Search Committee Checklist Faculty and Exempt Professional Positions Department HR Liaison (s): 1. _____ Sends job description (OEP positions) in the required template, a current organizational chart, and Request to Fill e-mail to Dean/Director, appropriate Vice Chancellor and HRrecrut@uccs.edu. 2. _____ Follows up with Dean/Director and Vice Chancellor to ensure e-mail approval is received, he/she has forwarded e-mail approvals and has included the attachments. 3. _____ Inserts the REC row in HRMS position data. 4. _____ Completes the Job Posting in Jobs at CU, sends to Appointing Authority and Search Committee members for their review and submits to HR for approval. Position will be posted by HR once the job description has been signed by the Chancellor, and the Leadership Team has approved the position (if applicable). 5. _____ Serves as support to the Search Committee during the search. Updates applicant statuses in Jobs at CU. Schedules interviews for finalists. 6. _____ Ensures selected candidate shows as “Recommended for Hire” and other finalists as “Not Selected”. Ensures a search summary has been completed in the “notes” section. 7. _____ Follows the steps on the Appointment Instructions & Checklist document to complete the search (Letter of Offer, Background Check, etc.) Appointing Authority: This is the person to whom the Search Committee will make final recommendations. 1. _____ Ensures that a current job description exists and works with HR if additional revisions are necessary. 2. _____ Reviews Request to Fill e-mail from Department HR Liaison and approves the request. 3. _____ Appoints the chairperson of search committee. 4. _____ Provides the charge to committee members, preferably before the position is posted. 5. _____ Appoints committee members, ensuring one member of the committee has been identified as the diversity champion. All Search Committee members rev.01/12 should complete the online training through Skillport, and should consider a refresher if he/she has not served on a committee within two years. HR is available to meet with the Search Committee during the initial meeting. HR is a resource for ideas and training in regards to recruiting a diverse pool of qualified applicants (contact Dr. Kee Warner for all tenure-track faculty positions). Search Committee Chairperson: 1. _____ Convenes the search committee and ensures that each committee member has completed the online Search Committee training through Skillport within the last two years. HR is available to meet with the Search Committee during the initial meeting. 2. _____ Works with the search committee to develop a recruitment strategy and an application evaluation tool based upon the job description of the position being filled. Refer candidates to www.jobsatcu.com, posting #_________. 4. _____ Assigns telephone reference checks to search committee members, if the appointing authority wants the search committee to conduct reference checks. 5. _____ With assistance from support staff, arranges conference calls between search committee members and candidates. 6. _____ With the assistance of support staff, arranges travel and accommodations for the interviews and schedules interviews. 7. _____ Distributes and collects all evaluation forms to all parties involved in the interview process. 8. _____ Convenes search committee to identify the candidate(s) to be recommended. 9. _____ Advises the appointing authority of the person(s) being recommended for the position by the search committee. Keeps appointing authority updated on the status of the search and any question from the committee. 10. _____ Debriefs search committee upon the conclusion of the search.
