Visitor Services Assistant Marianna Kistler Beach Museum of Art Campus: Manhattan Starting date: December 1, 2015 Job Summary: General Description: The Visitor Services Assistant works approximately 30 hours per week. Roughly half of these hours are spent as the person in charge (PIC) on weekends and Thursday evenings, for shifts that cover museum open hours plus 30 min. on each end for opening and closing: 9:30-5:30 Saturday, 11:30-5:30 Sunday; and on Thursday evening, 5:00-8:30 pm. After-hours events and programs, and assigned tasks during regular business hours make up the remainder of the work week. He/she ensures that events and programs go smoothly, schedules student gallery attendants (GAs) for duty, and in all ways serves as host to provide excellent experiences for museum visitors, event attendees, and public program audiences. He/she is responsible for opening and closing the building according to protocols. Work Schedule: The VSA must be willing to adjust his/her schedule occasionally; this normally involves staying late on days when programs and events go beyond regular museum hours. The schedule outside of the mandatory Thursday, Saturday and Sunday hours is negotiable. Visitor Services and Gallery Attendant Supervisor 50% Serves as PIC during weekend and Thursday evening open hours, including disarming and arming the alarm system, supervising student gallery attendants on duty, and working with the campus security officer assigned to the museum as needed to ensure safety of the artwork and people in the building. Works with the Senior Educator, who oversees the Gallery Attendant program, to ensure the effectiveness and professionalism of the Gallery Attendant student workers in the museum. Make monthly schedules for student gallery attendants, monitor and guide any changes to this schedule, and supervise GAs while serving as PIC. In charge of posting announcements for open GA positions, interviewing, hiring, and training student GA’s. Provides and models excellent customer service to guests, visitors, and audiences, helping to ensure their safety and enjoyment while visiting the museum. Observes and assists visitors, courteously informs them of rules. Works closely with Security officer to handle problems. Works closely with the Senior Educator on developing visitor evaluations and training Gallery Attendants on various data collection. On weekends, VSA will check the mechanical room for steam valve failure. Event Host 30% Works closely with the Operations Coordinator to serve as host and PIC for external events hosted by other units, working with event organizers, caterers (if applicable), facilities staff members, and museum staff members as needed. Assists with the creation of event forms and set-up sheets, participate in Events Meetings; assists with event and program set-ups as needed. Administrative Assistant 20% Serves as the assistant to the Operations and Finance Manager on various museum business tasks, including the processing of payment documents, filing, reviewing policy documents, managing the gift shop and gift print inventories, stocking books in the gift shop, processing payments, and other duties as assigned. Participates as needed in trainings and professional development courses.
