NORTHWESTERN OUTLOOK SIGNATURES
Effective July 1, 2013
To maintain consistency in brand identity, University of Northwestern – St. Paul offers employees a choice of
e-mail signature templates to use in their e-mail correspondence on behalf of the institution. This document includes
the signature options and instructions for setting them up in Outlook.
SIGNATURE TEMPLATE OPTIONS
Here are the four e-mail signature options you may choose from for use in your “@unwsp.edu” e-mail account:

GENERAL GUIDELINES
Please use the following guidelines when setting up your e-mail signatures:



Choose only from the recommended signature templates.
Retain the selected fonts and formatting included in the templates, as these correspond with Northwestern
brand and identity guidelines.
Use a plain white background for all e-mails. Even though Microsoft Word offers options for patterned, textured
or colored backgrounds, they are not appropriate for business e-mails and do not support the Northwestern
brand.
SETTING UP SIGNATURES IN OUTLOOK
1. If you are viewing this document for the first time, from the File menu in Microsoft Word, choose “Save As” and
save the Northwestern Outlook Signatures document in a location you will remember.
2. Choose the signature template (above) that you wish to use for your Outlook e-mail signature.
3. Personalize the selected template with your information, replacing all generic information. Please be careful to
retain all formatting.
4. Save the document again to keep your changes. We will come back to the document shortly.
5. Open Microsoft Outlook, if you have not done so already.
6. In Outlook, open your e-mail view and on the Home tab select New E-mail (Ctrl+N).
7. In the window that opens for your e-mail, on the Message tab you’ll see a selection of items labeled “Include.”
Click on the small arrow next to “Signatures” and then select “Signatures…”

8. From the Signatures pop-up menu, select “New…”
9. Where indicated, type a name for your new signature, then click OK.

10. Go back to your revised Northwestern Outlook Signatures document. In the left margin next to the signature
you selected and edited, position the cursor to the left of the text and click to highlight the whole signature. Use
the Ctrl-C keyboard command or right click and select “Copy.”
11. In the editing box at the bottom of the Signatures screen, right click and under Paste Options: select the second
icon, “Keep Source Formatting.”

12. The signature template you selected should now appear in the editing box.
13. Confirm that the signature information is accurate.
14. Before closing the Signature window, you will need to choose your default signatures (see red circle in image
above). Click the arrow next to “New Messages:” and select the newly created signature as your default. Repeat
this for “Replies/forwards:”. Note: you may choose an alternate signature for New messages and
Replies/forwards, if you wish.
15. Click OK in the Signatures and Stationery editing window.

16. To make sure your signature is now available, the Home tab select New E-mail (Ctrl+N). A new e-mail should
open with your signature in place.
TROUBLESHOOTING
The instructions for this document are based on using Outlook 2010 from Microsoft Office on your office computer. If
you use the OWA (the Web-based version), or if you use an older version of Outlook or a Mac, please contact the Service
Desk at x5699 or servicedesk@unwsp.edu if you need assistance.
If your office/department has a specific need that was not met in the e-mail signature options offered, contact
Marketing & Communications at marcomm@nwc.edu. Special requests may be considered on a limited basis, but will be
carefully weighed against the overarching goal of continuity and brand strength.
