Manager following receiving the cancelled event email. Each new MT will work under a “Coaching Period”. The Manager and new MT's will work together to schedule and promote events. Each new MT will remain in the “Coaching Period” for three scheduled events. If the new MT holds all 3 events successfully, they will be removed from the "Coaching Period". If the MT has 2 out of the 3 events cancelled following their time in camp, they will be on a suspension of scheduling events for 3 months. The MT’s remaining events will be re-assigned to another MT. Additionally during your coaching period, we require all new MT’s to CC (copy) the Manager on ALL outgoing email to directors, instructors, or any promotion for Beachbody until notified. 3 STRIKES POLICY Following your “Coaching Period”, if you have 3 weekend events or more cancel in a row within a 6month period, you will be put on suspension for a 3-month period. Your events will potentially be reassigned to another MT and you will be restricted from scheduling new events until otherwise informed. Additionally, we reserve the position to adjust or reassign the MT’s booking or scheduled events if a pattern of cancelled or rescheduled events take place. MENTOR PROGRAM 31 This program is meant to continually cultivate new MTs that will work well within Beachbody. With this program our current MTs will train, mentor and build relationships during the recruiting, training and Apprentice phase of becoming a MT. Each new MT will be assigned a veteran MT as a mentor after camp. This is very helpful as a new MT as you have someone else to turn to for some extra help and guidance. YOUR MANAGER IS YOUR #1 GO-TO FOR ALL QUESTIONS AND REQUESTS. Please use your mentor for any helpful tips for studying, promoting, building networks, relations, teaching…etc…They are there to help! Please build a strong connection with them as you can use their assistance leading up until your first event. To be considered a mentor the following needs to be completed: 1. If the submission of a candidate is chosen from Audition Camp then the MT that gave the recommendation will receive a $100 payment. AUDITING PRESENTERS *Mandatory* Beachbody HIGHLY recommends auditing another MT’s events prior to your first scheduled event. It’s a wonderful opportunity to experience the Instructor Training day “on the other side”. If you have a MT near you, we do mandate attending one event prior to your event. If you do not have a MT in proximity to you, you will have to rely on the other resources for studying (DVD, manual, Script, Mentor, and Manager) If you are attending another MT’s event, you will need to request this option from the Manager well before the event. Many times, we need to offer this option so people can see and “feel” the formats and want to get trained so they “can do that!” Master classes are BEST scheduled at LEAST 3-4 weeks before your scheduled event. BEFORE THE CLASS: Never depend on the host club to get everyone to your master class. They will hang signs most likely, but that might bring in only a few instructors who would be interested or just their members. You HAVE to do a mailing to all clubs in the area advertising this FREE class. Detail that "it's free, why not go...get your friends to go." There's a HUGE discount if they decide they want to get trained after they take the class. On the mailing flyer include your phone number and ask those interested to call you to save their spot for this free class. This is a way for you to talk with them before the class and get them hyped when they call to "reserve". You also want to include on your flyer a suggestion to bring some form of payment in case they want to register. Call all the clubs reminding them of the free class. They forget. You might even fax over the flyer again to the front desk. Schedule this master class for at least 1 hour 15 minutes. Best would be 1 1/2 hours. If you scheduled a master class to fill the normal 1 hour time slot, you will not be able to take your time with talking before the class, and for answering any questions. Most importantly, connecting with the attendees before and after the class as well as taking registrations. There is just not enough time in one hour. If the coordinator cannot find time or does not want to cancel any other classes to accommodate your FREE master class, schedule to do the master class in an already existing format time slot as a last resort. Request that the instructor that normally teaches in that slot can still get paid but you would like for them to take the class. Also, you do not need to only schedule the master class at the host site; you can do them anywhere that will have you. AT THE CLASS: Make a HUGE sign with the special valid only that night ($159 or $239 PC) Get Balloons, make it a party! Have MUSIC playing from one of the rounds/lessons as people enter the room. Play the hippest hottest CD, but something DIFFERENT from what you are going to teach. (For PiYo™) Have one of your favorite PiYo™ lessons music playing. (For PiYo) Lights dim, but not too dim so you can see and greet people. Have a Master Class Sign in Sheet at the door on a “check in” table. This will allow you to greet everyone, but to also get all contact info. - Think of this as their "fee" to take the free class, filling out the form is the least they can do to take such an AWESOME class from YOU. 37 Make sure you have enough flyers copied to pass out to EVERYONE who is attending your master class, even if they are" just a member" (members are the best converts to teaching as well as to take these Instructor Trainings. for their own practice and knowledge.) - Bring other flyers for other formats you have scheduled and are promoting) They are DYING for you to get started and DON'T care that you want to talk BEFORE the class. Stall them even though they are itching to see what it's like. Now’s your time to talk, promote, and mention the discounted rate, etc. Be entertaining but get your point across. Talk for about 10 min. Ask them to sit down on the floor; this will relax you a little bit with not feeling like you have to rush through your opening presentation. - Have the coordinator or instructors who are there to help you collect any forms you need returned (the sign in sheet or registration forms YAY!) Make that announcement: "Sue is going to go around to each of you and collect…Etc". It's a good idea to say this about 3-5 mins before you actually do start. Repeat it as soon as you start! WHAT TO SAY: (This is the MOST important time, do NOT rush this part) FOR TURBO KICK® MASTER CLASSES-follow this section: Turbo Kick® originates from Southern California. The company is Beachbody. Kickboxing is still kickboxing, but you will feel the difference and energy with this class that takes you to another level. This is a pre-formatted class. Give them the most fun, hardest, kick-butt class! But don’t lose them with too many advanced layers of choreography. Sometime during the Round make sure you mention….THIS CAN BE YOUR CLASS! Make constant comments throughout the class telling them- EVERY Round is just like this! Pump up their ego about their energy, their success, their footwork…etc and how awesome they are going to be teaching this class! DONE- SKIP DOWN TO: “AFTER THE CLASS” 42 AFTER THE CLASS (all formats) Class complete- You'll have to quickly remind them to fill out the flyer to give to you or the coordinator. (They are going to be running for the door.) Make your quick grab! Try to connect with the members at this point. Start talking with them and providing positive comments about their performance such as ...MAN, you were doing so AWESOME. You would do great teaching this, I can just SEE IT!! Mention, as a last attempt, if they don't have payment tonight, you can honor the special rate until tomorrow if they'll just fill out the form now. You will "call them tomorrow for their payment option." As long as you are getting their information, you can follow up with them after that night. Send out a referral email to them or call them with the same information. Say the Training/workshop might not be in this area again for almost a year. (They have no idea, nor do you.) Even if they don't have form of payment, still get their registration. Follow up after the class and try to get your payment. Also, make sure you make them feel committed. "I submitted your registration; you're all registered for the event, just want to finalize the payment". Try to keep them from backing out. Always follow up with a thank you note to the host club. If you have clothes leftover from inventory, bring them. Set up near your items for sale. They'll fall in love with the clothes! If you feel comfortable, have some rounds/lessons out. They will always want to buy them, detail you have to be trained to buy them. If you sell anything, make sure you have the correct order forms for events, and have them fill out the information just like you would for anyone who attends events. You would also use your square on any credit card transactions processed at the event. This is also another way to get their info to follow up with them. (you will include these orders in your next event sales) BE YOURSELF! DON'T RUSH! This is YOUR class, make them yearn for it!!! =) EMAIL ETIQUETTE Please read the following tips and start practicing them today. Communication is the one key to being successful. Keep business communications business-like Think of e-mail as a permanent record, just like a paper memo. Remember that it is also not private. Despite their perceived disposability, e-mail messages should be kept official and professional: Start with a salutation; avoid launching directly into your message. Include a relevant subject line to make emails easier for the recipient to find later. Gauge the formality of your salutation by what you would use in paper correspondence ("Dear Ms.Robertson" vs. "Hi Donna!"). Be concise. Separate paragraphs with a full line instead of an indentation. 43 Don't use all caps, UNLESS YOU INTEND TO SHOUT. Save your "smileys" for personal notes. Don't emphasize your point with extraneous punctuation such as exclamation points. Don't overuse abbreviations or acronyms. It really doesn't take much longer to type out "by the way." Use humor carefully (it doesn't translate well unless the person has known you for a while) Do not forward jokes or other chain mail. When replying, be careful not to use the "reply all" function unintentionally. Beware: some email programs will "reply to all" automatically. If you are emailing a number of people at once, be courteous and use the blind carbon copy feature (bcc). Reread your messages before hitting the send button. You'll usually find something to correct; a grammatical error or a missing word. This is also a good time to revisit the tone of the message (see below). Always, always, always use the spell check tool. Choose your words carefully We have all sent an e-mail or two that we wish we could take back as soon as it was sent. Whether you're angry with a co-worker or thrilled about a sales prospect, don't fire your e-mail off right away. Use your "queue" function, which lines up your messages but doesn't send them. This creates one last opportunity to be sure that what you've said is appropriate, before it's unleashed upon a colleague or customer. Remember: Humans also use facial expression, oral inflection, and body language to communicate. E-mail is many things-- easy, efficient, and immediate -- but it lacks the more human elements of communication. Make sure you aren't sending something that the reader might misinterpret. Favor clarity over complication Don't send HTML- or AOL-based text unless you're sure the recipient can support it. Respond to an e-mail by pasting enough of the original message into your response to indicate the issue at hand. If the message was long, just use the relevant section(s). Most e-mail programs have a setting that automatically includes the original message in a reply. Send an attachment only if the recipient expects and can open it. If you're not sure, ask first. While the pace of communication accelerates, it is tempting to impulsively type what comes to mind and send it off. But taking this casual approach to serious business matters could cause you to communicate ideas and attitudes that confuse (or worse, offend) your co-workers and clients. Taking a few moments to carefully draft your messages will project the right image; that of someone with a deliberate and accurate business sense. Signatures Using a pre-programmed signature conveniently communicates your vital stats without having to constantly re-key them (and with no risk of misspellings or transposed numbers). Leave no extra lines between the closing salutation and your name, unless you have the capability of inserting your actual signature. People usually include their full name, title, and organization name. You may also add contact information or a short promotional line or motto. 44 To program a signature, look under the "Tools" command in your toolbar. Keep in mind that your extensive signature might look a little out of place when sending a short message to a close friend, so you may want disable the signature in these cases. In your standard “signature” we use as Master Trainers AVOID TOO MANY DIFFERENT COLORS Be sure to list the ® or the ™ next to each of the formats. EMAIL SCRIPTS For each of your events, you will need to email pre-designed scripts to the participants. Below are some common email scripts that you will be sending. These documents can be found on GXP under REFERENCE-“Planning Your Event” and “Presenting Your Event” HOST CLUB AGREEMENTS: Sent as a contract to the club to secure the date and format. This email will also provide the facility as to what Beachbody provides to the participants with our trainings and gives guidelines to what the facility is required to have in order to host a training with Beachbody. EVENT CONFIRMATION FORM: This is sent to confirm with the club that the event has been scheduled. TIPS EMAIL: Once your event is showing that it is a GO; you will send out an email titled “TIPS for your Turbo Kick® / PiYo™/ Hip Hop Hustle™/ INSANITY™/PC” to the registrants. This email will be sent 1 week prior to your upcoming event that will be held. This email details what they can expect, how the practical grading will go (if they are an instructor training registrant), as well as your first pitch and reserve for the Elite 11 or Instructor Kit. PROMOTING/SELLING OUTSIDE VENTURES MT’s promoting and Selling non Beachbody Material While representing Beachbody, we require that the MT does not promote or sell items from outside companies or ventures. During any event, An MT is forbidden to promote sales and promotion for additional Instructor Trainings and workshops other than Beachbody related material. Example: Mary Kay, Your own T Shirt designs, your personal workshops with another company… Independent Beachbody Coaches: We do not condone the recruit of Beachbody Coaches at a Beachbody event. AFTER YOUR EVENT! If this is a local event for you or if you drove, just pack up all material and bring it home to organize and count. If you flew to this event or are leaving the box at the club to be picked up: 45 You will need to count all returning inventory and record that on the inventory sheet, copy it, include one copy in the event box that you are leaving at the club Put your GROUND fed ex label on the box after you have taped it up. You will be provided a username and password once you are officially accepted as an MT. You will be expected to check in to the site frequently, keep your profile updated with your picture and pertinent information, as well as comment and dialogue where appropriate.
