UCLA RESPONSE: Stakeholders may include representatives from all of the applicable areas including Materials Management, Facilities, Nursing Operations, OR, Interventional areas, infection prevention, technology, the clinical labs. UCLA RESPONSE: UCLA acknowledges that many vendors’ RFID/RTLS solutions may include components or software manufactured or developed outside the United States. UCLA expects vendors to certify that all work done directly and specifically on UCLA’s implementation shall be performed in the United States. Further, any on-going maintenance and/or support activities for the installed solution (including telephone and on-line support) shall be handled by workers located within the US. 2 UCLA RFP #7056 - RFID/RTLS - CLARIFICATIONS - Part 1 Question: What is the minimum number of use cases that a vendor can bid on? UCLA RESPONSE: Providers may respond to as many or as few use cases as are covered effectively by their proposed solution(s). UCLA retains the right to make multiple awards of business if necessary to cover the scope finally selected and implemented. However, the evaluation team may look more favorably at solutions which may be effectively implemented over a large number of the listed use categories or use cases. Question: What type of tag technology and accuracy is required? UCLA RESPONSE: The level of accuracy and tag technology required is a function of what is necessary to capture targeted data for each use case. For instance, room-location level accuracy is more relevant in the Emergency Department than in an equipment store room. UCLA expects vendors to propose the tag technology and accuracy level that would provide the best functionality for the use case while at the same time optimizing the University’s return on investment. Question: What is the expected timeline for project rollout? UCLA RESPONSE: UCLA anticipates that this will be a phased implementation beginning in Fiscal Year 2017 (beginning July 1, 2016). Later phases will likely extend into succeeding fiscal year as budgeting, technology and operational readiness may require. Question: Are there any policies, agreements, regulations or statutes that prevent or prohibit staff members from wearing a traceable badge or tag? UCLA RESPONSE: No tagging of staff is permitted in UCLA’s current business and regulatory environment. Question: Which information system will the location data be fed into? For ED, OR, Radiology? UCLA RESPONSE: The Epic modules (e.g. Radiant, OpTime, ASAP) for each of these areas. Question: Tab 6, Section B, Item Number 2.0 – It appears this question is incomplete. Could you please provide the full question? UCLA RESPONSE: Provide the on-site back-end hardware requirement for the proposed solution (if applicable) in a single- sheet format in the proposal. Clearly state whether the solution is also available in either a Software-as-a-Service or instance model. Question: Some text appears in red – Does that signify something respondents need to be aware of? UCLA RESPONSE: No. Question: We work with one or several partner organizations to fulfill certain specific requirements, such as hardware or installation services. What is the ability to offer our proposal as a consortium with one or several partners? UCLA RESPONSE: UCLA expects that vendors will propose a turn-key solution for the scope selected by UCLA. If vendors wish to partner, one vendor would propose the solution and act as the lead agent.
